Event Overview & Beverage Partner Interest Form/Agreement

Date: Saturday, October 7; 2 - 6 PM (Set up times TBD)
Location: Pack Square Park
Expected Attendance: ~2,000, with approximately 65% of attendees coming from outside the AVL area.
Synopsis: Asheville Oktoberfest features beer, cider, spirits and wine tastings, games and activities for the public, live music and food vendors.
Details for participating breweries and beverage partners:
A 10x10 booth space (no trailers or vehicles) is provided for each participant. Participation tiers & pricing are described below. Payment is due by Friday, Aug. 13. Participating beverage partners will be invoiced for payment.
- 2 styles/taps maximum - Bring up to (2) half barrels or equivalent - $150
- 4 styles/taps maximum - Bring up to (4) half barrels or equivalent - $250
- We will discuss appropriate vendor fees for partners who do not serve in kegs (for example bottled or canned product)
- Please DO NOT bring more beer styles/quantities than your tier allows.
Product will be purchased at wholesale cost from partners after the event. Partners must submit wholesale pricing for ADA's review via the Partner Intake Form.
Regardless of participation level, each partner is required to bring at least one seasonal or specialty product (an Oktoberfest, German-inspired or fall seasonal It's important for attendees to try brews that aren't readily available year-round.
Partners will be featured in all marketing materials including event posters, T-shirts, news releases, website and social media. Tickets will go on sale in mid-August.
Upon request, participating partners receive (2) general admission guest list spots for individuals NOT working the event ($90 value Requests will be covered in the Partner Intake Form. Ticket recipients should visit check-in tent at event.
Partners must bring their own serving equipment, including a jockey box, CO2 and any other equipment (no trailers or vehicles ADA will provide a limited amount of ice.
A limited number of tents can be provided by ADA. We prefer partners bring their own (must be commercial, fire retardant tent; no shade tents). Tables are also available. Power is not available. Gear requests will be covered in the Partner Intake Form. Partners should bring a banner for their tent. Fall/Oktoberfest decorations are encouraged.
One ADA volunteer will be available to help serve at your booth upon request, but a partner rep must remain present at all times. Partners must stick to 2 OZ sample pours or less depending on type of product (one per person) and follow all alcohol regulations, including requesting ID from anyone that appears underage regardless of whether they have a wristband. ALE agents will likely be on site to monitor compliance.
Partners who run out of product must notify ADA staff before closing/leaving their tent. DO NOT leave tent unattended without completely closing down and removing all signage, alcohol, taps and other service equipment. Large objects should not be moved until after the event ends.
Participants may sell swag (Tshirts, stickers, etc ), but should be prepared to manage your own bank/point of sale system.
IMPORTANT: Partner Representative vs. Volunteer Pourer - What's the difference? Under our event permit, anyone serving alcohol must be working as an event volunteer - not as a Partner employee/rep. Volunteers (signified by a nametag) cannot wear branded Partner attire or drink alcohol. This means anyone in branded partner attire CANNOT serve beer.
Partner reps also cannot drink - except for quality control, and they must get a "QC wristband" from ADA to do so. Partner reps can, however, wear branded attire while promoting the partner and managing kegs. Each partner must have at least one person staffing the tent at all times, either as a partner rep or volunteer pourer. ADA will provide a volunteer to you if you indicate you need one in your intake form, so please plan your staffing with the above distinction in mind. When possible, it's ideal to send a partner rep in partner attire PLUS an extra person in plain clothes to help pour.
