  • Realizing that an injury or illness could occur to my student while traveling to contests, trips, other band activities, and realizing that such an injury or illness could require diagnosis, emergency medical/and or surgical treatment, I hereby authorize such diagnostic procedures, hospital care and medical, surgical, or x-ray treatment as may be requested by physicians, their assistants and/or designees for the above named student. I also give my permission for the offical chaperone (as designated by the band staff) to have access to this medical form and take appropriate action.

    STUDENT UNDERSTANDING: As a student of Jack C. Hays High School, I understand that I am governed by the same rules on this trip as I am while at school. I understand that the possession of, having used, or being under the unfluence of drugs and/or alcohol is prohibited and will possibly cause me to lose my privilege to continue in band. I understand that the school's authority to enforce policy includes the right to inspect personal luggage, etc... I understand that any infraction will be dealt with according to school policy and may result in my being sent home immediately at my parent/guardians expense.   • Marching Band Uniform Guidelines

  • Students will be fitted for their traditional school uniforms July 29th, 2023. The marching uniform for woodwind, brass and percussion members consists of one pair of bibbers (pants), one jacket, two - three undershirts, one pair of gauntlets, one garment bag, one hat with case, and one plume. These uniforms are quite expensive and should be cared for accordingly. Uniforms will not be taken home. They will be stored in the music building after they have been assigned. Uniforms will be picked up by students prior to performances and will be returned at the end of every performance. Color Guard members will be custom fit for their uniforms prior to summer band and will receive special instructions from the guard Director on guard uniform maintenance and expectations. Additionally, it is important to note that expenses for Color Guard uniforms will vary from year to year given the specifications in design. 

    Students will be required to wear marching shoes, gloves and band shirt with their marching uniform and color guard will have additional specifications as well. These items are purchased with your supply fees and will be distributed during summer band or early fall semester contingent upon manufacturer production timelines.

    If school clothing/uniforms are lost or damaged beyond repair, the student will be responsible for any and all replacement costs. By providing your signature below, you and your student are agreeing to these terms. A uniform will not be issued out to a student unless these terms are agreed to by both the student and the guardian.

  • Hays HS Band Grading Policy

    Hays HS Band Grading Policy

  • The following policies apply to all band, jazz band, applied music and color/winter guard students.

    It is important to remember the mission statement of the Hays Band and Color Guard program and the requirement of each student to participate in every performance given by the band. Failure to meet the performance schedule will result in a serious grade reduction.

    Individual classes will have specific grading policies which will be outlined at the beginning of each semester by the director. Students are encouraged to take responsibility for understanding how they are graded and the status of their grade at any given time during the grading period. While grading parameters will change from the fall semester to the spring semester, some of the major factors in determining your grade are:

    • Participation in all rehearsals, sectionals, performances, and contests.
    • Possession of general classroom materials.
    • Class participation and preparation.
    • Recorded playing assignments.
    • Music memorization tests.
    • Music objectives. 

    An unexcused absence from a scheduled rehearsal or performance will result in a zero. Consequences for excessive tardiness/absences from rehearsal and performances include:

    • Failing grades.
    • Limited participation.
    • Loss of marching spot.
    • Removal from program.

    Students exhibiting good attendance, proper preparation, and a positive attitude can expect a very high grade. All students should also strive for a high level of musicianship on all playing tests and performances in order to earn the best grade possible. Please refer to the student handbook for more detailed information on the individual expectations of our Hays Band members.

  • No student may be required to attend practice for marching band for more than eight hours of rehearsal outside the academic school day per calendar week (Sunday through Saturday). This provision applies to students in all components of marching band.

    On performance days (football games, competitions and other public performances) bands may hold up to one additional hour of warm-up and practice before the scheduled warm-up time at the performance site. Multiple performances on the same day do not allow for additional practice and/or warm-up time.

     

    Examples of activities subject to the UIL Marching Band eight hour rule:

    • Marching Band Rehearsal (Both full band and components)
    • Any marching band group instructional activity 
    • Breaks
    • Announcements 
    • Debriefing and viewing marching band videos
    • Playing off marching band music
    • Marching band sectionals (both director and student lead)
    • Clinics for the marching band or any of its components

     

    The following activites are not included in the eight hour time allotment:

    • Travel time to and from rehearsals and/or performances 
    • Rehearsal set-up time
    • Pep rallies, parades and other public performances
    • Instruction and practice for music activities other than marching band and its components

  • HAYS BAND FEES 2023-2024:

    A band membership fee and color guard membership fee will be required by all Hays Band members and will be used to cover a variety of expenses encountered by the band program that are not funded by the Hays CISD. Such expenses may include (but are not limited to) marching drill design, marching music arrangements, certain contest fees, specialized instruction, supplemental supplies, shirts, flip-folders, water jugs, uniform accessories, etc. An additional $125 instrument rental / maintenance fee will be assessed to those students who use school owned instruments.

    These school owned instruments include the following:

    Piccolos

    Oboes

    Bassoons

    Bass Clarinets

    Tenor Saxes

    Bari-Saxes

    Bass Trombones

    Baritones / Euphoniums

    Marching Horns / Concert Horns

    Sousaphones / Tubas

    All Percussion (Drum Line and Front Ensemble)

    All band and color guard fees will need to be paid by the official summer band check-in date of July 29th, 2023. If a member is unable to fulfill full membership fees by this date, those members should email Mr. Rauschuber prior to the July 29th check-in date so that arrangements may be made. It is important to recognize that no student will be gifted their letterman jacket or be allowed to receive their HHS diploma until all HHS outstanding fees are paid for, including band fees. In addition, students will not be permitted to exempt any academic final should they have ANY outstanding fees. All band fees will need to be paid online through the district Revtrak portal. No cash or check payments are accepted by the HHS band program. You can access the Revtrak portal by visiting the band website: www.haysbands.org. More information on how to use Revtrak can be found below. 

     

    BREAKDOWN OF FEES:

    BAND SUPPLY FEE - $275.00

    A minimum deposit of $150.00 is due no later than May 5th, 2023 towards this fee. A parent/guardian may pay the full $275.00 by May 5th should they want.

    This deposit is non-refundable and is required for ALL members of the Hays Band (woodwinds, brass, percussion and color guard).The fee will be used to cover upfront expenses for the members of the Hays Band and Guard programs and will provide Directors with numbers/enrollment for our 2023 marching production. Those who do not pay this deposit by the deadline run the risk of their role in the Hays Band and Guard. 

    CUSTOM UNIFORM FEE - $100 (Woodwinds / Brass / Percussion Only)

    There is a custom uniform fee for members of the Hays Band program in the amount of $100. This uniform fee will be used to pay for the students custom uniform tops as well as cleaning and upkeep. Students will be able to keep their indiviudal uniform tops at the completion of the season.

    INSTRUMENT FEE - $125

    Select students (mentioned above) are required to pay an instrument rental fee. This fee is used to provide service and maintenace to all school owned instruments that are used by our members of the Hays Band. Fees cover the cost of seasonal cleaning and repair as well as replacement fees for instrument accessories.

    *A separate suggested payment plan will be provided to members of the colorguard once price points for the fall uniform and equipment fees are settled. All guard members will be required to pay a fair share fee in the amount of $275.00 in addition to costuming and equipment fees. When registering, a deposit of $150 may be made or the full $275.00. 

     

    OUTSTANDING BALANCES:

    No member is permitted to have an outstanding balance by the official band check-in date of July 29th, 2023. These fees must be paid and cleared for a student to participate in the Hays Band and Guard program.

    All payments will need to be processed online using the Revtrak portal. There are two ways to access the Revtrak portal:

    Once on Revtrak you will need to create an account if you do not already have one from previous district payments. If you have used Revtrak in the past, you can use the same account. To pay fees, you will need to enter the desired amount in which you wish to pay. Please note that the payment schedule listed above is simply a suggested payment plan. You may log-in to Revtrak at any point and pay any amount towards the students outstanding balance.
