  • HOLIDAY REQUESTS

  • Each request will be evaluated according to the student’s profile, country risk level origin and other relevant factors. As a general guidance on the number of holidays that can be requested, we recommend 2 weeks of holiday for every 12 weeks of studies.

    In adition to the holiday requested the school closes during:

    • Christmas closure 2025 (22/12/2025 - 02/01/2026)
    • Christmas closure 2026 (21/12/2025 - 01/01/2027)

    The closure times will be added to the total duration of the course.

  • PAYMENT PLAN OPTIONS

  • The course selected does not offer a payment plan option.

  • Offshore payment plan

    If you enrol in a course of 25 or more weeks, your tuition fees will be split in two (2) payments.

    Minimum initial deposit: 50% tuition fees + enrolment fee + materials fee per week

    The remaining balance will be paid in one instalment four (4) weeks after course commencement date.

  • Onshore payment plan

    If you are enrolled in a course of 12 weeks or more, you may apply for a payment plan.

    First instalment (CoE deposit): 4 weeks of tuition fee + Enrolment fee + Materials fee + Payment plan set-up fee $100.00
    In case there is more than 1 CoE, a pre-paid deposit of $100 will be included for each extra CoE.

    The outstanding amount will be split into monthly instalments, starting two (2) weeks after course commencement.
    Students must finish paying 2 months before the end of the course.

    12 week course = 1 monthly instalment

    24 week course = 4 mothly instalments

    36 week course = 6 monthly instalments

    48 weeks or more = 8 monthly instalments

    1. The Australian Government requires all persons entering Australia on a Student Visa to have Overseas Student Health Cover (OSHC).

    The Language Academy offers two accommodation options to cater to different preferences and needs: Homestay and Student House.

    Please review the details below:

    • Homestay (Gold Coast and Sydney Campuses): Live with a local family, providing an immersive cultural experience.
      - Includes: Meals, a private furnished room for your comfort and privacy.
    • Student House (Gold Campus only): Convenient housing located near our Gold Coast Campus.
      - Includes: Room only. Private or a shared room optiones, based on availability. No meals included in Student House.

  • Cancellation/Refund Process: 


    We understand circumstances might change and students sometimes might need to cancel their enrolments. If this is the case, please follow the procedure below: 
     
    Student needs to fill out the Cancellation/Refund Form to initiate the Cancellation and refund process (if applicable).  This is available online at thelanguageacademy.com.au or visit Reception for assistance.  
    All Cancellation/Refund requests must be made in writing using Cancellation/Refund form.  
    Cancellation/Refund form must be completed in full, and student must provide reason for Cancellation. 
    Uncompleted forms will not be able to be processed and will delay students request. 
    Any relevant evidence must also be attached for consideration. 
    Enrolment fee, Payment plan set-up fee, Accommodation fee and other Administration fees are non-refundable. 
    Cancellation/Refund requests will be processed in 3 business days. 
    Refunds can take up to 60 business days to be processed to the nominated Bank Account on Refund form. 
    Tuition fees are non-transferable.  
    If a refund is granted, The Language Academy will transfer the refund amount to the students’ representative agent. No payment will be made directly to the student. 
     
    Important considerations: 
    If you are on a student Visa, you should seek advice from your Education Agent before taking any action to withdraw from a course. 
    We are required by law to notify the Department of Home Affairs when an international student withdraws from their course. If you are in Australia on a student visa, you will have 28 days to leave Australia, enrol in an alternate program or apply for a different visa. 

    No Refund: 

    There will be no refund in the following cases:  
     
    Student visa refused prior to course commencement or cancelled during the course due to reasons within the student’s control.  
    Enrolment cancelled due to a breach of student visa conditions or any illegal or unlawful conduct by the student.  
    Student decides to cancel or withdraw their enrolment before or after commencement once the initial visa is granted and the student has arrived in Australia.  
    The course starts on the agreed starting day, but the student does not start the course within the census period being 2 weeks from the enrolment date and has not previously withdrawn due to any compassionate or compelling circumstances. Enrolment will then be cancelled by the school and student not entitled for a refund of pre-paid tuition fees. 
    Student visa application withdrawal after the commencement of studies and while waiting for approval.  
    Student moves to a different location; it becomes inconvenient to student to travel to school, or changes occur on student’s work hours amongst other. 
    The Language Academy refuses to provide or continue providing the course to the student due to unpaid fees, breach of visa conditions, or disciplinary/administrative action.  In these cases, Confirmation of Enrolment (CoE) will be cancelled by the school and student not entitled to a refund of un-used pre-paid tuition fees. 
     
    Refund applications are subject to the sole discretion of The Language Academy, and each application is carefully considered. Non-approval of a refund application is subject to our appeals policy contained in the student handbook. 

    Tuition Protection Service: 

    The Tuition Protection Service (TPS) is a placement and refund service designed to assist overseas students when The Language Academy is unable to fully deliver their course of study. For more information about TPS, please refer to the Student Handbook on pages 47-48 or visit this link. 
     
    Refunds will be granted based on the following conditions: 
     
    1. If The Language Academy cancels a program, a full refund of all fees paid will be issued. 
    2. If The Language Academy is unable to complete a program after it has started but before it is complete, a refund of any fees paid in advance will be processed within 60 days of the course cessation date. 
    3. If The Language Academy is unable to complete the course due to a sanction, all fees paid in advance will be refunded within 60 days of the sanction taking effect.

    Cancellation/Refund Policy: (other than transferring to another CRICOS Education Provider) 

     

    Please note that refunds may be considered pro-rata for students under extraordinary circumstances such as compassionate or compelling reasons (these are usually outside of the student’s control and have an impact on the student's course progress or well-being), subject to the submission of a formal application and the provision of documentary evidence to support the claims. Management reserves the right to assess the validity of the evidence provided and determine the outcome accordingly. The confirmation and approval of possible refund is to the Provider’s discretion, after case evaluation. If a course cancellation and/or a refund is requested based on the grounds of mental health issues or similar, a certificate from a registered psychologist is required as evidence that the student is in fact unable to continue with his/her course. The certificate of the registered professional must be in English and it must contain the registration number, the letter head and the contact details of the registered professional.

  • TERMS AND CONDITIONS

  • Transferring to another Course Provider in Australia:

    To be eligible for a transfer to another education provider, international students must meet the following criteria:

    • Be enrolled for over six (6) months at The Language Academy.
    • Have completed at least six (6) months of their principal course of study at The Language Academy. 
    • Have no outstanding tuition fees or other financial obligations. 
    • Be in good academic standing (i.e. maintaining satisfactory progress and satisfactory attendance), as determined by school academic policies. 
    • Demonstrate compliance with visa conditions, including maintaining a valid student visa for the duration of their studies in Australia. 
    • Provide Letter of Offer- Letter of Acceptance from new education Provider 

    Cancellation/Refund Policy: (Student transferring to another CRICOS Education Provider)

  • Airport Transfers – Cancellation and Refund Requests

    • Except in the case of a visa being refused, the airport transfer fee is non-refundable for cancellations made 3 days or less before the scheduled transfer.
    • If you miss your organised airport transfer, no refund will be made. If you still require an airport transfer, you will be required to pay additionally for this (second) service.
    • If your flight plan has been changed, please give the school as much notice as possible so we can re-organise the pick-up. If 24 hours or less notice is given, you may be required to pay for two airport transfers (the missed one and the second one
  • Accommodation:

    • All accommodation bookings must be made directly with our trusted providers.
    • Students/Agents must read and understand the accommodation providers' refund policies before making the bookings.
    • The Language Academy is not responsible for any accomodation bookings
    • All accommodation refund requests must be sent directly to the accommdation providers, The Language Academy is not responsible for accommodation refund requests.

    Acceptable Welfare Arrangements for students Under the age of 18 years:

    • The Language Academy Homestay for Underage Students (provided through Australian Student Accommodation): The Language Academy will provide the student’s parents/guardian with a Certificate of Accommodation and Welfare (CAAW).
    • Department of Immigration and Border Protection (DIBP) approval: Student’s parents nominates a parent/legal custodian or eligible relative, DIBP is responsible for approving the arrangement.
    • The parents of the student may nominate a non-relative, who resides in acceptable accommodation arrangement, and is over the age of 21 years, to act as the local carer of a student. If a student wishes to change their accommodation during the course, they must seek approval from The Language Academy and or guardian. A student must not change their accommodation arrangements without approval from The Language Academy and or guardian. An official letter of change of accommodation must be provided to The Language Academy if the change has been organised by the student’s guardian. The Language Academy will provide a Change of Accommodation Notification form to the guardian if The Language Academy is responsible for the student’s accommodation.
