Closing date for initial allocations is midday on Monday 21st November 2022.

Following allocation of the first batch of requested dates, any unclaimed weeks will be advertised on the club website www.hpls.org

This form is used for HPLS members to request a reservation at the HPLS holiday homes at Swanage Coastal Park holiday homes for dates March to December 2022. This form contains all the conditions relating to booking, payment, refund policy, behaviour on site, cleaning by members and pets.

We have two homes so please be specific as to which home you are applying for. Application for booking can only be made for one specific week and one specific home only during the initial annual balloting process.

If you were alloated a school holiday week last year please do not ask this year.

In addition to peak school holiday weeks, a ballot will be held for weeks where duplicate requests are made. Please note that on grounds of fairness we reserve the right to allocate a week to a member that has not yet used a home over someone who previously has. Other weeks will be allocated on a first come first served basis. Once the allocations are made you will be notified by email of any successful booking or otherwise. Weeks run from Saturday to Saturday the dates of which are shown on website or would have been emailed to you following an enquiry.

The choice of homes are 1. 'Carnaby' (28' 2 bedroom, 4 berth, no pets) or 2. 'Moonstone' (35' 2 beds, 4/5 berth, pet friendly) No adult groups - Only suitable for family use.

PAYMENT - We have had to change the process for booking and payment this year with the full balance being paid within 21 days of a booking being confirmed which is non-refundable, plus an £80 cleaning and security deposit which IS refundable once you have vacated the property in good clean and complete order. In view of this please only request a week where you are sure that you are free to use it. Home / travel insurance should cover you for having to cancel for health and other unavoidable reasons - please check your policy.

Following submission you should receive an email acknowledgement. If you cannot see it please search your spam folders. Provided you have this, we would have received your form, so please do not send chase up emails to make sure we have it. No payment is due until a booking is confirmed by us.

Under no circumstances can a booking be made for third parties to use without the member or spouse being present. HPLS staff regularly visit the site and may check to ensure that policy is being complied with.*

The below conditions need to be accepted at the point of requesting a booking. This is to ensure that members are aware of the payment requirement, refund policy and the self-catering status of the homes (yes to most this is obvious) and also the quiet owner occupied nature of the holiday park. This particular aspect may not suit everyone, particularly those who are after a lively environment, because this park is not that and we need to make this absolutely clear. Unfortunately we have been on a few occasions, let down by some members who thought they were at Butlins or Pontins and we had neighbouring residents complaining about general noise, drunkeness, uncontrolled dogs, unruley children, loud music etc. Yes these were our members! If you want that type of holiday, then please look away now and exit this form! Thank you for your understanding.
Conditions (Booking & Payment) Please read and confirm acceptance of each point.*

Once a booking is confirmed the hire payment in full plus £80 refundable security cleaning deposit will be due within 21 days. If no payment is made the booking is cancelled and the week will be offered to another member.The hire fee is non-refundable should I subsequently cancel the holiday.HPLS cannot guarantee a holiday home in the event of any problem with the home e.g flood damage or fire prior to your booking. HPLS is not bound to find alternative accommodation, only to refund the hire fee, should the site not have have a vacant home to transfer your booking to. (Note - Thankfully this rarely happens).Booking allocations are made by ballot if duplicate requests are made for one particular week and on a first come first served basis on other free weeks. There is no right to appeal for any requested week not being granted.A confirmed booking is a contract agreement between the member and HPLS and not Shorefield. The site will assist members where they can, however the homes are owned by HPLS and not the park.
Conditions (Conduct on site) Please read and confirm acceptance of each point. NOTE - Swanage Coastal Park is a quiet mainly owner occupied holiday park. Our homes are adjoined by other owners. It is not a commercial park like HAVEN or similar. Our members conduct should not be subject to any complaint from other residents.*

Only the HPLS member, partner, spouse and immediate family are permitted to reside overnight in the home unless by prior agreement with HPLS.Children must be supervised at all times and not permitted to behave in such a way as to cause any disturbance to neighbouring residents.Pets are only permitted in Moonstone.No smoking or vaping is permitted inside either home.No amplified music should be able to be heard by neighbouring residents.No BBQ's are permitted on site.Only one vehicle is permitted to be parked next to the home. Any daytime visitors vehicles must be left next to the park office.Outside activities should be finished by 10pm.
Conditions (Cleaning / condition left by members on departure) Please read and confirm acceptance of each point.*

Our homes are self-cleaned by those staying in them. No cleaners will be coming in after you. HPLS member must leave the home in a clean and tidy condition ready for the next guest to arrive.The outside decking area, tables and chairs should be washed down before leaving. There are hoses and outside taps at each home.The security / cleaning deposit is at risk if complaints are made by the incoming guest after you. Please ensure the cleaning check sheet is completed.Any additional cleaning materials required can be purchased by the guest and claimed back to HPLS by sending receipt.The home contents check list should be checked and any items missing or damaged reported to HPLS by email.The vacuum cleaner should be emptied after use.
Moonstone Only - Conditions (Pets) Please read and confirm acceptance of each point*

Pets must be kept under control at all times on a lead while outside of the home. Any fouling must be picked up and disposed of appropriately.Pets should not ever be left on their own in the home.Pets must be kept off of the furniture and out of bedrooms.
