     COMMUNICATION ON EVENT DAY
  • All volunteers are required to bring their mobile phones and keep them switched on at all times during the event to stay in touch with race control, other marshals and emergency services. You will be issued with a badge as part of your volunteer kit, which shows phone numbers for the event director and emergency services.

    Please add yourself to the volunteer WhatsApp group either in the days leading up to the event or upon check-in on event day via this LINK to make team internal communication a breeze. When you write or respond to a message in the chat, please start the sentence with your name and role, e.g 'Stacey@BM1: Is the last bike out on course yet?'. The chat will be closed 1 day after the event.

  •  MEDICAL SUPPORT
  • In case of accidents and emergencies, we have access to the first aid facilities at Gylly beach as well as a medical team with first response vehicle on site. If you witness an accident or a participant informs you of an accident, please let the event organiser know after calling the emergency services (if needed). All relevant phone numbers are printed on the back of your volunteer badge.

  •  GENERAL RULES
  • Stopping Traffic

    The senior event is run on open roads and participants need to follow the rules of the road at all times. As a marshal, you have NO authority to stop traffic. If you deem a situation to be potentially risky or harmful, stop participants until traffic has slowed down and participants can proceed safely.

  • Spectators

    Spectators are most welcome at IntoTRI’s Cornish Tri Series. For safety and security reasons spectators can NOT enter the following areas:

    • Transition zone (exception: bike drop off/pick up for the junior event at certain times for one parent only (marked at registration))
    • Swim start pen, swim in/out funnel
    • Finish line
  • Helping Athletes

    Under British Triathlon rules, participants are not allowed to receive outside help. This includes the following:

    • No pacing of athletes from parents or spectators
    • No kit can be handed over or received from parents or spectators during the event
    • No assistance can be given to get changed in transition. However, marshals are encouraged to help our youngest participants unrack their bikes. We are also operating a dedicated wetsuit zone alongside the end of the swim exit funnel, where parents can help children to get out of their wetsuits (max one parent per child).

    3-5 volunteers will help us get the site ready on Saturday afternoon (shift 1) and Sunday early morning (shift 2) for the event on Sunday. This includes building up the transition zone, finish area and flag out the junior bike/run courses.

  • THE ROLE

    Venue Control Marshals direct athletes and spectators to registration, the transition zone, finish area and spectator zone. You are instrumental in maintaining a one-way flow of pedestrian traffic and orderly, queuing system.

    During the race, you have the vital role of ensuring the road closure is enforced. i.e. stop any traffic that decides to ignore the closure signage and attempt to enter the course.

    • Direct participants around one-way system to registration and, once registered, to the transition and spectator zones (following yellow arrows). 
    • Marshals will pick up athletes from spectator zone for their start

    • Location: Google Pin | road closure
      Gyllyngvase Rd / Cliff Rd junction, Falmouth, TR11 4LZ
    • Cliff Rd will be closed to vehicular traffic between Queen Mary Rd and De Pass Rd in both directions from 5AM to 11AM on event day. From 11AM to 6PM, the section between Gyllyngvase Rd and De Pass Rd will be accessible to the general public in north-east bound direction only. Diversion routes are signposted.
    • All residents were informed about road closures prior to the event via Residents Association newsletters, advance notice signs and the council
    • Ensure general public adheres to road closure (including residents and businesses). Provide access for emergency services if needed
    • Slow down participants coming down the hill on their bikes, flag speed bump
    • Help pedestrians / spectators to cross bike course on Cliff Rd safely
  • VC3

    • Location: Google Pin | road closure
      De Pass Rd / Cliff Rd junction, Falmouth, TR11 4AP
    • Cliff Rd will be closed to vehicular traffic between Queen Mary Rd and De Pass Rd in both directions from 5AM to 11AM on event day. From 11AM to 6PM, the section between Gyllyngvase Rd and De Pass Rd will be accessible to the general public in north-east bound direction only. Diversion routes are signposted.

  • OVERVIEW

    With the aim to remove any queues at registration and allow marshals to perform their role socially distanced, we have taken several measures to streamline the check-in process for athletes on event day. Akin to self-serve check-in and bag drop at airports, athletes will be following a one-way system outdoors, with distance markers in place, picking up event packs and timing chips on their way to the transition zone. 

  • RG1-6

    • Location: Google Pin | tennis courts
      Gyllyngvase Beach car park, Queen Mary Rd, Falmouth, TR11 4DP
    • Marshals will be given a list of names with athletes race numbers associated with these. Simply highlight the athlete's name and give them their race pack with their associated number.
    • Athletes were asked to self-mark at home. If body marking missing, instruct athlete to use marker provided at registration to write their race number on their left hand, transition number on right hand or inside of hand. Disinfect marker after use. Tick Yes once bodymarking completed.
    • Hand out event pack corresponding to athlete's race number shown on form. Packs contain:
      2x race numbers (1x run, 1x bike). Run numbers must be worn on front of shirt, bike number on back. When using race belt, numbers have to be fixed back to back

      A white, numbered sticker that needs to be fixed to the bike on front of head tube. To pick up bikes post event, transition zone marshals will check that sticker matches race number. No match, no bike.

    • All athletes must present proof of their British Triathlon race licence (if they have one), or will be marked down as needing a day licence. They will have purchased a day licence in advance and this will be noted on the registration form.
    • Anyone not presenting a valid BTF licence (in date or registered with their name) or has been highlighted as not having a day licence will be required to purchase one on the day. Send them to see Ben to sort this.
  • CHECK-IN PROCESS

    Step I - Load athlete details 

    • Scan the bar code on athlete's event ticket (on phone or print out) or select the ticket ID from the dropdown. Click Load Athlete Details.
      Success will be shown and Entry Details section is filled in automatically.
    • If athlete wants to drop down in distance (upgrade only possible if pre-arranged with race director), or any other details are incorrect, please record them in the Comments field

    Step II - BTF ID Check

    • Athletes have already supplied BTF details during the online check-in. This step will only show, if the athlete has NOT checked in online. Otherwise, this section is skipped automatically.
    • Check 'Name' and 'Membership No' on BTF ID match our records displayed in the form. Use BTF ID (overwrite) field if you find a typo in Membership No.
    • Check BTF ID has not expired.
    • If name on BTF ID does not match our records or membership expired, payment of day-license is required. Adults £6, junior (under 20y) £1

    Step III - Body Marking

    • Athletes were asked to self-mark at home. If body marking missing, instruct athlete to use marker provided at registration to write their race number on their left hand, transition number on right hand or inside of hand. Disinfect marker after use. Tick Yes once bodymarking completed.

    Step IV - Event Packs

    • Hand out event pack corresponding to athlete's race number shown on form. Packs contain:
    • 2x race numbers (1x run, 1x bike). Run numbers must be worn on front of shirt, bike number on back. When using race belt, numbers have to be fixed back to back

    Submit Entry Form 

    • Submit form and send athletes to next desk to pick up their timing chips. Adult event participants also pick up swim hats and helmet stickers 
    • Timing chips must be worn around left ankle at all times. Relay teams hand over chip in transition at bike racking slot.
    • The colour of the swim hat and helmet sticker indicate the race distance (Olympic, Sprint, Super Sprint) and allow marshals on the swim and bike course to route participants accordingly

     SWIM

  • SWIM PROCEDURE (junior)

    • One-way system in place to enter/exit start area
    • Competitors will be placed in starting waves with colour coded swim hats according to their age group.
    • Starting with a run down the beach, all athletes complete a rectangular / diamond shaped swim course marked with large swim buoys.
    • Athletes are not able to join a different wave and must be present for their swim safety briefing to take part.

    COURSE MAP

  • SWIM PROCEDURE (adults)

    • One-way system in place to enter/exit start area
    • Competitors will be placed in starting waves with colour coded swim hats according to their swim distance.
    • Each wave may be divided into multiple start groups, with a rolling start every 30sec.
    • Starting with a run down the beach, all athletes complete a diamond shaped swim course marked with large swim buoys.
    • Athletes are not able to join a different wave and must be present for their swim safety briefing to take part.

    • Athletes stay in the spectator zone on the beach to await their swim start, progressing to starting pen in colour coded waves (pink, blue, orange)
    • Count swimmers in as they enter starting pen (pen & clip board provided)
    • Support swim start timer (Bryony) to set athletes off waves
    • Ensure swim entry area clear of other beach users and spectators

    During / Post Swim:

    • Help struggling swimmers exit water, avoid collisions
    • Count swimmers out of water. Check numbers tally with swim-in and electronic chip system, flag discrepancies immediately
    • Ensure exit area clear of other beach users and spectators
    • Clear landing area for safety craft in case of open water rescue
  • SM3

    • Location: Google Pin | wetsuit zone
      Gyllyngvase Beach, Falmouth, TR11 4AP
    • Dedicated wetsuit zone alongside the end of the swim exit funnel
    • Parents can help children to get out of their wetsuits (max one parent per child). Athletes have to take wetsuits, hat and goggles to the transition zone, no kit can be left in the wetsuit zone or with parents.
    • Ensure athletes /parents space themselves out along wetsuit zone and all kit taken to transition
  • OPEN WATER COVER

    • Location: Google Pin

    • Wave sizes adapted to adhere to BTF guidelines

    SM4 (and SM3 adult event)

    • Spotter on beach / lifeguard tower
    • Maintain clear line of sight to swimmers and marshals

    OW1-8

    • Non motorised craft (rescue boards)
    • One craft every 50m/25m (adults/kids event) inside diamond shaped swim course
    • Swimmers can hang on to craft if needed, marshals provide assistance and encouragement
    • Maintain clear line of sight to next craft, ensure all swim marshals connected through pre-agreed mode of communication (hand signals/whistle/ radio)
    • Assist OW9-10 to transfer swimmer to RIB if needed

    OW9-10

    • Motorised craft, RIB staffed by Coast Medic (coordinator: Luke Todor)
    • Stay on outside of diamond shaped swim course near furthest buoy for fast access to all parts of the course and emergency landing site
    • Maintain radio contact to event director and lifeguard tower
    • Maintain clear line of sight to swim marshals on non-motorised craft, ensure all swim marshals connected through pre-agreed mode of communication (hand signals/whistle/radio)

    • Turning and merge point: Bike out funnel from Queen Mary Rd merges onto multi loop course. Riders on subsequent loops turn 180 degrees
    • Closed road section, manage flow of riders. Halt participants joining course until turning point clear if needed. Direct participants on subsequent laps around turning point.
    • Ensure pedestrians and spectators stay on sidewalk (non sea facing side)

    • Enforce MANDATORY FOOTDOWN as cyclists turn right onto Melville Rd. Report transgressions to race director. 2 warnings = Disqualification
  • BM5

    • Location: Google Pin | hairpin turn
      Pendennis Point, car park entry, nearest postcode: TR11 4WZ
    • Sharp right hand turn with limited visibility for cycling and running athletes
    • Stand at edge of car park entry (opposite side of sidewalk) where you can see riders approaching
    • Use flag provided to slow down riders and warn drivers leaving the car park (partially concealed from view for approaching cyclists)
    • Enforce non-drafting rules for cyclists (10m distance between riders) and ensure rules of the road are obeyed
    • Run course along sidewalk (opposite side of road). Runners proceed on sidewalk, moving in opposite direction to cyclists. 
    • Potentially busy spot with dog walkers, tourists and tour busses. Ensure runners stay on pavement and are mindful of general public

    The Micro Seal is a fun, non-timed event for 5-8y olds. We are using a rolling start, limiting the number of children on the course to max 15. Parents support their children in a socially distanced transition area to change from run to bike and bike to run. Marshals have no direct contact with the children and can maintain their distance.

  • MC1

    • Location: Google Pin
    • Ensure participants are wearing helmets and helmet straps are fastened
    • Send participants off at start line in 5-10sec intervals with max 15 out on course at any given time. 
    • Slow participants down around turning point (2x loops scoot, 2x loops bike)
    • Manage flow of athletes into and out of scootathlon transition zone (one-way system in place)

    MC2

    • Slow down and direct participants around 180 degree turn
    • Participants complete 2x laps on scooters, 2x laps on bikes

    ££ Donation - Volunteer for a club or school

    If you are part of a club/school or community group supplying multiple volunteers for an event, you can use your volunteering activity to raise funds for your group. intoTRI makes a ££ donation to the group for each volunteer who does not wish to receive a credit for future events. Donations are processed via bank transfer 3 days after the event.
