    For the Vendors

    You're invited to bring your Food Truck to Whoop-Up Days. Because Whoop-Up Days is free to the community, we are anticiapting over 30,000 guests over five days. 

    Whoop-Up Days will give you the opportunity to:

    • Showcase your business to over 30,000 community members and guests over five days
    • Align with consumers who like to eat and enjoy local
    • Promote and build your brand through a low barrier to entry
    • Test your products in a static and exciting environment
    • Build relationships and get involved in the Lethbridge community

    Dates & Times

    Whoop-Up Days is from August 22 – 26, 2023.  

    Hours of Operation

    August 22 12 PM - 11 PM
    August 23 1 PM - 11 PM
    August 24 1 PM - 11 PM
    August 25 1 PM - 11 PM
    August 26 1 PM - 11 PM

    Food Truck move-in will be on August 21 from 10 AM - 7 PM. All Food Trucks must be moved in by 7 PM on August 21.

    Details 

    Power and water will NOT be provided to Food Trucks. All Food Trucks must be self-sufficient at Whoop-Up Days 2023.

    Please read through the application carefully as details may have changed for 2023.

  • Coca-Cola 

    Coca-Cola will be the exclusive provider of non-alcoholic beverages at Whoop-Up Days 2023. You will notice that there are no competitor beverages on-site, and limited exceptions (lemonade, slushies etc.) have been made for West Coast Amusements only. Some exclusions may apply, and exceptions will be made at the discretion of LDE. Additional communication will be provided to the vendor prior to Whoop-Up Days 2023.

    All pre-packaged, bottled or canned non-alcoholic beverage products sold on-site must be purchased through Lethbridge & District Exhibition. Further details for the beverage ordering process will be provided in the Welcome Package, closer to the event. 

    Rates

    $750 deposit + 15% of daily sales. Deposit to be applied to commissionable sales.

    All Food Truck Vendors are required to submit their proof of sales reports and make payment (when applicable) daily by 11:30 PM. Further details for payment collection will be provided in the Welcome Package closer to the event. 

    Proof of sales reports must include the following:

    • Daily sales total 
    • Date & time of cash out 

    Food Truck Vendors failing to comply with the commission or beverage ordering process will jeopardize their future acceptance for events held by Lethbridge & District Exhibition.  

    Vendor Inclusions

    All Food Truck Vendors will recieve four vendor badges to access Whoop-Up Days.

    All Food Truck Vendors will receive a stand up Coca-Cola cooler. Food Truck Vendors must be able to power the cooler using their truck/generator as power will not be provided. If you do not want a Coca-Cola cooler, please indicate this on your application under additonal information. 

    Application Checklist 

    In order for us to review and/or process your application, you will need to submit the following:

    • Proof of $2 million General Liability and Property Damage Insurance
    • Food Handling Permit and/or Mobile Vendor Permit 
    • A current business card
    • A current price list of all products being sold
    • A color photo of truck/portable food unit(s)
    • Accurate space requirements, including the total square footage needed for hitches, canopies, condiment tables etc.

  • Payment & Deadlines 

    Food Truck applications are due by August 1, 2023. Payments must be received in full by August 8, 2023 or space will be sold to wait listed Food Truck Vendors.

    Applications will not be processed until they are fully completed, including a list of ALL products sold, all required documents and applicant's signature.

    Once you apply, please wait for approval prior to contacting Lethbridge & District Exhibition to make payment.

    Once approved, payment can be made to Lethbridge & District Exhibition via phone at 403-328-4491 between 8 AM - 4:30 PM, Monday - Friday.

  • Terms & Conditions

    1. Food Trucks must attend all five days and must remain set up on-site for the entire duration of the event. Access will be provided to the Whoop-Up Days grounds each day for necessary re-stocking of Food Trucks.
    2. All pre-packaged, bottled or canned non-alcoholic beverage products sold on-site must be purchased through Lethbridge & District Exhibition.
    3. Coca-Cola will be the exclusive provider of non-alcoholic beverages at Whoop-Up Days 2023. You will notice that there are no competitor beverages on-site, and limited exceptions (lemonade, slushies etc.) have been made for West Coast Amusements only. Some exclusions may apply, and exceptions will be made at the discretion of LDE. Additional communication will be provided to the vendor prior to Whoop-Up Days 2023.
    4. Food Truck Vendors are not permitted to sell alcoholic beverages.
    5. Food Truck Vendors are not permitted to sell cotton candy as West Coast Amusements has exclusivity on this product.
    6. LDE will attempt to accommodate all requests but due to limited space, Food Truck Vendors will not be permitted location selections.
    7. LDE reserves the right to move truck placements, if required, up to the event move-in.
    8. Food Truck Vendors are to wait for an approval confirmation prior to contacting Lethbridge & District Exhibition to submit payment.
    9. Payment must be received in full by August 8, 2023 or booth spaces will be released to waitlisted vendors.
    10. Food Truck Vendors must be moved in on August 21, 2023 by 7 PM or will be considered no-shows. No refunds will be issued and space will be sold to waitlisted vendors.
    11. Vendors must not sublet or share space with any other business or vendor.
    12. Vendors must wear provided badges while on-site.
    13. Security will be effect from move-in until conclusion of move-out.
    14. Parking is not included for Food Trucks Vendors. 
    15. LDE reserves the right to cancel space if vendors are intentionally breaking terms agreed upon.
    16. Vendors acknowledge that all right, title and interest in video(s) and/or photograph(s) taken on-site being original works, belong to Lethbridge & District Exhibition for marketing purposes.
    17. No Vendor will have exclusive rights to products. Other Vendors will be allowed to sell similar products.
    18. No threatening or aggressive behavior to marketplace management, security, members of the public, or other vendors will be tolerated.
    19. Food and beverage vendors must comply with the Alberta Health Food Safety Regulations, which includes providing Mobile Food Handling Permit.
    20. LDE may at any time in its discretion, remove the vendor, and/or its employees/workers from Whoop-Up Days for any violation of this contract.
    21. All cancellations prior to August 8, 2023 may be subject to a 25% administrative fee.
    22. Food Truck Vendors cancelling their participation in Whoop-Up Days after August 8, 2023, will forfeit all monies.
    23. All cancellations must be made in writing to Lethbridge & District Exhibtion.
  • Application Submission

    This entry is subject and bound to all Rules & Regulations. The applicant, having read the processes, deadlines andRules & regulations understands they form part of this contract, as entered into with Lethbridge & District Exhibition.
