  • This application includes the rules & regulations for all participants of the 2023 Ponoka Wild West Trade Fair

    Booth Spaces & Fees

    1. Booth drape, one table and two chairs are included.
    2. Additional tables, chairs and drape can be ordered directly from our preferred display company. 
    3. Power is not included unless specified in the booth selection below. 
    4. It is not guaranteed you will get the space or location you have requested, or had in previous years.
    5. Depending on booth location, any large equipment and/or displays may be required to move-in early.
    6. WIFI is public and network not gauranteed.

    Payment

    1. Once you apply, wait for a letter of approval before contacting the office to make payment. 
    2. Payments must be received in full by May 30, 2023 or booth space will be sold to waiting list vendors.

    Event Dates & Hours
    June 29: 10a.m. – 6p.m.
    June 30: 1p.m. – 6p.m. *Parade moved to second day
    July 1: 10a.m. - 6p.m.
    July 2: 10a.m. - 6p.m.

    Move-out
    July 2: 6:15p.m. - 10p.m.
    July 3: 9a.m. – 2p.m.
    *Early dismantle is NOT permitted.

  • Booth Sizing Request

    Vendors will be notified of the booth space they have been approved for. All booths will be charged GST.

    1. Management will attempt to accommodate all requests but due to limited space, vendors will not be permitted location selections. 
    2. Management reserves the right to move booth placements, if required, up to the event move-in. 
    3. Vendors are to wait for an approval confirmation prior to contacting the office to submit payment.  
    4. Payment must be received in full by May 30, 2023 or booth spaces will be released to waitlisted vendors.
    5. Vendors must not be in the facility parking lots any earlier than 12:15p.m. on Friday, June 30, to allow for the Parade marshalling operations. 
    6. Vendors must be moved in June 28th by 8p.m. or will be considered no-shows, no refunds will be issued and booth space will be sold to waitlisted vendors. 
    7. Vendors must not sublet or share booth space with any other business or vendor. 
    8. Direct selling is only allowed within booth space.
    9. Vendors must wear provided badges in their booths. 
    10. All booths will have 8’ back drape and 3’ side drape.
    11. Security will be effect from move-in until conclusion of move-out.
    12. Vendors are to park in designated “Exhibitor Parking” areas.
    13. Management reserves the right to cancel booth space if vendors are intentionally breaking terms agreed upon.
    14. Vendors acknowledge that all right, title and interest in video(s) and/or photograph(s) taken on the show floor, being original works, belong to Ponoka Stampede for marketing purposes. 
    15. No Exhibitor will have exclusive rights to products. Other Exhibitors will be allowed to sell similar products. However, Event Management will do its best to ensure there is not an abundance of similar items.
    16. No threatening or aggressive behavior to marketplace management, security, members of the public, or other Vendors will be tolerated.
    17. No helium or propane cylinders are allowed in the buildings.
    18. No animals are allowed in the booths, or left in vehicles.
    19. No smoking of cigarettes, vaping or marijuana is permitted inside the buildings. 
    20. There is no loading dock on-site.
    21. Forklifts will be available on-site during designated move-in, move-out hours. 
    22. Food vendors must comply with the Alberta Health Food Safety Regulations, which includes applying for a Special Event Food Vendor Notification.
    23. Management may at any time in its discretion, remove the Exhibitor, and/or its employees/workers from event grounds for any violation of this contract.

     We hereby declare that we have read and accepted the terms and conditions of the participation contract and agree to abide by the Rules and Regulations of the 2023 Ponoka Stampede Wild West Trade Fair, and any agreements which may be imposed by the relevant authorities or the venue as a condition of allotment of space. We hereby sign and agree to be bound by them.
