Terms and Conditions
These Terms & Conditions form a binding contract once your booking has been confirmed in writing (via email, text, WhatsApp, or social media message). Unless we state otherwise, all confirmed bookings are valid and subject to these terms.
1. Booking Fee & Payment Terms
• Private Parties – A non-refundable booking fee of 50% is required to secure the booking.
• Corporate & Large-Scale Events – 100% of the fee is payable in advance unless otherwise agreed in writing.
• An invoice can be provided upon request.
• Standard payment terms are upon receipt of invoice unless alternative terms are agreed in writing.
• We do not accept 30-day payment terms unless agreed in advance.
• If a 30-day payment is requested after booking, our hourly rate will increase, and a £30 late payment fee will apply immediately after the due date, plus £30 for every additional 7 days overdue (max £150).
• If payment remains outstanding, we may recover the debt via Money Claim Online, adding all fees, costs, and interest. A CCJ may be issued, affecting your credit score.
2. Cancellations & Amendments by the Client
• Over 8 weeks’ notice – No charge (unless a non-refundable booking fee was paid).
• Between booking confirmation and 8 weeks before event – 50% of the agreed fee is payable.
• Less than 8 weeks’ notice – 100% of the agreed fee is payable.
• All cancellations must be in writing (email, WhatsApp, or text) and confirmed by us. Verbal cancellations are not accepted.
• The booking fee is strictly non-refundable unless the cancellation is due to government-imposed restrictions (e.g., COVID-19), in which case a refund may be given at our discretion.
• Any changes to booked hours require 8 weeks’ notice. Later changes may incur a £10 admin fee per change. Otherwise, the original booked hours will be charged in full.
3. Cancellations & Amendments by Mika Face Painting
We make every effort to honour all bookings. However, in rare cases (e.g., staff illness), we may need to cancel. We will provide as much notice as possible.
If delays occur due to unforeseen circumstances (e.g., traffic incidents) but we can attend most of the event, no fee deductions will apply. Any concerns must be raised at the start of the event so we can agree on a resolution, such as making up lost time.
4. Exceptions for Weather Conditions
In the case of adverse weather conditions confirmed by the Met Office, only 50% of the agreed fee will be charged.
5. Liability for Damages & Injuries
The client is responsible for any accidents, injuries, or damages caused by the client or their guests to the artist, equipment, or supplies, and agrees to reimburse for resulting costs or losses.
6. Outdoor & Evening Events
• For outdoor events, the client must provide adequate shelter (e.g., gazebo, tent) for the artist/s to be protected from all elements.
• For evening events, the client must provide sufficient lighting and a safe working area.
• We accept no liability for the suitability or condition of any shelter provided.
7. Parental Consent
The client must ensure that parents/guardians of all children under 18 are aware that face painting or glitter tattoos will be offered.
8. Health & Allergy Disclaimer
• We accept no responsibility for allergic reactions to paints, glitters, or materials used.
• Those with sensitive skin or known allergies should not be painted.
• We reserve the right to refuse service to anyone with contagious skin conditions (e.g., impetigo, conjunctivitis, cold sores, chickenpox scabs, severe eczema), open wounds, or signs of illness (including COVID-19 symptoms).
9. Timings & Setup
• We will arrive 10–15 minutes before the agreed start time for setup.
• We operate strictly within the booked start and end times; setup and packing are separate from service time.
10. Use of Equipment with Face Paint
• If inflatables, soft play, or other hire equipment are at the event, it is the client’s responsibility to confirm with the hire provider that face paints/glitters are permitted.
• We accept no liability for staining or damage to hired equipment.
• All paints used are water-based (not oil-based).
11. Age Restrictions & Conduct
• We do not paint children under 3 years old.
• The final decision to paint or not lies with the artist.
• We reserve the right to refuse service to anyone and will not tolerate abusive behaviour.
