We are looking for a responsible and reliable Administrative Assistant to perform a variety of administrative, clerical and schoolwide tasks. Duties of the Administrative Assistant include providing support to our directors, students and their families, assisting in daily school needs and managing our school’s general administrative activities.
Responsibilities
The administrative assistant at Arise Christian Academy school plays a pivotal role in supporting the school's daily operations and upholding its mission and values within an educational and faith-based context.
1. Office Management:
Serve as the primary point of contact for the school, handling incoming calls, emails, and inquiries.
Manage the school's front desk, greeting visitors, parents, students, and staff with warmth and professionalism.
Maintain organized filing systems for student records, administrative documents, and correspondence.
Coordinate scheduling for meetings, appointments, and events, ensuring efficient use of time and resources.
2. Communications:
Draft and distribute internal communications, including memos, newsletters, and announcements, to keep staff, parents, and students informed about school activities and updates.
Assist in the creation and dissemination of promotional materials, such as brochures, flyers, and social media posts, to market the school to prospective families and the community.
Support the school's public relations efforts by liaising with local media outlets, drafting press releases, and managing social media accounts.
3. Student Support:
Assist with student enrollment processes, including application review, registration, and enrollment paperwork.
Maintain accurate student records, including attendance, grades, and health information, in compliance with privacy regulations.
Creating and managing quarterly tuition invoices
Becoming familiar with student tuition support from ESA and STO’s and helping families navigate these options.
Coordinate student transportation services, to ensure the safe and timely arrival of students.
4. Administrative Support:
Provide administrative support to school leadership, including the headmaster/principal, assistant principals, and department heads, by scheduling meetings, preparing agendas, and taking minutes.
Assist in the preparation and distribution of school reports, such as academic progress reports, financial statements, and accreditation documents.
Manage inventory and supplies for the school office, ordering supplies as needed and maintaining budgetary records.
Attend weekly or monthly planning meetings with the admin, after school hours.
5. Event Planning and Coordination:
Assist in the planning and execution of school events, such as open houses, parent-teacher conferences, fundraisers, and graduation ceremonies.
Coordinate logistical details for events, including venue booking, catering, equipment rentals, and guest invitations.
Provide on-site support during events, ensuring that all aspects run smoothly and attendees feel welcomed and accommodated.
The ability to work with local churches and organizations
Coordinating with Arise Parent Coordinator and Classroom Parents with events
6. Clerical Duties:
Perform general clerical tasks, such as photocopying, faxing, scanning, and filing documents.
Manage incoming and outgoing mail, packages, and deliveries.
Maintain office equipment, troubleshooting issues and coordinating repairs as necessary.
7. Schoolwide Duties
Aiding teachers in the classroom when additional support is needed (Ex. Support during center time, stepping in during a teacher emergency, etc.)
Aiding with students who may need support outside the classroom due to behavior, emergency assistance etc.
Maintaining and monitoring students when walking around the building, going to the bathroom, during lunch, recess time, morning drop off, and afternoon pickup.
Comfortable with stepping into a classroom to aid in unforeseen teacher absences or emergencies.
8. Supporting the School's Christian Mission:
Integrate Christian values and principles into daily interactions with students, parents, and staff, fostering a supportive and nurturing environment grounded in faith.
Participate in school-wide initiatives, such as chapel services, prayer groups, and community service projects, to promote spiritual growth and character development among students.
9: Hours and Commitment
In-person position, with on campus presence during the full-time students are in the building.
On campus 15 minutes prior to pick up and 15 minutes after pickup.
May need to attend special events outside contract hours (ex. Fiesta Sahuarita, donor dinners, canvassing etc)
The administrative assistant of a Christian private school is an extension of the administration and serves as the backbone of the school's administrative operations, embodying professionalism, efficiency, and a commitment to fostering a supportive and faith-centered educational environment.
Requirements and skills
- Proven experience as an Administrative Assistant, Virtual Assistant, Office Administrator, or Secretary
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, such as printers and fax machines
- Proficiency in Microsoft Office (especially Excel), Google Drive, and Canva
- Excellent time management skills with the ability to prioritize tasks effectively
- Strong attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multitask
- Background check and fingerprint clearance card required
- High school diploma required; additional qualifications as an Administrative Assistant or Secretary are a plus
- Ability to communicate effectively and respectfully with colleagues, parents, and students
- Experience working with children in a teaching, supportive, or mentoring role
- Ability to work with and support students in grades K–8
- Friendly, welcoming, and outgoing personality
- Active in a local church, demonstrating strong Christian character both in and out of the workplace
- Bilingual (English/Spanish) preferred, but not required
