STALL CONDITIONS
Please ensure you have read and understood these conditions prior to submitting your form.
EVENT FOOD REQUIREMENTS
Please advise of your preference/s for which sessions of the event you wish to trade. We will advise of your confirmed placement upon receiving your form. We cannot guarantee your application will be accepted due to high demand of the available food sites.
BREAKFAST
We have available sites at the Camping Grounds for select food options for both mornings at the Camping Grounds. These will be from the camp grounds.
PAYMENT
Once you have submitted your form, you will be emailed a link for payment options. You will need to pay for your site/s within 7 days. If payment is not received within 7 days from receiving the link email, your site will be cancelled.
CANCELLATION
If you wish to cancel your stall, you can do so until 1 month prior to the event start date (21 September 2023) to receive a refund of site fees paid.
If cancelled within one month from the event start date, you will not be eligible for a refund.
If the event is cancelled by the event committee at any time prior to the event start date, you will receive a full refund.
No refunds will be issued after the event.
ELECTRICAL ITEMS
If you are using a generator and eletrical items at your site you will need to follow these rules:
* All electrical equipment, generator and leads needs to be tagged and tags in date. Any item/s checked on the day of the event and found to not be within test tag date, the item/s will need to be tagged by our site electrician at your expense or not used during the course of the event.
* Please ensure your generator does not obstruct neighbouring sites and you have sufficient leads with you to place your generator away from others and a safe place away from pedestrian walk ways.
VEHICLE ACCESS
One additional vehicle will be permitted with each food van. Any other vehicles will need to park in the event parking area.
No vehicle movement is permitted during event time unless authorised by event management.
SET UP & PACK UP TIMES
All stall holders will be notified of their set-up and pack-up times with their acceptance letter. These times are determined by the placement area for your stall.
INSURANCE
Event management will not be held responsible for lost, damaged or stolen items. All stall holders are required to carry appropriate insurance to cover their stall for such occurances and public liability.
A copy of a current insurance policy will be required by all stall holders within 2 weeks of the event start date. Any stalls not covered by insurance will be cancelled prior to the event.
SITE ALLOCATIONS
Once site allocations have been completed by event management, these allocations are final.
FOOD CERTIFICATION
All food vendors will need to submit their Food registration Certificate with their payment.
Please note: any additional fees for food registration required by the Shire of Wandering is responsiblity of the stall holder.
RUBBISH
Please dispose of rubbish in bins provided or take it with you. Please do not dump rubbish at your site.
FOOD CONTAINERS
Please ensure all food containers issued from your van are within the guidelines of the current legislation.
POWER & COOL ROOM
All food vendors are responsible for supplying their own coolroom and power supply. The event does not have power supply or cool room space available for food vendors. Additional space can be provided for a coolroom near your van site if required.
CAMPING
One complimentary camp site can be provided per food van in the camping area. Please advise event management when your application is approved that you require a camp site.
