  •  Exhibitor Application

     

    This application is for any individual or group who would like to have an exhibitor booth at the Festival of Nations and will NOT be collecting any payments from attendees. 

    ** Each exhibitor is required to provide their own tent(s), table(s), chair(s) and materials. Tent sizes must be in increments of 10x10. 


    ** Exhibitors that are similar in nature and/or focused industries/outreach may be grouped together to form special areas within the overall Festival footprint. Examples include religions of the world, nature & outdoors, environment & sustainability, LGBTQ Pride, etc. 

    ** Business Exhibitors who exemplify their Corporate Social Responsibility and/or Diversity and Inclusion values are highly desired. 

    Please complete the application fully. Please note you must send a $25 application fee in order to submit your application successfully.

    The final payment will be due July 1st, 2023. Applications that are submitted after July 1 will be required to send the full amount owed in order to secure your spot. If you have any questions or are interested in sponsorship, please email festofnations@iistl.org. 

     

    ** For groups, organizations, nonprofits and new entrepreneurs who would traditionally participate in an exhibition space but have a creative idea for greater attendee engagement or participation can instead apply to join our Community Showcase as an "Experiential Activator & Cultivator." 

    Experiential Activators & Cultivators offer attendees the opportunity to expand their cultural horizons, learn new skills, engage with others and leave with unique and memorable experiences to explore further after the Festival concludes. Additional details are provided in the application.

  • Exhibitor Classification Definitions & Requirements

    Please refer to these definitions as you select your exhibitor classification

    1. Licensed Business:
      1. Defined as a business who would like to exhibit and promote your brand without conducting any financial transactions.

    2. Community Supporter:
      1. Defined as a 501c3 Non-Profit organization or a group that does not have an operating business outside of the Festival of Nations weekend.
      2. If you are a non-profit organization, you must be able to provide one of the following: 

        * 501(c)3 IRS determination letter  
        * State Tax exempt letter 

        OR Must have three of the following qualifications:
        * Supply 2023 organization newsletters or active website link
        * Supply a list of board members with addresses and phone numbers 
        * Supply a copy of minutes from your last organizational meeting 
        * Be a Non-Profit Organization 
         

    3. New Entrepreneur:
      1. Defined as a New Business Owner who has been in business for less than one year, as of August 31, 2022)
      2. Must be able to provide supporting documentation relating to your entity type such as:

    Booths are rented on a first-come, first-served basis. A non-refundable deposit of 25% will be required after your application is approved. (25% is deducted from the total amount owed for final payment.)

    ** Exhibitor Booth Special Rate will be available to the first 10 approved applicants on a first-come, first-serve basis. 

     
    Equipment: Each booth space is required to provide their own tent(s), table(s), chair(s) and any additional equipment they may require to fully operate. (Equipment can be provided by the Festival upon request for an additional charge.)


    Tent Specifications: The tent(s) must be commercial or professional grade and utilize heavy weights (minimum of 40 pounds) on each corner with stabilizing maneuvers that provide maximum safety to vendors and guests. 

    ** Tents Must Be weighted down. (Water weights Not permitted.)  

    ** Tents May Not be staked into the ground. 

    ** Tent sizes must be increments of 10x10. 


    Park Rules and Regulations:  Exhibitors must follow all park rules and regulations, including designated parking areas. 


    Environmental Protection:  Exhibitors must take measures to protect the park's environment, including properly disposing of their waste and avoiding the use of harmful chemicals, not damage any park features or vegetation and avoid setting up in areas that are designated as protected or sensitive. 


    Public Health:  Exhibitors must ensure that their operating unit and equipment do not pose a risk to public health, including not causing air or water pollution. 


    Upon Approved Vendor Application:  Additional Requirements, Rules & Regulations will be provided in the contract. Vendors who ignore these rules leading up to the Festival and while operating during the FON will not be allowed to participate in the Festival and will not receive a refund of any sort as a result.

    Please refer to these prices if you are a community supporter (defined as a group that does not have a business outside of Festival of Nations weekend, including IISTL Clients, Non-Profits and community or religious organizations). Both community supporters and new entrepreneurs will be required to send documentation.

  • Engagement Opportunities

    We are working to highlight our vendors and elevate their brand in association with the Festival of Nations. Festival vendors who participate in promotional opportunities and VIP benefits will receive special designated status on our vendor list, and be featured within the benefits of FON ticket offerings and our digital event bag.
  • Payment and Deposit Information

  • We require a $25 application processing fee today. The total amount owed for space rental will be collected by July 1, 2023 and will be sent via invoice to your email provided.

    A non-refundable deposit of 25% of your rental total will be required immediately after your application is approved to ensure your place at the Festival. 

    Please note, you may choose to pay the total amount as well.  

  • Important Event Information

    Event begins at 9:00 am on AUGUST 26, and ends at 9:00 pm on AUGUST 27. Booth setup times will be shared once application is approved. Exhibitors are responsible for setup and tear down of booths. Any exhibitors who have not paid in full by July 1st, will lose their space (no refunds/no rain checks will be given).
