Terms and Conditions
Revisions:
The Church renting policy shall be reviewed and revised as needed. All revisions shall be approved by the church before implementation.
Scope:
This policy would apply, but not be limited to: weddings, community events and non-profit groups. This policy does not apply to BCEFC ministries and/or funerals.
Expectations:
- The user group shall not offer a product, service, or activity that conflicts with the Biblical values and expressed purpose of BCEFC.
- The church is a non-smoking and alcohol free facility.
Application and Booking Procedure:
- Each individual group desiring to use part of or all of BCEFC facility must complete the application form before the rental.
- The request will be reviewed and approved/denied by the church Board and/or Church Staff. Should the request be denied, it will be one of the board member’s or the Church Administrator’s responsibility to communicate the denied application.
- When approved, the Church Administrator will contact the individual/group and arrange a time to receive payment and arrange a time for the church to be open.
Rental Fees:
Should the fees be updated periodically, the fees charged to the individual/group will be based on the rental fee schedule that is existing at the time of booking. Rental fees can be paid by cheque, payable to Beach Corner Church or by E-transfer to bcefc@beachcornerchurch.org note church rental name
Damage:
- A damage deposit of $100 is to be paid to the Church prior to the event date.
- The deposit will be returned to the renter at the end of the usage period if the property has been left in satisfactory condition.
- The users will be liable for damages exceeding the deposit value.
Cancellation:
Cancellations made by the individual/group must give notice to the Church Administrator as soon as possible. All fees will be reimbursed.
Building Access:
- The Church Administrator will determine how building access will be granted, whether it is by the assignment of keys and security code or having a church official open the building.
- If the individual/group receives keys, the keys are to be returned within the following 2 business days of the event.
- Participants who are using the facility are limited to the spaces outlined in the Rental agreement.
Opening and Closing The Church:
- If the individual/group receives keys, the keys are to be returned within the following 2 business days of the event.
- Ensure all doors are locked.
- Ensure all lights are off.
- Ensure all doors are closed on the fire wall.
- Ensure the rental space is clean
Additional Responsibilities:
- The church is to be left in the same condition it was found. All rooms/areas must be the same as they were found.
- The servery kitchen must be left in the same condition it was found.
- Should the Sanctuary be used, all chairs must be set up for Sunday Services and follow the ‘Basic Sanctuary Seating Plan.’
- The use of stick pins and/or any objects that may create damage to the walls of the facility are prohibited. Should damage occur to the walls, repair costs (supplies and labor) will be the responsibility of the user.
- No items may be affixed to any surfaces without the consent of the BCEFC Church Administrator.
- The use of confetti and/or rice is prohibited inside and outside of the building.
- Any extra cleaning needed to the facility will be charged to the user group at a rate of $20.00 per hour.
- If the church property is damaged, the damage is to be assessed by the Board and a fee/replacement will be required by the group.
- BCEFC does not assume responsibility for lost, stolen, or damaged property of the renter or attendants.
- Smoking, alcoholic beverages, illegal substances and weapons are not permitted in the facilities or on Church grounds.
- No minor (anyone under the age of 18) shall be left alone unsupervised.
