  • RESPONSIBILITIES:

    • Register as a member of Girl Scouts of the USA for the current membership year. 
    • Confirm that Girl Scouts are registered for the current membership year.
    • Complete all required trainings, read all materials, observe all deadlines, and follow all procedures as directed by GSSA.
    • Conduct a troop meeting to inform parents about the Fall/Cookie Program. 
    • Distribute all program materials to girls/adults.  Materials should only be distributed after permission forms have been signed and collected.         
    • Arrange to pick up cookies from the service unit cookie station; sign a receipt for all cookies received.                                                             
    • Store, inspect, and distribute cookies to girls using the receipt system.       
    • Keep in close contact with girls to determine which girl is unable to sell her cookies – give assistance.                                                               
    • Be available to answer questions and assist the girls with planned booths.   
    • Set troop goals with girls and parents based on goals and last year’s achievements.                                                                                 
    • Review all reports/emails sent by GSSA and Service Unit Managers.         
    • Complete all deadlines as outlined in the Troop Guide.                         
    • Distribute rewards to the girls in a timely manner.     
    • I will NEVER allow the use of Troop or Service Unit or product sale funds for personal expenses, financial gain, or advantage. All monetary donations made to outside groups must be approved and documented by Council.  
    • Munchies & Mags or GSSA Cookie Sales - When requested, I will provide proof (bank statements, deposit receipts) to show that ALL funds from product program sales have been deposited to the troop account.
    • I will make sure funds will be collected and deposited to the troop bank account as soon as possible, council will be paid in full, and any outstanding debt must be reported by the deadline. If at any time I fail to turn over outstanding debt forms, monies, and/or information for the collection of troop outstanding debt, I may be held financially responsible for this outstanding debt.   
    • I understand that I am financially responsible for product sale funds that belong to our GSSA troop. These funds will be deposited to the GSSA Troop or SU bank account and only be used for the purpose of delivering Girl Scout programs and services to the girls. Failure to account for these funds will be considered a misappropriation of funds. Consequences may include dismissal from any or all volunteer positions with the GSSA and may result in personal civil or criminal liability.                       
  • FIDUCIARY DUTY AND FINANCIAL RESPONSIBILITY: The undersigned Volunteer hereby acknowledges her/his understanding and agreement that the responsibilities of a troop/group Cookie and/or Fall Manager constitutes a fiduciary duty for the benefit of the Girl Scout Council and its beneficiaries. Volunteer has read the responsibilities outlined, understands them, and agrees to assume them in accordance with all applicable policies and procedures. Volunteer agrees to accept and does hereby accept, financial responsibility, for all cookies and/or fall product entrusted for distribution, sale, collection, accounting, and deposit, and Volunteer further agrees to adhere to, and abide by all prescribed procedures and policies for record-keeping, accounting, and depositing cookie and/or fall funds.

    Should it become necessary for the Council to incur attorney’s fees and/or costs for legal representation to collect any monies not paid, or payable, from the cookie and/or fall sales, which are directly attributable to undersigned volunteer, Volunteer shall be responsible for all reasonable attorney’s fees and costs. Girl Scouts of the USA is not the employer of Girl Scouts of Southern Alabama. Policies and procedures are developed and approved by Girl Scouts of Southern Alabama.
