  • Attention: S&R Sawmills Ltd. Representative

    For the purpose of the S&R Sawmills Ltd. (S&R Sawmills) Chain of Custody (CoC), and associated PEFC Certification the following conditions are agreed to and form an “Outsource Agreement”:

    1. S&R Sawmills retains legal ownership of all input material to be included in the outsource process;

    2. S&R Sawmills does not relinquish legal ownership of the materials during processing;

    3. The Outsource Facility has received and understands the S&R Sawmills CoC Procedures (see below);

    4. The Outsource Facility will not further outsource processing as part of “certified” orders completed on behalf of S&R Sawmills (i.e., the material may not pass from this outsource facility to another facility under this agreement);

    5. The Outsource Facility acknowledges a representative of S&R Sawmills has the right to audit the facility to confirm conformance to the S&R Sawmills CoC Procedures;

    6. The Outsource Facility acknowledges that the Accredited Certification Body or Registrar hired on behalf of S&R Sawmills has the right to audit the facility to confirm conformance to the S&R Sawmills CoC;

    7. The Outsource Facility will keep records of inputs, outputs and delivery documentation associated with all S&R Sawmills ‘certified’ material;

    8.The Outsource Facility will not use PEFC labels (trademarks) for promotional use.

  • S&R Sawmills CoC Procedures

    General procedures for outsource container stuffing service providers to process PEFC “certified” material are as follows:

    • Facility Receiver receives inbound material and confirms that delivery matches the delivery documents
    • Where materials are received containing an PEFC label or label from other forestry conformity assessment schemes, the Facility Manager will ensure all labels or segregation marks are cleared prior to processing
    • S&R Sawmills personnel communicate the processing instructions to the Facility Manager/ Representative
    • The Facility Manager will ensure S&R Sawmills product can be tracked (i.e., is traceable within the processing facility) and that PEFC certified material is not mixed or contaminated with any other products (i.e., non-S&R Sawmills material)
    • Facility Production Manager communicates the processing instructions to facility personnel
    • Facility Representative generates the outturn report for the order and forwards to S&R Sawmills
    • Facility Shipper confirms that the correct packages are loaded on trucks and gives Delivery Slip to Truck Driver
    • The Facility Representative submits a service invoice to S&R Sawmills
    • Invoicing for the final product to the final customer will be done by S&R Sawmills (not the Outsource Facility)
    • The Outsource Facility will only apply PEFC labels to the final products as directed by S&R Sawmills
