  •  VENDOR INFORMATION FOR THE 2025 MUSIC IN THE PARK FESTIVAL FUNDRAISER

     

    We invite crafters, food vendors, non-food service providers, bands, DJs, musicians, food trucks, and beer tents to participate in the Music in the Park Festival Fundraiser at Bushkill Park. This event offers a fantastic opportunity to showcase your talents, products, and services while supporting a great cause that benefits our community.

    1. VENDOR FEES AND EXEMPTIONS

     

    Vending Space Fees 

    For crafters and non-food service providers, a vending space is available for a nominal fee of $25.00 for the entire weekend. Bands, DJs, and musicians are exempt from this fee and are welcome to sell their merchandise or network at no cost. Additionally, we waive the fee for public service organizations such as police, fire, water rescue, ASPCA, and similar groups. If you’re unsure about your eligibility for an exemption, please reach out to us for clarification. All proceeds from vending fees will directly support the Music in the Park Fundraiser, contributing to the park’s restoration and community programs.

     

    Food trucks and service providers can secure a weekend vending space for $50.00. Beer tents are also welcome, with a vending space fee of $50.00 plus 10% of all daily sales. Please note that all fees are non-refundable, as this fundraiser will proceed regardless of weather conditions.

    2. VENDOR RESPONSIBILITIES

     

    Equipment and Setup 

    Vendors are responsible for bringing their own equipment, which includes tables, tents/canopies, chairs, and any other necessary items. While electricity and running water will be provided at the venue, vendors should bring their own extension cords if they require electricity for their setup.

     

    Event Schedule 

    The Music in the Park Festival Fundraiser is scheduled for September 7th and 8th, 2025, from noon until 9 PM. We kindly request all vendors to participate on both days to ensure a vibrant and engaging experience for attendees.

     

    Liability Disclaimer 

    While we strive to create a safe and enjoyable environment, please be aware that Bushkill Park and its affiliates will not be held responsible for any liability, lost, stolen, or damaged merchandise or injuries incurred during the event. Vendors must take precautions to secure their belongings and ensure their safety.

    3. PAYMENT INFORMATION

     

    To secure your vending space, please make checks payable to J & S Klein and mail them to the following address:

    For those who prefer to pay in cash or drop off their checks in person, we invite you to visit Bushkill Park and Grove at 2100 Bushkill Park Drive, Easton, PA 18040. Our facility is open, weather permitting, on Fridays, Saturdays, and Sundays. Upon arrival, please ask for either Corinne or Sue. Corinne serves as the Music in the Park Festival Fundraiser Director, while Sue is the manager of Bushkill Park. Both will be more than happy to assist you with your payment.

     

    To secure your spot, all payments must be submitted by August 1st, 2025. Failure to submit payment by this deadline will result in the forfeiture of your vending space.

    4. COMMUNITY IMPACT AND FUNDRAISER PURPOSE

     

    We eagerly anticipate your participation and support in making the Music in the Park Festival Fundraiser a resounding success! J & S Klein is a dedicated team working tirelessly to support the restoration and refurbishment of our beloved Bushkill Park. Led by Sue Klein, the manager at Bushkill Park, we are committed to making our park even more incredible for all to enjoy.

     

    The funds collected from this event will be allocated separately for tax purposes related to fundraising. Rest assured that every dollar you contribute will go directly toward the park’s renovation and enhancement projects.

  • MUSIC IN THE PARK FESTIVAL FUNDRAISER: VENDOR RULES AND REGULATIONS

     

    We are excited to have you join us for the Music in the Park Festival Fundraiser! To ensure a successful and enjoyable experience for all participants, we have established the following rules and regulations for vendors. By participating in this event, you agree to abide by these guidelines.

    1. VENDOR ELIGIBILITY

     

    Approval Process 

    The Music must approve all Park Festival Fundraiser committee vendors before participating in the event. We reserve the right to refuse any application for any reason, ensuring that all vendors align with the festival’s mission and values. This process helps maintain the diversity and quality of offerings at the festival.

     2. VENDOR SPACE ASSIGNMENT

     

    Designated Areas 

    Each vendor will be assigned a specific space for their booth. Vendors are not allowed to move their assigned space without prior permission from the event organizers. This policy is in place to ensure a well-organized layout and to maintain safety and accessibility for all attendees.

    3. SET-UP AND BREAK-DOWN PROCEDURES

     

    Timing 

    Vendors are responsible for setting up and breaking down their booths. Set-up can begin two hours before the event starts, allowing ample preparation time. All booths must be dismantled within one hour after the event concludes to ensure a prompt and efficient clean-up process. Vendors may leave their booths up overnight from Saturday to Sunday at their own risk, but they must secure their items appropriately.

    4. EQUIPMENT REQUIREMENTS

     

    Vendor Responsibilities 

    Vendors must provide their booth’s tables, chairs, tents/canopies, and other necessary equipment.     5. CLEANLINESS AND MAINTENANCE

     

    Ongoing Cleanliness 

    Vendors are responsible for keeping their area clean throughout the event. This includes disposing of trash and maintaining an organized booth. Before leaving, vendors must clean up their area to ensure the park remains beautiful and welcoming for all attendees. A clean environment enhances the festival experience for everyone involved.

    6. SALES RESPONSIBILITY

     

    Financial Management 

    All sales conducted at the festival are the sole responsibility of the vendor. Vendors must handle their cash and change, ensuring they have the necessary transaction tools. Additionally, all vendors must comply with local and state tax laws, including collecting and remitting any applicable sales tax.

    7. PROHIBITED ITEMS

     

    Safety Regulations 

    The sale of illegal or dangerous items is strictly prohibited. This includes but is not limited to, weapons, drugs, and counterfeit goods. Compliance with this rule is essential to ensure the safety and enjoyment of all festival attendees.

     

    Vendor Food Offerings Statement

    Musical acts can sell goods and have complimentary vendor table space to sell gear and promote their act. We ask that no one sell the same products as Bushkill Park, as this is a fundraiser for the park.

    As part of our commitment to supporting Bushkill Park, we kindly request that all food vendors refrain from selling the following items:
    - Hot Dogs
    - Hamburgers
    - Popcorn
    - Soft Pretzels
    - Ice Cream
    - Snow Cones
    - Water
    - Soda

    This ensures a cohesive experience for attendees and maximizes Bushkill Park's fundraising efforts.

Please note that the park is only open on Fridays, Saturdays, and Sundays, so we may need some time to return your call.

    Vendors must keep noise levels to a minimum to avoid disturbing other vendors and festival attendees. Most attendees come to enjoy the music and atmosphere of the festival, so maintaining a respectful noise level is crucial for a harmonious event.

    Merchandise Responsibility 

    Vendors are responsible for their own merchandise and equipment. The Music in the Park Festival Fundraiser, Bushkill Park, and its affiliates will not be held liable for any lost, stolen, or damaged merchandise. Vendors are encouraged to take appropriate precautions to secure their items during the event.

    10. CONDUCT EXPECTATIONS

     

    Professionalism 

    Vendors are expected to conduct themselves professionally and courteously at all times. Any vendor exhibiting inappropriate behavior may be asked to leave the event without a refund. A positive attitude and respectful interaction contribute to a thriving festival atmosphere.

    Timely Payments

    We kindly request that each vendor donate a basket containing flyers, business cards, and other promotional materials they wish to share. These baskets will be used as prizes for the Music Trivia game. Each basket should have a minimum value of $25 and a maximum of $25-$50 worth of goods from the vendor’s business. This initiative promotes community engagement and allows vendors to showcase their offerings.

    15. MUSIC TRIVIA PARTICIPATION

     

    Encouraging Interaction 

    The donated baskets will be given as prizes to the winners of the Music Trivia game. Vendors are encouraged to participate in the game and engage with attendees to promote their businesses. This interaction helps create a lively atmosphere and fosters connections with potential customers.

    16. AMENDMENTS TO RULES

     

    Right to Modify 

    The Music in the Park Festival Fundraiser committee reserves the right to amend these rules and regulations at anytime. Vendors will be notified of any significant changes to ensure compliance and understanding of the updated guidelines.
