GUIDE TO COMPLETING THE BULK MEMBERSHIP TEMPLATE
To ensure a smooth and timely registration process for your members, please carefully follow these instructions. Failure to adhere to these guidelines may result in delays or rejection of your submission.
1. Unique Email Addresses: Each member must have a unique email address. This is used as their login identifier. Do not use the same email address for multiple members.
2. Email Validation: Ensure all email addresses are valid and free of any additional or incorrect characters.
3. Preserve Column Headers: Do not remove or edit any column headers. Altering headers will cause data upload errors and delay approval.
4. Use of Dropdown Menus: Populate the "Gender," "Race," "State," and "OrderApi (Membership Type)" columns using the provided dropdown menus to ensure correct data formatting.
5. Address Formatting: Remove commas from address fields.
Correct any invalid formatting, such as capitalization. All street names must be properly capitalized (e.g., "205 DAINGERFIELD RD").
Improperly formatted addresses will trigger errors and prevent file upload.
6. State Abbreviation: Use the dropdown menu embedded in the column (Column F)
7. International Addresses: If a member has an international address, please leave it blank. (PLEASE DO NOT REMOVE ANY THE COLUMNS)
7. Birthdate Format: M/DD/YYYY
8. Phone Number Review: Check all phone numbers for any invalid characters to avoid upload errors. Ex. 703-837-2085
9. Country/Territory Specification: For members with existing NSBE accounts, specify the country/territory to avoid triggering errors and delays.
10. Officer Information: Do not include officer information in the bulk membership template. This is a separate process that you will need to handle as the advisor or chapter president.
Avoiding Common Errors
11. Avoid Duplicate Submissions: If you are asked to correct your spreadsheet or if you haven’t received confirmation after a few business days, do not create a new submission. This avoids the confusion of sorting through duplicates and saves time for everyone involved.
IMPORTANT: If any of the submissions do not align with the criteria above, they will be rejected, leading to delays in member registration. Please ensure all instructions are meticulously followed to complete the process efficiently.
