2023 AGM & CONFERENCE: GROWTH, INNOVATION AND CONSTANT EVOLUTION

Thank you to all previous, future and interested sponsors of the CLRA Alberta Chapter AGM & Conference.  We are delighted that we are moving the AGM & Conference to the Edmonton Convention Center (ECC) – Edmonton will be a grand change!!  The CLRA Sponsorship Committee is excited to share the new sponsorship opportunities that we hope will bring some fun and excitement to our sponsors and delegates!!  The ECC is a beautiful space that we hope will be welcoming and provide great opportunities for learning, networking, and sharing ideas/thoughts on how we can improve and grow our industry!!    

Please read the following rules and guidelines carefully as failure to comply may result in losing your requested sponsorship of choice. A limited number of sponsorships are available; we thank all who have applied in advance.

GENERAL

• All sponsorships (including the new sponsorship opportunities) will be on a first come first serve basis and determined by the time stamp on the sponsorship form submission.
• Please pick the top five choices you wish to sponsor; in the event your primary choice is taken. The selections are ‘drag and drop’ to your order preference (top being your most preferred and the bottom you least).
• All sponsors will have their company name and/or logo displayed on the main conference hall screens, on a banner near the registration booth, within the conference program app and on the CLRA website.

PAYMENT, DEADLINES, AND LOGO REQUIREMENTS

• Submit your application with your credit card information to the CLRA Alberta Office.
• Your submission MUST be received via this this form, other methods of submission will not be accepted.
• Payment for sponsorship must be received by January 11, 2023, to confirm your sponsorship, no exceptions.  Payments are non-refundable after January 13, 2023.
• All sponsors are to submit company logos in both JPEG and EPS format via upload or email no later than January 11, 2023, no exceptions. WITHOUT YOUR LOGOS YOU WILL NOT BE ADVERTISED!  Logos must be sent to the CLRA Alberta Board (alberta@clra.ca) or submitted with the submission of the sponsorship form.

BOOTH SPONSOR INFORMATION

• There are 54 booth spots available in the main hall (see the attached floor plan).
  • Super Booth Level Sponsors (1 available) are entitled to one booth in the main hall as well as THREE delegate passes. $5000
  • Gold Booth Level Sponsors (13 available) are entitled to one booth in the main hall as well as TWO delegates passes. $3500
• The Super Booth space is approximately 20’ by 20’ (may vary slightly). Super Booth space can be transformed into personalized social spaces with couches, chairs, company equipment, bar and/or food service. If you need additional booth items (e.g. furnishing, specialty furniture, carpet, plants) you will be able to work and order directly from the ECC.  Any additional items ordered is the responsibility of the sponsor. Prior approval from CLRA Alberta is required. Please do not bring a booth or material exceeding these dimensions.  Side banners within booth space are not permitted this includes any items that may block the view to adjacent booths.
• The Gold Booth space is approximately 10’ by 10’ (may vary slightly). Please do not bring a booth or material exceeding these dimensions.  Side banners within booth space are not permitted this includes any items that may block the view to adjacent booths.
• Set-up for booth sponsors can occur from 3 PM to 8 PM on Wednesday, February 22, 2023. Take down of booth can occur after 3 PM only or otherwise indicated, on Friday, February 24, 2023. Early teardown of booths will result in loss of sponsorship the following year.
• Each booth space includes:
  • 8' High back drape, 3' high side drape
  • 6' skirted table
  • 2 padded chairs
  • 1-1500 watt 120 volt 15 amp duplex outlet
• Marshalling – If you will be using the Edmonton Convention Center docking area, you will be charged a marshalling fee (the CLRA will not be responsible for payment of this fee).  To avoid the marshalling fee, you can bring in your booth material through the main entrance and down the elevator and into the Exhibition Hall.  More information regarding this will be provided to the booth sponsors closer to the date of the Conference. 
• Booth sponsors will have access to one reserved hotel room.  Room fees are payable by the attendee/sponsor.

LOUNGE SPONSORSHIP INFORMATION SOLD OUT

• There are 4 Lounge sponsorship spots available outside of the main hall (See floorplan). $2000-$3500
• The Lounge will be open for the duration of the conference with bar service available:
  • The Wednesday Welcome Reception
  • Thursday from 11AM to a time to be determined
• The Lounge will serve drinks and a selected assortment of snacks. 
• The Lounge will be a cash bar venue (unless the delegate has a Lounge Drink Ticket)
• Includes:
  • Reserved Tabletop Seating (1)
  • Window Clings (2)
  • Logo'd Tabletops (3) 
• Opportunity to purchase lounge drink tickets with your company logo - $10/ticket.  Tickets sold in bundles of 50.

EVENT SPONSORSHIP INFORMATION

• Breakout Room (SOLD OUT) – The sponsor will have the opportunity to have a banner stand and small table inside the room. This table is to be no more than 4’ square or 36” round. Additionally, the sponsor’s logo will be always displayed on the screen between presentations. No networking will be allowed during presentations. Teardown will be allowed after the last Breakout Room session on Friday, February 24, 2023 (time TBD). $650
• Pop Up Banner Stands (Breakout Level) (21 Available) – The sponsor will be able to have a banner stand (sponsor to provide) on the Breakout Level for the Conference. Set-up for pop up banners stands can occur from 3 PM to 8 PM on Wednesday, February 22, 2023. No networking will be allowed during presentations. Teardown will be allowed after the last Breakout Room session on Friday, February 24, 2023 (time TBD). $250-$300
• The Program App (SOLD OUT) – The sponsor will have their company logo on the main header of the Pheedloop app. $1000
• Lanyard (SOLD OUT) – The sponsor will be responsible for supplying 800 double-ended lanyards to the AB CLRA Board one week prior to the conference. The design is up to the sponsor; however, the lanyards must be no-spin style with clips on each end. Plastic name tag holders are not required. NOTE: This sponsorship has a two-year option available (with the sponsorship fee being paid annually).  
• Hotel Room Key (SOLD OUT) – The sponsor is responsible for arranging the appropriate number of keys to be purchased and printed with their company logo and be delivered to the hotel(s) no later than January 15, 2023. NOTE:  This sponsorship has a two-year option available (with the sponsorship fee being paid annually). 
• Speaker Gift (SOLD OUT)– The sponsor will receive verbal recognition during the gift presentation to the speaker. $750
• Keynote Speaker (SOLD OUT)– The sponsor will receive verbal recognition and have their logo displayed digitally. $1250
• The Stamp Game (SOLD OUT) – The sponsor will have logo recognition on the game form. $500
• Wednesday Workshop (SOLD OUT) – the CLRA Program Planning committee is working on a Wednesday Workshop. This will be a ~3-to-4-hour session on Wednesday afternoon (snacks and beverages will be served). There will be a limit of attendees to this workshop, but that number has yet to be decided. The Sponsor will have the opportunity to have a banner stand and small table inside the room. This table is to be no more than 4’ square or 36” round. Additionally, the sponsor will be recognized verbally, and the sponsor’s logo will be always displayed on the screen before the workshop begins. Networking will not be allowed during the workshop. Teardown will be allowed at the end of the workshop. $1500
• Wednesday Welcome Drink Tickets (SOLD OUT) – Each conference delegate will receive two drink tickets that can only be used at the Wednesday Welcome Reception. The drink tickets will have the sponsor’s logo printed on them. $1000
• Smoothie Station (SOLD OUT) – The sponsor will have their logo featured in the smoothie disbursement area. $800
• Coffee Station (SOLD OUT) – The sponsor will have their logo featured in the disbursement area(s). $750
• Water Station (SOLD OUT) – The sponsor will have their logo featured in the disbursement area(s). $750
• Thursday Main Hall (SOLD OUT) – The sponsors logo will be displayed digitally between events and presentations. $1000
• Thursday Breakfast & Morning Snack (SOLD OUT) – The sponsor will be verbally recognized and have their logo displayed digitally. $950
• Thursday Lunch & Afternoon Snack (SOLD OUT) – The sponsor will be verbally recognized and have their logo displayed digitally. $1500
• Thursday Banquet Dinner (SOLD OUT) – The sponsor will be verbally recognized and have their logo displayed digitally. $2000
• Thursday Banquet Drink Tickets (SOLD OUT) – Each conference delegate will receive two drink tickets that can only be used at the Thursday Banquet. The drink tickets will have the sponsor’s logo printed on them. $1000
• Friday Main Hall (SOLD OUT) – The sponsors logo will be displayed digitally between events and presentations. $1000
• Friday Breakfast & Morning Snack (SOLD OUT) – The sponsor will be verbally recognized and have their logo displayed digitally. $950
• Friday Lunch (SOLD OUT) – The sponsor will be verbally recognized and have their logo displayed digitally. $1300

DOOR PRIZE DONATION

• We are asking Sponsors to consider donating a door prize that will be drawn at the end of each day of the Conference in the Main Hall (Thursday & Friday).  It is suggested the door prize be valued between $75 to $500.
