Thank you for your interest in being a merchandise vendor for the second bi-annual 2025 NC Muslim Festival. This city-permitted event will be held on Saturday, May 10, 2025 in downtown Greensboro at Center City Park, 200 N. Davie Street from 10:00 AM - 6:00 PM.  It will be free to attend and open to the public.

In 2023, the first NC Muslim Festival was blessed with over 1,000 attendees. This diverse crowd of people filled Center City Park - downtown Greensboro with peace, love and unity. Greensboro welcomed people from Charlotte, Raleigh-Durham, Eastern North Carolina and as far as Indianapolis to participate in this first-time statewide NC Muslim Festival.  The purpose of this event is to promote cultural understanding, arts, diversity, education, humanity, and of course, unity. 

We invite you to participate by bringing your business to the festival. Vendor fees will vary based on food trucks, food tables, and merchandise tables. Only one business vendor per space with no sub-leasing allowed. Food tables, exhibitors, and merchandise vendors are responsible for their own tables (1) and chairs (2). Vendors are responsible for their own set-up on Saturday, May 10, 2025, between 9:00 am - 10:30 am. Vendors are required to clean up their own area before leaving. The NC Muslim Festival will not be responsible for any theft, damage, or personal injury on the city property throughout the duration of the event.

Space is limited and will be provided on a first-come, first-paid basis. While there is no application fee, there is a vendor fee that's to be paid when you submit your application. Since this is a city-permitted event, all vendor applications will be reviewed for approval by the city. Anyone not approved will receive a refund. Vendor application deadline is before November 15, 2024, to retain their space. Prices are subject to increase after this date.

The merchandise vendor fee is $100.00 if you register before Nov. 14th. Price may increase afterward.

To confirm your vendor space you application must be submitted along with your payment (credit card or cash app). Failure to submit your payment at the time of your application will forfeit your application as we do not hold on to applications without payments.

 VENDOR SPACE:

•  All vendors are required to read, complete & sign a vendor application.
• Vendors are considered on a first-come, first-paid basis.
• This is a city-permitted event with rules & regulations that vendors and member of the NC Muslim Festival planning team must follow.
• The assignment of space and placement of vendors is at the sole discretion of the NC Muslim Festival team.
• All vendors are required to have their space clean, neat, and free of hazards.
• An adult representative of the participating vendor must be present at all times during all operating hours of the festival. Children are not allowed to manage tables alone. 
• Vendors are responsible for providing their own table (1), and chairs (2).  
• Vendors may only be set up in the designated space determined by the NC Muslim Festival team on the date agreed upon. Vendors may only be on-site during the designated time.
• Set-up and breakdown are the sole responsibility of the vendor.
• Center City Park and NC Muslim Festival are both non-profit entities and do not pay taxes on vendor sells, and this is, therefore, the responsibility of all vendors. Vendors are encouraged to bring and display a copy of their Tax ID or SS.
   

LICENSE AND INSURANCE:

• Each vendor is expected to comply with all local, state, and federal regulations regarding merchandise and sales taxes.
• Insurance: NC Muslim Festival accepts no insurance liability for vendor goods and services. Vendors concerned about insurance issues are encouraged to pursue individual event insurance coverage.

  ELECTRICITY:

• Existing electrical outlets are limited. It is available on a case-by-case basis for an additional fee. You must provide your own electrical cord. 

 LOAD-IN AND SET-UP:

• Merchandise vendors are required to check in at the festival registration location prior to loading in and setting up. Festival registration information will be provided via email no later than the Monday prior to the festival. Without confirmed registration, vendors will not be allowed to access festival grounds to set up.  
• Check-in will begin at 9:00 am Saturday, May 10, 2025.
• Tables must be set up before 10:30 a.m., open by 11:00 a.m., and remain open until 7:00 p.m.

• Merchandise vendors must claim their assigned table space no later than 10:30 a.m. Saturday morning as the street for loading will be closed.
• Every vendor must be present and open for business during ALL festival hours.

 A Note About Setup:

Vendor space allows for a 10ft x 10ft easy-up tent. Vendors are responsible for supplying tents (optional), chairs, tables, and displays. Vendors must also ensure that their tents are secured in case of wind; we do not allow staking, so vendors must bring weights to hold the tents in place. Vendors who sign up and pay for a spot with electricity must make sure to supply their own extension cords and power strips. PHOTOGRAPHY & PROMOTION:

 •  Food table vendors agree to allow the use of video and photography taken by Festival organizers at the NC Muslim Festival for promotional purposes.

 •  Any photos taken by the NC Muslim Festival are the property of the event.

SAFETY & SECURITY:

• NC MUSLIM FESTIVAL reserves the right to shut down any vendors not meeting cleanliness, and safety codes and laws.
• Canopy tents must be fire retardant; open flames must be located a minimum of 10’ away from all canopy materials.
• All canopies, tents, and other temporary structures must be weighed before you are permitted to open, with the equivalent of 40 pounds per pole minimum. Tent poles are not permitted on the grass. Tables may not open until properly weighted. Upon walk-thru inspection the city may shut you down for not having proper weights.
• The NC Muslim Festival is not liable or responsible for delays, cancellations, or postponement of the festival or events within the festival due to inclement weather, government actions, strikes, or other matters beyond our control.
   

WEATHER:

The NC Muslim Festival team reserves the right to cancel the festival due to extreme weather or public safety concerns, without a refund to the vendor. In the event of such an occurrence, we will reschedule the festival and maintain your booking credit as a vendor.

Legal

MERCHANDISE VENDORS ARE INDEPENDENT CONTRACTORS:

Merchandise vendors execute this Agreement as independent contractors and shall at all times have complete supervision, direction, and control over the services to fulfill requirements. Vendors execute this agreement as independent contractors, not as an employee of NC MUSLIM FESTIVAL.

Vendors will assume responsibility for the appropriate payment of payroll taxes and charges under applicable federal and local law. Vendors agree to take complete responsibility for paying the appropriate federal and state taxes as independent contractors.
