Party in the Park Food Vendor Application Form

Selection of vendors for the 2023 Party in the Park summer series will be based on a limited number of spaces available and an effort to offer a diverse selection of options, rather than on a first-come bases. This is in response to public input, as well as an effort to make the event as profitable as possilbe for participating vendors. It is also important that vendors who commit to PIP dates honor that commitment, so we are not shorthanded that evening. Failure to meet commitments or provide notification of unavailability a week in advance may result in your exclusion from future events.

The Party in the Park planning committee will review all applications and notify vendors of selections by April 26th, 2023. If you have any questions please email events@charlescitychamber.com or call the Main Street Charles City office at 641-228-2335.

Fee: No upfront fee, Main Street Charles City tokens will be the only currency used at these events and standard reimbursment is 90%. Please see policy for further details.

VENDOR POLICY

Time and Set-up

Booths are to be set up by 4:45 p.m. DO NOT START SETTING UP BEFORE NOON.

All booths will be open for sales from 5-9 p.m. Closing your booth early will result in a penalty assessed as a percentage from your token redemption.

Leave before 8:30 p.m. redemption at 70%

Leave between 8:30 and 9:00 p.m. redemption at 80%

Leave at 9:00 p.m. redemption at regular value (90%)

NO vehicles are allowed in the park without authorization from the Event Coordinator or designated committee member.

Selling

All selling must be done within your designated booth space. NO mobile vendors of any kind in the park.

NO raffles of any kind will be allowed during Party in the Park without approval of the committee.

NO solicitation of any kind will be allowed (including distribution of campaign materials) during Party in the Park.

NO beverages of any kind are to be sold by vendors other than the designated alcohol vendor and Party in the Park committee approved non-proft. Acceptions may be made if they are in your submitted menu items and approved by the committee.

To protect all vendors' opportunity for sales you are not aloud to sell any menu items that was not submitted and approved by the committee. You can change and submit an updated menu in the days before the event, but it must still be approved by the committee.

It is your responsibility to have signage on your booth including your business name, menu items and prices. Elevated booth signs are encouraged.

During and After the Event

You are responsible for cleaning up your area before you leave. A dumpster for large trash items is available for your use, free of charge, in the Community Development parking lot off Blunt St. All Vendor trash must be placed in the dumpster.

DO NOT dispose of vendor trash in the white trash cans or the permanent park containers.

Main Street Charles City tokens will be the only currency accepted. ABSOLUTELY NO CASH.

Each token is equivalent to $1.00.

New ECO-Tokens were purchased for 2023 and will be used every year going forward. NO old chuck chips will have any redemption value.

To redeem your tokens bring them to the Main Street Charles City office (401 N Main St.). Your check will be issued within 2-4 business days of redemption.

During the Party in the Park season all tokens must be redeemed during the week following the event. Tokens not redeemed during this time will be reimbursed at 80% of value.

After the final 2022 Party in the Park, tokens must be redeemed during the week following the event. Tokens not redeemed during this time will be considered void and will hold no redemption value.

If Main Street Charles City redeems some of your chips during the event for a voucher, only the number on the designated line will be accepted. Do not write any other numbers or notes on the face of the voucher. Your business is entitled to have a representative present while tokens are counted for a voucher.

Main Street Charles City is not responsible for lost or stolen token redemption vouchers or tokens.
