    DEPOSIT AND PAYMENTS

    Your event date is reserved only when the non-refundable retainer of 50% is received. Once your retainer is paid, you’ll receive an invoice/receipt showing the amount paid and the remaining balance.

    By submitting payment, you agree to all booking terms listed below.

    The remaining balance is due 1 day before your event. Services will not begin until full payment is received.
    Corporate clients may request an invoice with standard 30-day payment terms

     

    SETUP, PARKING, AND EXTRA CHARGES

    The client agrees to cover any damage caused by guests, children, or pets to the artist’s equipment or supplies.
    The artist will use reasonable care, but is not responsible for stained clothing or property.

    Please make sure booking details (address, time, contact) are accurate. The artist is not responsible for non-attendance due to incorrect information provided.

    Any event parking fees must be covered by the client or parking must be provided.

    A shaded or covered setup area must be provided for the artist to work comfortably and safely.
    If you need the artist to bring a tent, a $100 tent setup fee will apply.

     

    CANCELLATION POLICY (CLIENT)

    Life happens, and we completely understand. However, because your date and time are reserved just for you:

    Retainers are strictly non-refundable, no matter the reason for cancellation.
    Cancellations made within 72 hours of the event require the remaining balance to still be paid, as the spot cannot typically be rebooked on short notice.
    Thank you for understanding that this policy protects the artist’s time and income.

     

    RESCHEDULING (CLIENT)

    If you need to reschedule, I’m happy to help as long as:

    1. The request is made at least 7 days before your event
    2. I have availability on the new date
    3. The new date is within 6 months of your original event

    If these conditions are met, your retainer will be transferred one time to your new date.

    Reschedule requests made less than 7 days before the event are treated as cancellations and will require a new booking and new retainer.

    Same-day rescheduling is not available.

    Retainers cannot be held or applied to dates more than 6 months away from the original booking.

     

    CANCELLATION BY ARTIST

    In the rare case that I, Gabrielle Inacio, have an emergency or unforeseen situation and cannot attend your event:

    I will contact you as soon as possible
    I will make every effort to send a qualified replacement artist in my place
    If a replacement artist is not available, you will receive a full refund of all monies paid, including your retainer.

    Rescheduled dates are not offered when the cancellation is initiated by the artist.

     

    SET-UP

    The artist will arrive 15 to 20 minutes before the scheduled start time. Please make sure there is good lighting, access to tap water, and a shaded or covered area if the event is outdoors.

    Parking close to the entrance is greatly appreciated, as the artist carries heavy equipment.
    Lack of nearby parking may delay setup time.

    The artist will take a 5 to 10 minute break every two hours.

    Please note:

    The artist is present to paint and does not supervise children.
    The behavior and safety of children is the responsibility of the parent, guardian, or host.
    The client/host is responsible for managing the face painting line.
    Please direct children toward the artist only when space is available and help prevent crowding around the table

    Artist Workstation Respect

    Attendees must respect the artist’s working area and maintain appropriate personal space while waiting or approaching the station.

    PACKING-UP

    The artist will stop painting at the scheduled end time.
    The full booking fee is still due even if the client chooses to use less time than was reserved.

    If the event runs over and the client requests additional time, an overtime rate of $31.25 per 15 minutes will apply and must be approved by the artist before extra time begins.

     

    FACEPAINTING/SICKNESS

    If children are left in the care of the host, it is the host’s responsibility to ensure they have permission from the parent or guardian for the child to be painted.
    A permission form can be emailed upon request.

    Please make sure each participant’s face is clean and dry before sitting.

    • For health and safety reasons, the artist cannot paint anyone who:
      Appears to have Chickenpox, Measles, Rubella, Impetigo, Scabies, Cold Sores, Conjunctivitis, or any other contagious condition
      Has open cuts, rashes, or skin irritation
      Has symptoms of COVID-19 or recently tested positive
      Is generally unwell or extremely fussy/wriggly
      Is asleep
      Has known allergies or very sensitive skin (a patch test on the arm is available upon request)
      Children under 3 years old cannot be painted.

    The artist also reserves the right to decline painting:

    • Offensive or inappropriate designs
      Inappropriate body areas
      Anyone who is aggressive, violent, or intoxicated

     

    FACEPAINTER RESPONSIBILITY

    The artist:

    Is fully insured with Public Liability coverage (certificate available upon request)
    Will leave the provided workspace clean and tidy
    Follows industry health and safety standards
    Uses one sponge per child and changes/cleans water regularly
    Uses only EU-compliant, cosmetic-grade products
    Cleans and disinfects equipment after every event
    Follows current hygiene and infection-control guidelines

     

    PROMOTIONAL MATERIAL 

    The artist may display or distribute promotional materials during the event and may offer products for sale.

    Photos may be taken only with permission from parents/guardians. Photos are used solely for business promotion and will never include identifying information.

    If photos are posted to Facebook or social media, the artist will obtain permission first. Once posted, the photos fall under the social platform’s policies.
