Service Fee/Invoices: All invoices are due upon receipt. Registration fees are non-refundable regardless of your actual attendance. No refunds, credits, or alternative program options will be offered due to illness, schedule conflict, or change of plans. You can transfer your registration to another family if you are not able to attend the series. You will be responsible for all financial transactions with that family transfer and you will need to notify Live Oak Kids as soon as possible. The new family will need to complete all registration paperwork prior to participation. In the rare event that Live Oak Kids has to cancel a single class due to air quality or instructor illness, a credit will be given for a futre playdate or make up session, that will be scheduled at a later date.
Program Cancellation: If the full series is canceled by Live Oak Kids, due to low enrollment, weather, or other necessary reasons, you will be contacted via email or phone and offered either a program credit to use towards any future Live Oak Kids program (within 12 calendar months from the date of your registration for Acorn Adventures) or a full refund. If you need to cancel your registration prior to the start of the class series, you must do so 14 days before the first class date in the series.
Weather: Acorn Adventures is a 100% outdoor program. We meet rain or shine. Cancellation due to weather will only be in the event of unhealthy air quality (AQI over 150). Weather-appropriate attire is required for all members of your family. It can be 10 degrees cooler in the redwoods so bring layers and plan accordingly. If cancellation due to weather occurs, a credit for a future playdate or make up session will be scheduled.
Toileting: There is a public Oakland City Parks and Recreation bathroom located nearby, however this facilty may not been open or well maintained. Acorn Adventures provides a small travel toddler potty station and hand sanitizer as an alternative. The next closest bathroom is located across Skyline Blvd in Roberts Regional Park.
Attire: Please be advised that while your family is outside, their clothes will likely get dirty, messy, muddy, etc. Any damage to clothing due to activities in the woods is not the responsibility of Live Oak Kids. Children will have the opportunity to engage in messy play, therfore it is advised to dress in items you don't mind getting messy. We recommend keeping a spare change of clothes in your backpack or car and a towel for wet days. Please check the weather on the day of your program. If it is raining, we will still hold the program and it will be important that everyone in your family wears a rain jacket, rain pants, and appropriate footwear. Make sure to wear long pants and closed-toed shoes to protect from poison oak exposure.
Photo Release: Occasionally photos and videos from Acorn Adventures may be used for Live Oak Kids publications including its website, print materials, and social media. We will not identify your family by name or release any personal information. Please let us know if you do not want your child photographed.
Privacy Policies
Live Oak Kids respects the confidentiality of its clients (child and legal parent/caregiver) and will maintain the privacy of your information by all applicable federal and state laws. Some of the uses and disclosures described in this notice may be limited in certain cases by applicable state laws that are more stringent than federal standards.
Live Oak Kids collects data through a variety of means including but not necessarily limited to letters, phone calls, emails, voicemails, and from the submission of registration forms and consent forms that is either required by law, or a necessary requirement for participation in programs within Live Oak Kids. Information about your child that you provide to us in writing, via email, on the phone (including information left on voicemails), contained in or attached to registration forms, or directly or indirectly given to us, is held in strictest confidence. We do not disseminate any information about clients who inquire about or actually participate in our programs that is considered confidential information, as restricted by law, or has been specifically restricted.
Required by law: We may be required to provide information to law officials under certain circumstances. We are mandatory reporters. We may be obligated to use or disclose your child's information to appropriate government agencies if we believe that your child is a possible victim of abuse, neglect, domestic violence, or the possible victim of other crimes.
Law Enforcement: We may disclose your child's information under limited circumstances to a law enforcement official in response to a warrant or similar process; to identify or locate a suspect; or to provide information about the victim of a crime.
Liability Release Waiver and Authorization Form
LIABILITY RELEASE WAIVER AND AUTHORIZATION FORM: Participation in Acorn Adventures exposes participants to certain risks of being in the outdoors. Accidents and injuries resulting from the forces of mother nature, live animal and bug interactions, slipping and falling, malfunctioning equipment, unseen obstacles, fatigue, and your own and others' misjudgment are very real possibilities.
AFFIRMATION AND LIABILITY RELEASE THE UNDERSIGNED CERTIFY THAT THEY AGREE AS FOLLOWS: 1. I hereby affirm that I have been informed that there are inherent dangers of being outdoors at a nature program. 2. While all program participants are consistently well supervised, accidents do happen. The undersigned assume(s) all risk of injury or harm to any member of our family associated with participation in the program and agree(s) to release, indemnify, defend and forever discharge Live Oak Kids and its staff, employees, and agents of and from all liability, claims, demands, damages, costs, expenses, actions and causes of action in respect of death, injury, loss or damage to the family member, or by the family member, howsoever caused, arising or to arise by reason of or during the family member's participation in the program. 3. I hereby agree to heed at all times the advice and instructions of Live Oak Kids staff and its owners to practice common sense while at this program. 4. The above-named participants, including all minor children have permission to participate in the activities of Live Oak Kids, Acorn Adventures. By signing this document, I acknowledge that if anyone is hurt or property is damaged during my family's participation in this activity, I may be found by a court of law to have waived my right to maintain a lawsuit against Live Oak Kids and it's owner on the basis of any claim from which I have released them herein. I have had sufficient opportunity to read this entire document. I have read & understood it, and I agree to be bound by its terms.
Covid-19 Policies
Live Oak Kids will implement procedures to keep our clients and staff safe during these unprecedented times. Our protocols are developed in conjunction with guidelines set forth by the Centers for Disease Control (CDC), the State of California, and the Alameda County Health Department. Live Oak Kids will continue to monitor and adjust our protocols based on updated information from the CDC and other health agencies. These policies and procedures will remain in place until further notice. At Live Oak Kids we are committed to protecting everyone’s safety and well-being. We will do all we can to ensure a safe environment for all. Please let us know if you have questions or concerns regarding these protocols.
Please stay home if you or your child is experiencing any Covid-19 symptoms, unless otherwise cleared by a medical doctor and negative test results. Any other safety protocools will align with current Alameda County and state health guidelines.
General
Parents and caregivers shall be present during program sessions. Parents shall follow CDC and county guidelines in regards to mask wearing in outdoor settings.
Physical contact or close contact may occur between staff and participants during the program session. Contact may be required for safety or in order to perform activities as part of an effective program session.
Staff shall follow CDC and county guidelines in regards to PPE in the outdoor setting, and may wear a cloth face covering, mask, face shield or eye protection.
Any client or staff with COVID-19 symptoms or diagnosis will not be allowed at the program site or to complete in-person program sessions until cleared in writing by a medical provider.
Staff and clients will adhere to current CDC and county health screening questionnaire recommended protocols.
Hand Washing and Sanitizing
Staff and clients must wash or sanitize hands following any act that may contaminate the hands, such as after touching one’s nose or mouth, coughing, or sneezing.
