    Please Read All Info Carefully: Aloha! Thanks for your interest to join our volunteer crew! We have multiple options so please read all info carefully and select the best fit for you! Standard Volunteers receive access to purchase discount festival passes ($111) in exchange for working scheduled shifts during the event. Must select at least one PRE festival shifts you will be able to work in addition to the standard during festival availability. . Housing, meals, and transportation for all volunteers are not included so please plan accordingly! Thanks so much for your support and joining our Hi.AF crew through this work trade opportunity!   • STANDARD VOLUNTEER ROLES DURING FESTIVAL

    Responsibilities include:

    Working all scheduled shifts during the full three day event

    Being present for any orientaions needed prior

    Purchase of Volunteer Discount Ticket to confirm your status.

    Attending a Scheduled Group Meeting Prior to the Event via Zoom if neccessary

    Reviewing and understanding any info docs shared 

    Duties may include: Moving heavy materials, setting up/cleaning matts, sweeping floors, removing trash, answering guest questions, checking in guests, use of walkie talkie, walking across the property, communicating messages within the team, selling merch, taking stock of  items, keeping areas tidy, re-packing items, etc.

    NOTICE: Failure to work scheduled shifts may result in a charge up to the remaining full amount of the festival ticket price

  • FESTIVAL AVAILABILITY

    Standard Volunteer Thursday 7/27-Saturday 7/29

    The Event is 3 days

    All Volunteers must be present for their scheduled shift time and any info breif/meetings if neccessary.

    Depending on the needs and size of our crew, we will attempt to schedule volunteers to a max of 2 shifts per day (6 total). Shift times will be roughly 2 hours each. Thanks for being flexible and working with us as we dial in the exact schedule and logistic needs for this year!

    All the rest of the time you are free to attend as a regular guest and enjoy the property, festival, classes, workshops, art gallery, and retreat center amenities! Yay!

    We will make it a priority to minimize the time each volunteer is working a shift during class times so that you get the most enjoyment of the festival!

    Your desire to attend a particular class/activity will be taken into account when creating the volunteer schedule!

    Majority of assistance needed will be for checking in guests, cleaning and re-setting matts between classes, directing guests to accommodations, assisting with meal delivery, cleaning up after meals, being an extra hand for the Hi.AF crew during set up/break down for the Saturday Night Party, and general support as needed during the event.

    Missing a shift(s) without proper notice or finding your own replacement, may result in a charge up to the remaining amount of the festival ticket. Just keep us in the loop and we will totally work with any special requests and needs!

  • Early Arrival- Wednesday 7/26- PRE-FESTIVAL SET UP AVAILABILITY

    Arrive early (Tuesday + Wednesday) to assist with Set Up 

    Choose this option work less shifts during the event.

    Housing, Meals, & Transportation not included  

    Must coordinate your own housing and transportation.

    Set up will include moving boxes/materials, painting, posting signage, assisting with decor & art gallery, setting up tables/chairs, relaying info to other team members, using a walkie talkie, joining ourwhatsapp for crew communications, and being on time as needed!

    Breaks will be provided, but please plan to bring your own food/snacks! There will be some light snack items for purchase at the Retreat Center and free water bottle refil stations, but it might be more enjoyable to pack your own food or have your own transportation to the nearest restaurants/stores (20-40 min drive).

    Tuesday Shift start time is 12-8pm Wednesday shift start time is 3-10pm so please plan for a full day of volunteer availability if you would like to select this option. Mahalo!

     

  • Post Festival BreakDown- Saturday/Sunday 7/29-30 

    POST-FESTIVAL AVAILABILITY

    Two options for post festival break down...

    1) Saturday Night 7/29- late night shift 

    2) Sunday Morning 7/30- early morning shift

     

    Choose at least one of these options to work less shifts during the event.

    Housing, Meals, & Transportation not included  

    Must coordinate your own housing and transportation.

     

    Breakdown will include moving boxes/materials, removing signage, assisting with decor & art gallery, taking down tables/chairs, repackaging materials, cleaning mats, sweeping/mopping, collecting trash, moving items to storage, taking inventory, relaying info to other team members, using a walkie talkie, joining our slack or discord for crew communications, and being on time as needed!

    Breaks will be provided, but please plan to bring your own food/snacks! There will be some light snack items for purchase at the Retreat Center during daytime buisiness hours and free water bottle refil stations, but it might be more enjoyable to pack your own food or have your own transportation to the nearest restaurants/stores (20-40 min drive).

    Saturday Late Night Shift starts right after the closing night party ends (10pm) and continues untill all items are stored propertly and removed from the Blue Moon Room. This would likely be a long shift for our crew and would appreciate all the help we can get, the estimated time being 4 hours but could be completed early as well with enough staff!

    Sunday Morning Early Shift is 7am-11am. Final Touches on restoring and resetting the Blue Moon Room. Any remaining items removed or stored, matts removed/stored, and floors swept/mopped in time for the next event hosted by Kalani (Ecstatic Dance) that begins at 10:30am.

  • Hi.AF VOLUNTEER TERMS AND CONDITIONS

     

    1. I agree to be present to my shifts on time, and to advise Hawai'i AcroFest staff well in advance if my availability for rostered shifts changes. 
    2. I agree to be present to orientations 10 minutes before the scheduled staff so as to be informed of particulars of the role and the venue.
    3. I will not turn up to a rostered shift under the influence of alcohol or drugs.
    4. I agree to advise Hawai'i Acro Festival staff if I am unable or uncomfortable to complete tasks that have been assigned to. We will be understanding of these requests, just give us as much notice as possible.
    5. I agree to inform Hawai'i Acrofest Crew immediately of any injuries sustained while undertaking volunteering activities by myself or any guests.
    6. As a member of the Hawai'i Acro Festival team, I will do my best to provide correct information and a positive attitude to all members of the public I deal with throughout the festival.
    7. I agree to work in a constructive and cooperative way with Hi.AF staff and comply with any safety procedures as requested.
    8. I understand that if I am unable to complete my allocated shifts, I may be asked to return my Wrist Band, to fill the space with another volunteer, and/or asked to re-pay the full remaining balance of the Festival Pass.
    9. I understand that I am volunteering my services to Hi.AF and will not receive any remuneration for my services.
    10. I understand that in exchanage for my volunteer services, Hi.AF agrees to offer me a discount on my festival pass.
    11. I understand that if I selected to work an eldigable pre or post festival shift, I will be refunded the volunteer festival pass payment upon completion of my shifts and within 14 business post the event end date.
    12. I understand that all volunteer festival passes do not include housing, meals, or transportation and that these are my own responsibility.
