  • CBTF Media Consent

    Photography/Media Coverage/Website

During the year, photographs of athletes may be taken during competitions, banquets, clinics, awards and special presentations or other occasions. Your consent is required or parental/guardian consent if the athlete is under the age of majority. Media coverage is occasionally done throughout the competition season in order to promote the sport of Baton Twirling and to acknowledge club and athlete's accomplishments. This means publishing athletes' names and club associations in the local newspapers and on the CBTF website. On occasion, the media will attend competitions including radio, television, newspaper etc. At these times, it will be the parent's responsibility to provide parental consent to the specific media outlets.

  • 2025/2026 Remix Baton Club Registration Policies

  • Required Equipment

    Batons –

    ·       Every registered athlete must have their own baton(s).

    ·       The correct size of baton is very important to allow proper baton technique and development.

    ·       Ensure your coach has properly measured you to determine the correct length.

    ·       If you are planning on competing in the 2 or 3-baton event, you must have 2/3 batons that are exactly the same size and brand.

    ·       Batons can be purchased through the club:

    o    New Batons = $50/each

    o    Used Batons = $30/each

o    Used batons can be rented. The amount will be refunded at the end of the season once batons are returned.

    o    Swap Batons = FREE

o    If upgrading baton length, used batons can be swapped for larger used batons. If the required length is unavailable, you will be required to purchase new batons.

    ·       A baton order for new batons will be placed early in the Fall.

    ·       If you would like to buy batons on your own, batons can be ordered from the Star Line Baton website (www.starlinebaton.com) or found in Airdrie at East Side Sports - 805 East Lake Blvd. N.E.

o    Note: Not all baton lengths will be available at these locations.

    ·       Do not purchase batons through Amazon or eBay as the correct size and material are not guaranteed.

  • Required Attire for Classes

Athletes are expected to dress appropriately for their classes.

Appropriate attire allows coaches to fully assess body placement.

    ·       Jazz shoes are required for all pre-competitive and competitive athletes. Running/athletic shoes may be permitted for slippery surfaces, but athletes must always have jazz shoes with them.

    ·       Jazz shoes are recommended for recreational athletes; however, running shoes are also permitted.

    ·       Activewear is required – bodysuit with tights, tank tops, shorts, capris, or leggings. All black attire is recommended but not required.

    ·   Absolutely no sweatpants, baggy or loose pants or t-shirts, crop tops or otherwise revealing shirts, long sleeve shirts, or hoodies. These items can be worn to class but must be removed prior to the class starting. - Depending on the facilities rented with strict dress codes, athletes may not be permitted in the gym based on what they are wearing.

    ·       Hair must be neatly off the face and secured in a tight ponytail or bun. No hair adjustments should be needed during class time. Long hair must be in a bun. Claw clips are not an acceptable method to keep hair back and will not be permitted.

    ·       For safety, no watches, necklaces, bracelets, rings, or dangling earrings. These must be removed before starting class.

    ·       Nails must be kept short. False nails are not allowed. Long and/or false nails are a safety hazard for the athlete, as being hit with a baton can cause removal of the full natural nail. Nail polish is not permitted for competitions.

If an athlete comes to class and the above requirements are not met, they will be asked to leave, resulting in a strike.

(See Disciplinary Action – Strike Policy below.)

  • Class Rules

Athletes MUST Bring the Following to EVERY Class:

    •  Baton
    • Activewear
    •   Appropriate Footwear (Jazz shoes for pre and competitive athletes.)
    •  Hair Tie/Ponytail
    • Pen
    •  Folder with Practice Sheets
    •  Water Bottle
    •  Positive Attitude!

    ·       Athletes are expected to arrive early to prepare for class and complete the warm-up.

o    If an athlete arrives late, they must complete the designated warm-up independently before joining the regular class activities.

o    Athletes must be fully prepared and ready to begin at the scheduled class start time.

o    Arriving at class still needing to change clothes, tie hair, remove jewellery, apply medical tape, or complete any other personal tasks is considered the same as being late. In this case, athletes will be required to do the designated warm-up separately rather than participate in the group warm-up, as this is considered not being fully prepared when class begins.

    ·       Absolutely no gum chewing in class. This is a choking hazard when exercising.

    ·       Food and beverages are not permitted in the gym.

o    Only water bottles may be brought in for the duration of class.

o    Food items must remain outside the gym until practice has ended.

o    Purchasing food or snacks during class time is not allowed.

    ·       Proper attire must be worn for class – activewear and jazz shoes are worn, hair is tied back, no jewellery or long nails; see required attire above. Athletes will not be permitted to participate in the class if not dressed appropriately.

    ·       Electronic devices are not permitted during class.

o    Cell phones, iPods, and similar devices must be turned off and put away.

o    Wearable electronic devices, including fitness trackers and smart watches, are not permitted to be worn.

o    With a coach’s permission, devices may be used to record routines.

o    Wireless/Bluetooth headphones are not allowed during instructional classes. They may be permitted during drop-in classes with coach approval.

o    Electronics are not to be used during breaks.

o    If a coach sees an athlete using a phone or device during class (including breaks), it will be confiscated and returned to the parent at the end of class.

    ·       Non-class activities are not permitted.

o    Athletes should not bring unrelated items to practice, such as toys, crafts, games, etc.

o    Any items brought will be taken and returned to parents at the end of class.

o    Breaks are for water only. Phones, snacks, toys, crafts, games, etc., are to be put away until after class.

    ·       Athletes must ask permission of the coach before leaving the class, which includes water and bathroom breaks.

    ·       Athletes are expected to always be respectful towards their coaches and fellow classmates.

    ·       Athletes must exit the gym within 15 minutes of class ending. They can wait with the coaches to be picked up outside.

Constant/recurring issues - 3 times will result in a strike, see strike policy below.

  • Attendance

    ·       In order to receive full benefits from classes, athletes must be PUNCTUAL and ATTEND REGULARLY. Missed classes cause your athlete to fall behind, making it hard for them, their team members, and instructors.

    ·       If an athlete will be absent from class, it is the parent or guardian’s responsibility to notify the coach in advance. Attendance is tracked through the TeamSnap app.

Only the fact of the absence is required - reasons for the absence (e.g., illness, vacation, family events, or other personal matters) do not need to be provided.

    ·       Athletes must exit the gym within 15 minutes of class ending. They can wait with the coaches to be picked up outside the gym.

We must leave the gym within our rental time frame, or the club is charged for extra time. If your athlete remains in the gym over time, this additional charge will be invoiced to the parent/guardian. - Coaches will always wait with athletes until they are picked up to ensure that everyone has a safe way to get home.

    ·       Parent encouragement is essential to your athlete’s success and enjoyment. Your support is requested and appreciated.

    ·       All regular classes are closed to spectators, including parents, friends, siblings, and other family members.

Open classes for viewing may be scheduled in the form of dress rehearsals or informational meetings.

These will be communicated in advance. - Open classes are generally held once per month, timing will depend on the competition and event schedule.

    ·       In the case of an emergency, parents and/or emergency contacts listed on the registration form will be contacted directly by the coaches in the gym.

Athletes are not permitted to be contacted by phone, text, or other messaging during classes. Cell phones are not to be used in class.

Accurate emergency contact information must always be kept up to date with the club and is requested with registration.

    ·       Parent meetings will be held through an online meeting platform regularly to provide updates, answer questions, and share information about upcoming events and club operations.

Information on meeting time and location will be communicated in advance. A meeting invite link will be provided, allowing access to the club’s video conferencing platform.

If a parent is unable to attend, meeting minutes will be distributed following the meeting.

Meetings are generally scheduled once per month, after regional and provincial meetings, to ensure the most current information is available.

All parents are strongly encouraged to attend to stay informed and engaged with club activities.

    Club Events & Social Activities
In addition to classes and competitions, Remix Baton Club hosts community-building events such as socials, parties, and celebrations. These events are intended to foster teamwork, friendship, and a positive club culture.
Athletes and families are encouraged to attend, and all codes of conduct apply during these events. Parents planning or assisting with events must receive prior approval from the Head Coach and Board.

Alberta Baton Twirling Parent Code of Conduct

    4. Teach your athlete that honest effort is as important as victory so that the result of each competition is accepted without undue disappointment.

    6. Remember that athletes learn best by example; applaud the good efforts of others.
    7. Do not publicly question the official's judgment and never their honesty.
    8. Support all efforts to remove verbal and physical abuse from sporting activities.
    9. Support your athletes in as many activities as possible.
    10. Encourage athletes in goals.
    11. Support the coach.

    Parent Code of Conduct

In addition to abiding by all club policies at all times, this Code applies to every parent/guardian of Remix Baton Club:

    ·       Parents are expected to conduct themselves in a positive and respectful manner consistent with the values of fair play, integrity, communication, and mutual respect.

    ·       Parents shall treat all individuals and property with dignity, courtesy, and respect, including athletes, coaches, officials, volunteers, other parents, and all others associated with the sport of baton twirling.

    ·       Parents shall always model positive and responsible behaviour and encourage their athletes to do the same.

    ·       Parents shall respect the coach and understand that the coaching team is responsible for the skill development, choreography, and competitive readiness of the athlete.

    ·       Parents shall not attempt to coach their child or other athletes during practices, performances, or competitions.

    ·       Parents must request permission from the Head Coach and Board prior to sending out any official communication or planning any event on behalf of the club.

    ·       Parents recognize that athletes represent Remix Baton Club at all times, and that their own conduct also reflects on the club’s reputation within the community and the sport.

    ·       Parents recognize that decisions made regarding athletes and programming by the Head Coach, Coaching Team and Board are based on the best interests of the club as a whole, and are expected to support and respect those decisions.

    * Parents must ask the Head Coach AND Board for permission to send out any official communication to the club, whether it be through email, TeamSnap, Facebook, or other forms of social media. All correspondence must be approved, reviewed, and/or sent out either by the Head Coach and/or Board Members.

    * Parents must ask permission of the Head Coach AND Board to plan and/or organize any events on behalf of the club or for club members to attend. This includes parades, performances, fundraisers, parties, social events, etc. All events must be approved and reviewed by the Head Coach and or Board Members to ensure the event aligns with the values of Remix Baton Club, can be approved and sanctioned by ABTA, and allows members adequate time to plan and prepare.

Should any issues arise within the club that a parent feels need to be addressed, please contact the Board for appropriate action and resolution.

  • Communications

To ensure clarity, respect, and timely responses, Remix Baton Club establishes the following communication standards:

    ·       All official club communication will be sent through email and TeamSnap.

    ·       In-person communication may take place before or after class time with a coach’s availability.

    ·       The Coaching Team and Board are committed to providing timely communication and will make every effort to reply to emails and TeamSnap messages within 72 hours. Please allow this time before following up.

    •  Board Members specifically can be reached by email.
    • Coaches can be reached through TeamSnap or email.

    ·       In emergencies or urgent situations, phone contact may be used.- Emergencies are defined as immediate health, safety, or urgent family concerns.

    ·       Social media direct messages (Facebook, Instagram, etc.) are not monitored and should not be used to contact coaches or the club. These platforms are not monitored and only used for club promotions and new interest.

    ·       Approval from the Head Coach and Board must be obtained before sending any communication on behalf of the club. This includes emails, TeamSnap messages, and posts in social media groups. A simple request for permission (e.g., “Can I send this out on TeamSnap?”) is sufficient to obtain approval.

    ·       Unauthorized communication will be treated as a violation of the Parent Code of Conduct.

  • Disciplinary Action Policy

Please note the following 3-strikes protocols:

    ·       Athletes must abide by the Athlete Code of Conduct at all times.

    ·       If an athlete is spoken to about behaviour 3 times within one night of classes, the parent/guardian and/or emergency contact will be contacted and asked to remove the athlete from class. A written strike will be given.

    ·       Athletes are expected to follow ALL policies, including the dress, equipment, conduct, and attendance policies listed above. Failure to meet the requirements and/or being unprepared for class will lead to the athlete being dismissed from class and will result in a strike. The strike will be provided to the athlete in writing.

    ·       If an athlete sits out for behaviour or for not following policies 3 times within the span of one season (i.e. incurs 3 written strikes), the athlete will be asked to leave Remix Baton Club for the remainder of the season. The athlete may be permitted to return to the Club in future seasons at the discretion of the Head Coach and Board Members.

    ·       All strikes will be documented.

    ·       Athletes must get their strike notice signed by their parent/guardian. A carbon copy is also held by the Head Coach.

    ·       Parents and athletes must sign and return their copy of the written strike.

    ·       If parents do not abide by the Parent Code of Conduct, they will also be penalized under the 3-strikes policy.

    ·       Parents must follow these guidelines. If a parent incurs 3 strikes within a given season, they and their athlete will be asked to leave Remix Baton Club for the remainder of the season. Registration with the Club in future seasons will be at the discretion of the Head Coach and Board Members.

    ·       Remix Baton Club retains the right to remove any member (athlete/parent/volunteer/board member/etc.) at any time if they feel that the club is no longer a good fit for either party.

  • Additional Policies for Competitive Athletes

    Hourly Training Requirements

    • Pre-Competitive and Competitive athletes must meet the minimum weekly training hours required for their level. (See class descriptions above.) These required hours do not include private lessons, flex time, or junior coaching. Only scheduled instructional class time counts toward mandatory hours.
    • Class schedules are designed to support competition event preparation. Athletes who do not attend their required hours may forfeit the opportunity to learn, complete, or compete in specific competitive routines.
    • Payment obligations remain the same regardless of the number of hours an athlete attends. Families choosing not to meet the required hourly commitment are responsible for the full class fee and accept that their athlete may not learn or perform all routines.
    • Athletes who consistently miss their required hours may lose eligibility for competitions, performances, team selection, or special opportunities at the discretion of the Head Coach and Coaching Team.
    • All competitive individual choreography must be completed by the end of October each season. It is the athlete’s responsibility to:
      • Learn and retain their choreography
      • Review practice videos provided
      • Practice outside of class
      • Arrive prepared to demonstrate choreography at the following class
    • If an athlete does not remember their choreography or falls behind, they must book private lessons to catch up. Athletes who continue to fall behind may be withdrawn from scheduled events or competitions at the discretion of the Head Coach and Coaching Team.

Club Criteria for Obtaining Tape on Batons

    ·       Tape on batons is intended to aid with grip. When learning rolls, proper tracking, and awareness of baton placement is necessary for the success of performing rolls correctly at this beginning stage. If an athlete trains with tape too early, bad habits can develop in the tracking of their rolls and placement and grip when tossing their baton.

    ·       Athletes will not be provided with or allowed to use tape for their batons until they can consistently perform a double elbow layout.

    ·       Grip tape can only be black, white or grey for competitions and is only permitted to cover the centre third of an athlete’s baton.

    Travel

For competitive athletes, there is the opportunity to travel. This includes locally, provincially, nationally, and internationally. As representatives of Remix Baton Club, when travelling, exceptional behaviour and conduct are expected as well as the same expectations listed above. All participants are expected to be polite, positive, well-mannered, cooperative, respectful, and considerate to all those encountered, as well as those with whom they are travelling. There are many circumstances where athletes may be driving or rooming together. Good sportsmanship should always be displayed.

    Freestyle and Pair Athletes

    ·       All choreography and required badges must be completed in the summer prior to the start of the new season.

    ·       Freestyle athletes must complete their Gold Pin or higher to be eligible to compete in Level B Freestyle in Canada.

    ·       Those wanting to compete in Freestyle/Pair must book a weekly 1-hour private lesson.

    ·       The coach has the final say regarding music, costume, choreography, division, and theme choices, but is willing to take athletes' suggestions.

    Private Lessons

    ·       Private lessons are available to all athletes, regardless of skill or level.

    ·       Private lessons are available only in addition to an athlete’s required weekly training hours.

Athletes who are not meeting their minimum hourly commitment must first meet this requirement before private lessons may be booked.

    ·       Private lessons are not a substitute for required class hours.

    ·       Preferred private lesson times are during the designated flex hours of Sunday practices, subject to coach availability.

*The designated flex time on Sundays is intended for optional extra practice or private lessons. This time does not count toward, nor may it be used as a substitute for, the required competitive hourly training commitment.

    ·       Private lessons may be requested on the registration form for a recurring weekly time or booked on a one-off basis using the club’s private lesson request link.

    ·       Private lessons are intended to provide supplemental instruction for skill development, competition preparation, or choreography review.

    Guest Instructors & Drop-In Classes
From time to time, Remix Baton Club may invite guest instructors to lead specialty workshops or training sessions.
Optional drop-in classes may also be offered to supplement regular training. Fees, schedules, and expectations for these classes will be communicated in advance. All regular policies remain in effect during guest or drop-in sessions.

    Performance Team Athletes

    ·       Competitive Performance Teams are invitation-only.

    ·       Pre-Competitive and Competitive athletes may be invited to join a team based on the effort, commitment, and work they demonstrate at the beginning of the season.

    ·       There is no formal audition process; athletes from any level may be invited.

    ·       Athletes who have received a strike prior to team selection will not be eligible for invitation.

    ·       Athletes who incur strikes after being selected may be removed from the team at the discretion of the Coaching Team.

    ·       More detailed team-specific policies and expectations will be provided with the official team invitation and must be reviewed and agreed to before participation.

  • Payment Policies

    ·        All athletes are charged a $100 registration fee; this is a once-per-season administrative fee to cover the annual cost of the required provincial memberships for all club members. The registration fee must be paid prior to attending the first class, and is non-refundable.

    ·       Class fees vary depending on competition level and are outlined in the class selection form. Note that fees are quoted on a monthly basis; this monthly rate has been calculated based on the number of regular classes held in a season and accounts for exceptions to the weekly schedule, including holidays.

    ·       Registration in recreational, pre-competitive, or competitive programs is an annual commitment; month-to-month registration and payment is not available.

    ·       An invoice for the registration fee and the first portion of the season (September to December) will be sent upon registration, and will be due on the date of the athlete’s first class. Class fees for the second portion of the season (January to June) will be invoiced in December.

    ·       All invoices will be sent via the Square platform.

    ·       Incremental payments may be made on any invoice, provided the full payment is received by the due date.

    ·       Invoices for incidental charges such as costumes will be sent monthly, as appropriate. Such charges will be in addition to any applicable class fees.

    Payment Methods

    ·       All methods of payment are accepted, including cheques, cash, e-transfers, debit, and credit.

    ·       Debit and credit payments can be made directly on the emailed Square invoice. For other payments, once received, the invoice will be marked as paid, and an updated email receipt will automatically be sent.

    ·       Please send e-transfers to remix.baton@gmail.com. Password: Baton202X (Current Year).

    ·       Cheques are payable to Remix Baton Club.

    Discounts and Funding

    ·       Remix offers discounts in the following cases

o    Full season payment upon registration:15% off

o    Sibling discount: 15% off (note: all siblings must remain registered for the season)

o    Referral discount: 10% off of one month of classes

o    Junior coaching discount: athletes working for the Club as junior coaches may be entitled to discounts on class fees, to be discussed with the Head Coach

    ·       Several sporting bodies provide funding to athletes.

o    ABTA/Central Region: funding is available to pre-competitive and competitive athletes through the regional branch of the provincial baton twirling organization. This funding is derived from various ABTA fundraising initiatives and requires that athletes keep and submit competition receipts to the Club. Specific receipts will be requested by the Treasurer when needed, so it is strongly advised to track all competition expenses. The specific amount of funding varies year to year, and when awarded is applied by the Club against any balance owing that an athlete may have.

    o    KidSport: https://kidsportcanada.ca/alberta/calgary/apply-for-a-grant/

    o    JumpStart: https://jumpstart.canadiantire.ca/pages/individual-child-grants

o    Note that KidSport and JumpStart require the athlete or their families to apply for grants, and that these programs are independent of Remix Baton Club and ABTA. Neither Remix nor ABTA guarantees acceptance into either KidSport or JumpStart.

    Late and NSF Fees

    ·       All invoices are subject to a 30 day grace period, after which time a 5% late fee will apply. Accounts to which the late fee has been applied, which remain in arrears for more than two weeks, will result in the suspension of the athlete from classes and competitions until such time as the account is paid in full, including any late fees.

    ·       Any NSF payments received will incur a $25 NSF charge.

    ·       Any athlete holding an outstanding balance shall not be permitted to register for subsequent seasons unless and until full payment (including any late fees) is received and processed by the Club.

    Cancellations and Refunds

    ·       At the discretion of the Club Executive and/or the Head Coach, classes may be cancelled due to extenuating circumstances, including but not limited to extreme weather, natural disaster, coaching staff illness or personal emergency, or gym cancellation. In the case of a class cancellation, every effort will be made by the Club and the Coach to offer a make-up session.

    ·       Refunds will not be provided in the case of an athlete's absence, regardless of reason.

    ·       Athletes/families wishing to withdraw from the Club must provide one month’s notice, and shall be responsible for all applicable class fees through to the end of the one-month notice period. Fees for classes beyond the notice window shall be cancelled by the Club, or refunded in the case they have been prepaid. Should the athlete/family provide less than one month’s notice of withdrawal, they remain responsible for the one-month fee window.

    ·        Athletes/families whose enrollment is terminated by the Club shall have all future fees waived, or in the case of prepayment, all fees applicable to the period beyond termination refunded. No refund of fees prior to termination will be offered.

    ·       Athletes/families who withdraw from or are terminated by the Club at any time shall forfeit the $100 registration fee in all cases.

    ·       No refunds of any class fees or the registration fee shall be issued on or after March 1, regardless of circumstance.

    ·       Notwithstanding the above, the Club may pay out outstanding credits to account holders at the end of the season, in the case that the account credits exceed any remaining charges. Account holders may instead choose to roll any such credits over into their next season with the Club.

    Competition Fees

    ·       Remix Baton Club submits competition entry fees as a lump sum on behalf of all athletes as required by Central Region.

    ·       Parents/guardians are required to submit their athlete’s competition fees to the club by the internal deadline provided.

    ·       Failure to make payment by the internal deadline will result in the athlete being withdrawn from competition entries.

    Donations

Remix Baton Club is grateful for the generosity of our community. Donations of any kind; monetary, equipment, food, or other items are always welcomed and greatly appreciated as they benefit all members of the club.

    Please note:

    • All donations are considered unrestricted and require a signed agreement before being accepted.
    • Donations from corporations or individuals are accepted without any express or implied conditions, rights, privileges, or personal benefits to the donor, their family members, shareholders, or directors.
    • While donors may indicate a preference for supporting certain programs or activities, final allocation of donations will be determined by Remix Baton Club to best serve the needs of all members.
    • Donations cannot be redeemed at a later date, nor can they be applied toward fees, credits, or the personal advancement of any individual athlete.

  • Remix Baton Club has created and aligned these policies in support of the Alberta Baton Twirling Association (ABTA) and the Canadian Baton Twirling Federation (CBTF).

We thank all athletes, parents, and families for their understanding and agreement to the policies outlined above. By following these policies, we are able to provide a safe and welcoming environment where athletes can discover their potential, develop skills in baton twirling, dance, and acrobatics, and build life skills such as teamwork, dedication, and confidence.

As a non-profit organization, Remix Baton Club is committed to providing affordable, family-oriented programming. All decisions made by the Head Coach, Coaching Team, and Board are guided by the best interests of the athletes and the long-term sustainability of the club.

I hereby acknowledge that I have read, understand, and agree to abide by all terms, conditions, and policies of Remix Baton Club and this agreement as detailed above.
