+ Sponsors acknowledge that this event will be hosted rain or shine.
+ Sponsors planning to attend onsite (with or without a vehicle) will bring any necessary supplies to include a table, tent, tent weights, etc. WiFi and Electricity will not be provided.
+ Sponsors and their representatives shall conduct themselves in a manner that is appropriate for the family-oriented event, which includes but is not limited to: no smoking; no profanity; and no display of inappropriate content or clothing.
+ Sponsors displaying vehicles must be insured and provide a Certificate of Insurance (government agencies are exempt from this requirement). Vehicle sponsors will be responsible for their own property and held responsible for any damages to Langley Speedway as a result of negligence or misconduct on their behalf.
+ Sponsors agree to indemnify, defend and hold harmless the Junior League of Hampton Roads, its members, and its volunteers from any and all claims, including reasonable attorney’s fees and costs, of liability as it relates to Tour of Trucks participation.
+ Sponsors displaying vehicles understand that children and families will likely be taking photos in and around each provided vehicle, and grant permission for families to do so.
+ Sponsors grant permission to the Junior League of Hampton Roads and all vendors hired on behalf of the JLHR to take photographs or record videos of sponsors/vehicles during the event for the purpose of promotion and publicity of the event and the JLHR
+ All sponsors can provide an item to insert in our event VIP bags and an advertisement in our digital event program. These assets are due by Friday, March 31. Approximately 200 VIP bag inserts should be provided to a leaguer or dropped-off/shipped to our office at 729 Thimble Shoals Blvd, STE 4D, Newport News, VA 23606.
+ Digital ads should be designed to be legible on a mobile screen and the sizes by sponsor level are as follows:
- Platinum Sponsor - Full Page Ad (1080x1920 pixels)
- Gold Sponsor - Half Page Ad (1080x960 pixels)
- Silver Sponsor - 1/4 Page Ad (540x960 pixels)
- Bronze Sponsor or Community Partner - 1/8 Page Ad (540x480 pixels)
Ads can be emailed to trucks@jlhamptonroads.org by Friday, March 31.
+ Sponsor tickets will NOT be mailed this year. Sponsors will need to complete the following Will-Call Ticket Form for team members or customers that will be attending the event. Sponsor ticket holders will be able to get their passes at check-in on event day, under their name. Please complete this Sponsor Will-Call Ticket form by Thursday, April 20.
