    Winter Center information

  • An External Event is the use of a Millersville University performing arts facility (The Ware Center or Winter Center) for an event that is wholly produced by an organization, agency, or third party that is neither supported by, nor is, a Millersville University department, office, or college.

    An Internal Event is the use of a Millersville University performing arts facility (The Ware Center or Winter Center) for an event that is wholly produced within a Millersville University department, office, or college (henceforth referred to as the MU entity) without an external partner or organization (such as a non-profit or governmental agency.)

    A Millersville University-Related Event is the use of a Millersville University performing arts facility (The Ware Center or Winter Center) for an event wherein a Millersville University department, office, or college (henceforth referred to as the MU entity) works in conjunction with or in support of, and provides benefit to, an external partner or organization.

  • Note: We ask that guests exit the building no more than 60 minutes after the event end time. If your event needs extra time, please make a note of that in the additional comments section below. Events that occur outside of regular business hours may incur a security fee.

  • Note: If your event is open to the public, it must be ticketed (regardless of price) through the Millersville University Ticket Office. Costs and fees will be charged to your organization.

  • Note: Any alcohol must be provided by you/your organization, not the University. It must be free of charge, as cash bars are not permitted.

  • Note: All caterers must sign our catering agreement, and provide a satisfactory certificate of insurance.

  • Note: If minors are involved in the event, you and/or your organization must comply with Policy 2014-01-A: Protection of Minors.

  • Note: The MU entity agrees that any direct costs incurred (such as labor and equipment costs) will be submitted by OVPA for payment/fund transfer. These direct costs cannot be waived.

  • Note: All facility rental fees will be waived. The MU entity agrees that any direct costs incurred (such as labor and equipment costs) will be submitted by OVPA for payment/fund transfer. These direct costs cannot be waived.

  • Discounts and fee waivers

  • External organizations or individuals that use Millersville University facilities must fully compensate the University for all costs incurred or provide nonmonetary considerations that directly support the mission of the University. For more information, please click Philanthropic Use of University Facilities Policy.

    Note: Organizations requesting a facility fee waiver must either be a government agency or hold 501(c)(3) non-profit status, AND must directly contribute to one or both of the following missions of Millersville University:

    1) The education of Millersville University students

    2) The economic development of the Commonwealth of Pennsylvania

  • Note: A fee waiver, if granted, may forgive all or part of the facility rental fees. This will NOT apply to direct costs (such as labor and equipment).

  • Note: If the non-profit organization involved does not qualify for a fee waiver, you may still seek a 30% discount of the facility rental fees. This will NOT apply to direct costs (such as labor and equipment).

  • Next steps

  • 1) An event coordinator will contact you.

    2) If a date is agreed upon, we will place it on hold and generate an estimate of costs.

    3) If you accept the estimate, the date will be confirmed and we will send you a facility use agreement.

    SUBMITTING THIS APPLICATION DOES NOT GUARANTEE A RESERVATION.

  • 1) An event coordinator will contact you.

    2) If a date is agreed upon, OVPA personnel will place it on hold on the OVPA calendar and in Ad Astra. Please do not attempt to reserve any spaces in Ad Astra.

    3) An estimate of costs, if any, will be generated. Staffing needs, such event coordinator, technical support, and security is at the discretion of the OVPA.

    4) If you accept the estimate, the date will then be confirmed.
