Thank you so much for your interest in the Woodford Folk Festival.

Filling out an Expression of Interest Form will take approximately 20 to 30 minutes, and it must be completed in one sitting. You will need to include marketing information including biography, images and social media links as well as technical information and details about the the tickets required for your performance or presentation group, so please make sure you have that information to hand.

We know it may feel like an arduous process and we really appreciate your time. At the time that the EOIs are received by the office, there is ONE person sorting through them to make sure that they have all the information required to go to the broader programme team for consideration. Receiving your information in this way is the key to ensuring Woodford is an open-application event, rather than invitation only, so please believe us when we say - we are grateful to you for your time.

 

You must supply support material to be considered by the Festival. We accept online support material only.

Please provide links to your social media. Direct links to video/audio are preferred.

IMAGES FOR PRINT

Please provide an image for use for the Act in our printed programme and website. There will be an opportunity later in the form for additional/different images relating to workshops or presentations if you are a speaker or visual arts/workshop presenter.

Each image must be high resolution (300dpi), colour, and at least 1Mb in size. One image of each orientation (portrait & landscape) is preferred. Please upload 2 colour images of your Act. 

PHOTOGRAPHER CREDIT
We may be able to include the photographer name in socials posts, and website, but will be unable to include if used in the printed programme. Please include photographer credit details below each image.

Please let us know which days you are available to perform/participate.
Please read the following information carefully:

•  The festival is a six-day event. Acts who are available for or over the entire period have a higher chance of being selected as it just makes it easier for the festival jigsaw.

• Please note that access to the festival site for Artists and Presenter is from 26th December only. Do keep this in mind if your family has the beautiful tradition of camping at the festival on Christmas Day - you would not be able to access the site with an artist ticket on that day.

•  Unless otherwise negotiated, day availability means from 7am until 5am the following morning (this will depend upon the type of Act).

•  You may be programmed one or all of the days you indicate.

•  As a general rule, factor on one performance per day that you are available.

• Street acts should be prepared to perform twice a day and be available for New Year's Eve.

•  There may be days when you are not programmed to perform, but be prepared to perform on each day that you have indicated that you are available.

•  Those who present workshops as well as performances may be scheduled up to twice a day.

Subsequent alterations to this availability may affect your fee agreement or the festival's decision to confirm booking your Act.

Woodfordia Inc., promoters of the Woodford Folk Festival, is a non-profit community based organisation. Profits from the festival are used to pursue the goals of the organisation - not distributed to shareholders. Please enter your proposed fee. As a guide, this fee should cover your performance as well as travel and other expenses, payments to all members of the Act etc. It is the festival’s policy not to negotiate on fees, or provide advice on fee calculation. It is a point of pride that the Festival takes all fees at face value and assumes you have valued yourself appropriately.

Travel and Accommodation

The festival does not provide travel or accommodation beyond your stated fee. 

The following information may help you with your fee calculation:

• Transport costs (must be included in your fee).
• All travel costs must be arranged, booked and paid for by you. Woodfordia Inc does not pay for flights. 
• We provide a free shuttle service between the Brisbane airport to the Festival grounds between 26th December and 2nd January only.
• Accommodation costs - estimates only (must be included in your fee). 
• Own tent or sleeper vehicle on Festival site: Free of charge.
• Pre-erected tent hire on festival site: Average cost for a pre-erected tent with 2 beds and bedding is approximately $250 (+GST) for the duration of the Festival. Exact prices for this year are not available yet and may be subject to change without notice. Tent hire bookings will be made at a later date.
• Local motel (booked by you): Average cost $150 per night per room. Local accommodation options have limited availability.
• All accommodation costs, and transport to and from your accommodation must be arranged, booked and paid for by you unless otherwise stipulated by the festival in your agreement. 

Public Liability Insurance 

The festival requires all Artists and Presenters to provide proof of their Public Liability Insurance at the time of contracting.

FEE OPTION 3 - Visual Arts Workshop Fees - Please advise as part of workshop descriptions further in further elements of the form.

Please read the following carefully:
•    The festival supplies basic backline, production and operators for all stages (drum kit, guitar amp, bass amp). Depending on the stage you play, you MAY be required to supply your own keyboard or special percussion.

•    The festival DOES NOT provide hospitality riders.

•    The festival ONLY conducts line-checks, no sound checks.

RIGGING

If your show requires rigging please ensure you have read the Woodford Folk Festival Rigging Overview below:

 

All other equipment including laptops, ipads must be provided by the presenter. 

 

For any workshop to be delivered to participants under the age of 18, the presenter must hold a current government issued Blue Card. 

Woodfordia Inc is unable to provide a list of emails of the participants who booked into your workshop for your mailing list. However, you are free to pass around a sign-up sheet to request participant's email addresses during each workshop.

MERCHANDISE

The following conditions apply at the event:

• All merchandise is sold through The Festival Shop. Merchandise may be promoted, but not sold from the stage.
• Merchandise is reconciled within one month of the festival and no artist is able to receive payment prior to this time. Touring artists especially should be aware of this.
• The Festival Shop charges 20% + GST commission on all merchandise.
