No booking will be accepted from hirers under the age of 18.
1. Before practicing at 'Maple Wellness'
a. You ‘the hirer’ accept full responsibility for and agree to provide a copy of the following to: paula@mindyoukent.co.uk
· Professional indemnity and public liability insurance
· Certificates of qualifications for the services you practice
The hirer agrees that 'Maple Wellness' shall not be responsible for any treatments or appointments made between the hirer and their clients.
b. 'Maple Wellness' will not take bookings on behalf of the hirer. The hirer will operate independently, maintaining full control over bookings, finances and development of their own practice.
c. Maple Wellness' will not deal with any money transactions and payments of fees on behalf of the hirer.
2. Use of 'Maple Wellness'
The hirer agrees:
a. To leave the building in a clean and tidy condition and should be the last person to leave the building. All furniture must be returned to designated areas and any kitchen equipment used, washed and put away. All rubbish must be placed in the bin provided in the kitchen. If any incidents or problems occur that will require attention, these must be reported to Paula Emmens or Emma Miller immediately.
b. To allow a minimum of 15 mins between bookings of another hirer, to allow time to clean and tidy the space and vacate for the next hirer.
c. To only use 'Maple Wellness' during the hours that have been agreed and booked in advance using the online booking system. If you require extra time to prepare the room, prior to seeing clients or when a client has finished then this time needs to be booked and paid for. (15 mins is already allowed for between bookings for cleaning and tidying the space)
d. To be responsible for the condition of 'Maple Wellness' during use and the hirer agrees that any loss or damage that occurs during the use of the room, will be charged to the hirer and payment must be received within 14 days of billing.
e. To maintain the highest standard of professional conduct at all times and to accept full responsibility for their own conduct and that of their clients. The hirer will be present throughout the hire and the premises must not be left unattended at any time.
f. To obtain an electrical safety test certificate for any of their own electrical equipment that they use on the premises.
g. To take all steps necessary to comply with health and safety and fire safety standards. Hirers are responsible for making sure their clients vacate the building and are accounted for in the case of a fire. It is the responsibility of the hirer to ensure that no fire exits are obstructed at any time.
h. Any costs incurred by 'Maple Wellness' as a result of the fire alarms being activated maliciously during a hire will be invoiced and charged to the hirer.
i. Not to bring into 'Maple Wellness' any flammable or combustible materials. The use of candles or burning incense within the building is strictly forbidden. Smoking is not permitted anywhere in the building.
j. At all times to maintain adequate professional indemnity and public liability insurance and to provide details thereof to 'Maple Wellness' when required to do so.
k. Not to attach any decoration to the fabric of the premises.
l. To own a personal music licence OR play unlicensed PPL/PRS music, if music is to be played. (PLEASE NOTE: Maple Wellness does not have a music licence).
m. To ensure that all equipment, lights and sockets are switched off at the walls please. Room windows and blinds are closed, and doors are locked on departure. If you are the last person in the unit, please also ensure to lock the entrance door.
n. In the unlikely event of a booking being cancelled by 'Maple Wellness’ all monies paid will be returned, but 'Maple Wellness' will accept no responsibility for any other loss to the hirer.
o. That this agreement is personal to the Hirer that signs this agreement and cannot be assigned to anyone else.
3. Payment of ‘Maple Wellness’ Hire
a. All bookings must be paid for by 1st calendar day of each month following the month of hire, via BACS (Bank Transfer). For Standing Order payments, 1 month payment in advance is required. Please set your standing order for the 1st of the month. A BACS payment may be required whilst the standing order is being set up.

b. Keys will be required to access the building. Hirers are required to pay for each key required at a cost of £10 per key via BACS. All hirers will need a main entrance key plus a key for each room which will be hired.
c. The current room hire charges for 'Maple Wellness Members' are:
· £15 per hour - Large Room with Couch (Teal Room)
· £10 per hour - Small Room (Purple Room)
'Maple Wellness' will aim to provide 3 months’ notice of any changes to the above prices.
4. Cancellation
a. Using the online booking system, the hirer agrees to provide as much notice of cancellation as possible. No refund is given for cancellations of any booking with less than 48 hours’ notice. We recommend that the hirer agrees similar terms with their own clients.
b. For standing order payments the hirer is paying for a regular payment to guarantee a regular booking, therefore cancellations are not allowed. If you wish to permanently cancel your regular standing order booking, then at least 1 months’ notice is required.
c. 'Maple Wellness' reserves the right to cancel room hire if it is unable to provide access or hire rooms due to any events beyond its control including but not limited to flood, fire, breakdown of heating, power failure or any other events beyond its control.
d. 'Maple Wellness' reserves the right to cancel the agreement on four weeks’ notice or without notice if the hirer is in breach of this agreement or if 'Maple Wellness' ceases to trade.
5. Health & Safety
a. A first aid box & accident book are kept in a cupboard in each room marked with first aid signage. Ensure you use the yellow bin for disposing of any soiled PPE and clinical waste.
b. There are two Fire extinguishers located inside the lobby door/fire exit.
· Carbon Dioxide 2Kg Co2 Fire Extinguisher (For live electrical equipment and flammable liquid fires).
Ensure you position the hose and horn before use, as there is a risk of freeze burn.
· FirePower 9Ltr Water Fire Extinguisher. (For multi risk situations where both paper, wood & textiles are likely to be found).
The Fire Assembly Point is the far side of the main carpark.
Hirers are responsible to escort their visitors to the Fire Assembly Point.
NB: Fire Alarm testing occurs every Monday at 11:00. There is no need to evacuate the building unless the alarm continues.
6. Parking
Please take care to park within the marked parking bays. There is a disabled space directly outside the access door which can be used by blue badge holders.
'Maple Wellness' reserves the right to amend or change these conditions at any time.
