  • COLLIERVILLE BALLOON FESTIVAL 2023

    September 15,16 & 17, 2023 (Friday night attendance optional for select vendors. No food vendors or food sold Friday night.) Hours: 3:00 P.M. - 10:00 P.M. Saturday and Sunday (Times subject to change). Greatest patron attendance around sunset. Set-up -12:00 P.M. Saturday and Sunday. Complete set-up by 2:30.
  • REGISTRATION PROCESS
    Final Registration closes August 15th, 2023. The Vendor Committee will review each registration. To avoid excessive vendor product duplication, the date the application is received may be used to determine individual vendor category selection. You will be notified via email if your business has been accepted to participate. 

    Once notified, you will receive a vendor contract, which provides vendor participation requirements and detailed information. All exhibitors/vendors must have commercial exhibitor/vendor Liability Insurance with liability limits of $1,000,000. The Collierville Balloon Festival (CBF) and The Town of Collierville (TOC) must be listed as an additional insured with Subrogation provision on Vendors Certificate of Insurance. Your Certificate of insurance listing CBF and TOC as an additional insured with subrogation provision must be on file with the CBF Vendor Committee no later than September 1, 2023.

    LATE REGISTRATION

    Applications received after August 15, 2023, require a non-refundable, $50.00 late fee. Late applications and payment must be mailed to the address noted below. Applications received without late fee payment will be rejected.

    TEMPORARY FOOD PERMITS

    For vendors (Food and Arts and Crafts) who sell or sample any type of food product (packaged, prepared on site, etc.), Shelby County REQUIRES a Temporary Food Permit (TFP). The TFP cost is $30.00 (or $11.75 for some pre-packaged items). CBF Vendor Committee will collect and file permitting information for all vendors selling food. This ensures your TFP is on hand when the Health Inspectors arrive Saturday morning to conduct inspections.  This requirement is consistent with the Shelby County Health Department food code. When paying your booth fees and you plan to serve or sell food, we will ask that you include payment for the additional $30.00 or $11.75 to cover your TFP fee.

    Additionally, all Shelby County Health Department regulations must be followed, including but not limited to, hand washing, test strips, sampling procedures, etc.

    FOOD VENDORS MUST have a valid Shelby County Food Service Permit as described in the Shelby County Mobile Food Units Local Guidance, Shelby County Health Department Mobile Food Service Guidelines

    Fire Supression System

    Any ENCLOSED Food Truck/Trailer with cooking equipment must have a valid permit on their vehicle issued by a Town of Collierville Fire Department Fire Inspector. Use the following link to learn more: Town of Collierville Food Truck Requirements

    I hereby agree and give my permission for Collierville Balloon Festival and/or partners to record, film, photograph, audiotape or videotape myself (hereinafter collectively referred to as “Works”) and to display, publish or distribute these Works for the purpose of publishing, posting on the Collierville Balloon Festival website and posting on social media sites. I hereby waive any right to approve the use of these Works now or in the future, whether the use is known to me or unknown, and I waive any right to any royalties related to the use of these Works. I understand that the Works may appear in electronic form on the internet or in other publications outside of the Collierville Balloon Festival's control. I agree that I will not hold the Collierville Balloon Festival responsible for any harm that may arise from such unauthorized reproduction.

    The Collierville Balloon Festival and The Town of Collierville shall not be responsible for any injury or loss that may occur to the Vendor, it’s employees, agents, representatives, heirs, successor or assigns, or its goods from any cause whatsoever while participating in the Festival. The Vendor agrees that it will indemnify and hold The Collierville Balloon Festival and The Town of Collierville, its designated representatives, employees, volunteers, successors and assigns, elected officials, officers, agents, and related persons, harmless and free from all damages by reason of liability occasioned by any act or omission, neglect, or wrongdoing of the Vendor, its employees, or any of its agents, officers, or representatives. Vendor will, at its own expense, defend and protect The Collierville Balloon Festival and The Town of Collierville, its owners’, organizers, employees, volunteers, elected officials, officers, agents, related persons, and Board members against all such claims and demands. The Vendor also agrees that The Collierville Balloon Festival and The Town of Collierville, will not be responsible for accidents, fire, theft, breakage, or any other accident incurred by the Vendor at any time and The Collierville Balloon Festival and The Town of Collierville is released from any and all liabilities and responsibilities. This includes the hours for setting up and dismantling for the festival.
