Our AGM will be held during our Year-End Family Fun Day October 4th.
Members who have Kingston BMX as their home track and are in good standing have voting rights at this meeting [1 vote per member]
Our Board of Directors consists of 6 Executive Members who are voted in.

These positions are:

-President

-Vice President

-Race Director

-Treasurer

-Track Maintenance Director

-Secretary

From these positions, up to 6 Leadership Positions can be appointed at the discretion of the Board. In the past, these roles have included Sponsorship/Grant Coordinator, Special Events Coordinator, Merchandise Coordinator, Social Media Lead, and Canteen Coordinators. These are not limited to and can or will change based on needs for the race season.

Not all of these positions will be available in this upcoming vote due to the KBMX’s Constitution's outline of the length of term.

PRESIDENT - Executive Board of Directors - 3 year Term
Responsible for overseeing day to day operations of KBMX and is the primary liaison with BMX Canada; presides at all meetings of the Association and the Board; accountable for promoting positive relationships with the city, local organizations, board members, riders, parents, and other Track Operators; shall be an Ex-officio member of all committees; ensure that all activities of the Association are carried out in a business-like and efficient manner; represent the Association at official functions and perform or assign other reasonable duties as requested by the general membership and/or the Board.
VICE-PRESIDENT - Executive Board of Directors - 3 year Term
Shall act with the full authority and capacity in the absence of the President; Cross-train on other Executive positions; perform other duties assigned by the Executive Committee.
RACE DIRECTOR - Executive Board of Directors - 2 year Term
Has a good working knowledge of BMX CANADA rules and regulations. Coordinates the scheduling of all practices and races for the season, liaises with Canada BMX, scores and submits races to officials and organizes season programming. Assists with covering as Head Official at races as well as coordinating large events; any other tasks as deemed necessary
TRACK MAINTENANCE DIRECTOR- Executive Board of Directors - 2 year Term
Responsible for maintaining track safety, ride-ability, and curb appeal; Shall coordinate a group of people responsible for maintenance; Shall organize track work days as necessary; Shall, in conjunction with volunteers will prepare the track for racing as needed, including but not limited to season opening, large events and emergencies when caused by weather, vandalism, etc.; Shall be responsible for ensuring the board is aware of any equipment that may be needed for the work that is needed.; any other tasks as deemed necessary
TREASURER - Executive Board of Directors - 2 year Term
Shall maintain the financial books and records of the Association in accordance with accepted accounting practices.; Shall receive funds from all activities of the Association; Shall make expenditures in accordance with the approved budget of the Association; report the financial status of the Association at all meetings and shall prepare an annual statement for the Annual General Meeting (AGM); any other tasks as deemed necessary
SECRETARY - Executive Board of Directors - 2 year Term
Responsible for all correspondence for the association including: emails, letters, phone calls etc.; takes minutes for any meeting of the Executive Board; ensures updates/new information is sent out to the members, as needed; any other tasks as deemed necessary

SPONSORSHIP/ GRANT COORDINATOR - Leadership Committee - 1 year Term
Reach out to the community for corporate and local sponsorships to raise money for track maintenance/upgrades, weekly awards and/or big event awards, as well as promoting KBMX. Research and apply for grants that will present our club and riders with new opportunities.
VOLUNTEER COORDINATOR - Leadership Committee - 1 year Term
Coordinates a small group of people responsible for weekly maintenance around the track, organizes track work days as necessary, preps the track for practices and races, as well as general upkeep of the grounds. Recruiting and coordinating people for larger race events ie, Provincial, National and Gold Cup races for help on the track during the event.
SOCIAL MEDIA LEAD - Leadership Committee - 1 year Term
Maintaining and updating all forms of social media; sharing special events with the community, promoting programs
MERCHANDISE COORDINATOR- Leadership Committee - 1 year Term
The Merchandise Coordinator is responsible for managing all aspects of Kingston BMX’s merchandise program. Key duties include sourcing and ordering BMX-branded merchandise for direct sale, monitoring and updating the online store, collecting jersey orders from riders and submitting bulk orders to the supplier, and ensuring timely communication with families regarding order status. This role also requires attending major events to oversee merchandise setup, sales, and inventory management. The Coordinator helps maintain a positive, organized, and customer‑focused experience for riders and families while supporting the financial sustainability of the club.
CO-CANTEEN COORDINATOR - Leadership Committee - 1 year Term
Prepare, serve and sell food and beverages; assist with food preparation and pre-event food prep; provide friendly and welcoming customer service; handle cash, operate point-of-sales system (Square), and complete cash reconciliation after each event; replenish stock and assist with grocery shopping as needed; maintain cleanliness, hygiene, and food safety standards in the canteen.
SPECIAL EVENTS COORDINATOR- Leadership Committee - 1 year Term
Assisting in the planning of special events/races such as the Back to School Race, Race For Life, Family Fun Day, Provincial/Gold Cup/National events and any other special events as determined by the Board of Directors. Reach out to the community for corporate and local donations (monetary and goods) for event raffle tables; oversee the execution of raffle tables, 50/50 draws, and other fundraising initiatives; operate a point-of-sales system (Square), and complete cash reconciliation after each event; distribution of awards in relation to fundraising efforts. Recruiting and coordinating individuals for larger race events for help on and around the track ie, Provincial, National, Gold Cup Races
