    As volunteer, you are the (smiling:-) face of intoTRI on event day and key to help us run a smooth and enjoyable event. This event pack was designed for mobile use and gives you all the tools you need to get ready and excel in your role on site:

    • Tabs at the top of the page allow you to navigate to a specific section. Kick off with the GET READY tab!
    • Google Pins throughout this pack help you to display each role on a map and navigate to your marshal post in a jiffy
    • Play interactive course maps to see how the athletes get to your post and where to direct them

  • Getting ready for your volunteering role is as easy as 1 - 2 - 3:

  • There will be free parking available at Xcel Leisure Complex for participants, volunteers and spectators. Please park along Waterside Drive upon arrival and move your car into the Leisure Centre car park once it opens (approx. 6:45am). Cars left on Waterside Drive narrow the senior bike course, which we are keen to avoid.

     COMMUNICATION ON EVENT DAY
  • All volunteers are required to bring their mobile phones and keep them switched on at all times during the event to stay in touch with event control, other marshals and emergency services. You will be issued with a badge as part of your volunteer kit, which shows phone numbers for the event director and emergency services.

    Please exchange numbers with the other marshals in your section, especially the section leader, before you leave to your respective positions.

  •  MEDICAL SUPPORT
  • In case of accidents and emergencies, we have access to the first aid facilities at the Leisure Centre. If you witness an accident or a participant informs you of an accident, please let the event organiser know after calling the emergency services (if needed). All relevant phone numbers are printed on the back of your volunteer badge.

  •  GENERAL RULES
  • Stopping Traffic

    The events are run on open roads and participants need to follow the rules of the road at all times. As a marshal, you have NO authority to stop traffic. If you deem a situation to be potentially risky or harmful, stop participants until traffic has slowed down and participants can proceed safely.

  • Spectators

    Spectators are most welcome at intoTRI’s Free Tri Series. For safety and security reasons spectators can NOT enter the following areas:

    • Transition zone (exception: bike drop off/pick and help for our youngest participants by one parent only, mind other competitors)
    • Finish line
    • Swimming pool (if applicable)

  • THE ROLE

    Venue Control Marshals direct athletes and spectators to registration, the transition zone and start zone. In times of Covid-19, you are instrumental in maintaining a one-way flow of pedestrian traffic and orderly, socially distanced queuing system. 

  • VC1

    • Direct participants and spectators from event car park to registration via one-way system. All athletes should bring their bikes and kit with them to registration. Ensure everyone proceeds to registration, transition zone and spectator zone as indicated by yellow arrows in map above. 
    • Check all athletes have filled in the online check-in forms
    • If online check-in missing, remind athletes (or their parents) to submit the relevant forms from the 'START LIST' tab on the Athlete Event Pack. The pack was sent out by email and is also available in the 'Event Information' section on intotri.com/event/freetri. Once athletes/parents have successfully submitted the forms on their mobile phone, they can proceed to registration.

  • OVERVIEW

    With the aim to remove any queues at registration, we have taken several measures to streamline the check-in process for athletes on event day. Akin to self-serve check-in and bag drop at airports, athletes will be following a one-way system outdoors, picking up race numbers and starter kits (if applicable) on their way to the transition zone. 

  • RG1-4

    • Registration marshals will need to use their phones to display the athlete check-in form. The form breaks the check-in process down into 3 easy to follow steps.
    • Please follow the check-in process below with our DEMO FROM - practice makes perfect!
  • CHECK-IN PROCESS

    Step I - Load athlete details 

    • Select athlete's name from dropdown and click Load Athlete Details.
      Success will be shown and Entry Details section is filled in automatically.
    • If athlete wants to change race distance, or any other details are incorrect, please record them in the Comments field

    Step II - Starter Kits

    • The check-in form automatically detects whether athletes a) have a 2021+ starter kit, b) need to pick up a new starter kit, c) exchange their existing timing chip or d) participate without chip
    • If a) Nothing to do unless athlete forgot race numbers. If yes, follow d)
    • If b) hand out new starter kit bag and record chip ID
    • If c) exchange old chip for new chip + race numbers. Record new chip ID
    • If d) hand out and record small race numbers (adults = blue, kids = yellow)

    Note: Athletes are given one race number, which goes on front of the running top or on their race belt.

    Step III - Body Marking

    • Athletes were asked to write the transition slot number on the inside of their hand at home and bring a marker pen to self-mark the race number on their left hand after registration. If body marking missing, instruct athlete to use marker provided at registration to write their race number on their left hand, transition slot on inside and disinfect marker after use.
    • Tick Yes once bodymarking completed.

  • COVID-19 PRECAUTIONS

    • Swim marshals will not have any direct contact with athletes and can maintain a safe distance from their seats to the pool at all times
    • Outdoor waiting area for athletes in operation in start zone. Athletes progress to the pool hall in waves (based on swim distance)
    • Maximum 50 athletes allowed in pool area at any given time (25 in the water, 25 queuing and keeping their distance)
    • Pool doors and windows open for constant ventilation
    • Marshal kit sanitised before use
  • SWIM SETUP

    • Athletes are grouped into 3x waves according to their swim distance  
    • Athletes stay in the start zone behind the pool area to wait for their wave start. A marshal will pick up one wave from the start zone at a time and bring them poolside via the rear exit of the pool.
    • Once poolside, athletes will find a start funnel with signs showing 100m swim times and place themselves next to the sign that most closely resembles their estimated 100m swim time (regardless of actual swim distance).
    • A marshal will call athletes forward, starting with the swimmers with the fastest estimated swim time. Starting in the water (strictly no diving), participants will be set off in 10 sec intervals (3 sec countdown), snaking through the pool for their allocated swim distance.
    • Starting on one side of the pool (or the middle, depending on the distance), participants swim up and down each double lane (keeping right), duck under the lane rope and up and down the next lane, duck under the rope and so forth, exiting the pool on the other side.
    • To overtake, athletes tap the feet of the swimmer in front and proceed to overtake once they reach the end of the lane. 
  • SM1

    • Location: Pool Hall

    • Monitor timing system at Swim Exit:
    • Participants need to hold timing bracelet directly against pink sticker on timing device until participant’s race number shows in time stamp list on screen (approx. 1sec) and a beep is audible.
    • If chip does not read, pull back and tap in again. If chip still does not read, double tap chip number (shown on participant's timing bracelet) on screen to manually add a time stamp
  • SM2

    • Location: Pool Hall
      Xcel Leisure Complex, Walton KT12 2JG
    • Bring athletes from start zone to pool hall in waves (depending on swim distance)
    • Once poolside, ensure athletes line up next to sign showing their expected 100m swim time. 
    • Oversee swim, ensure overtaking happens at end of lane or when safe to do so. Stop slower participants at end of lane if needed.
    • Enforce no running rule poolside

    • Busy roundabout. Ensure road is clear / roundabout safe to enter for participants - halt participants until traffic permits, if needed.
    • On way out: All participants take 1st exit onto Terrace Rd towards Hampton Court.
    • SENIOR SHORT participants coming back from Hampton Court are directed to 2nd exit (into Waterside Drive), back towards Xcel Centre
    • SENIOR LONG participants coming back from Hampton Court turn 180 degrees around roundabout and head out towards Hampton Court again after 1st loop. Take 2nd exit (turning into Waterside Drvive), back towards Xcel Centre after 2nd loop.
  • BS2

    • Location: Google Pin | Apps Court entry, Hurst Rd
      Nearest postcode: KT12 2EG
    • Entry/Exit to Apps Court can get busy during car boot sale with queues in and out
    • Raise awareness for cyclists using flags provided
    • Halt participants until traffic permits, if needed.
  • BS3

    • Location: Google Pin | Hurst Rd / Church Rd junction
      Nearest postcode: KT8 9A
    • Far end of out and back bike course with 180 degree turn
    • Warn participants of RIGHT TURN into Church Rd. Stop participants until traffic permits safe turn if needed
    • Instruct participants to turn 360 degrees around church and back towards you along Church Rd, turning left onto Hurst Rd back to Walton

    • Temporarily halt cars looking to drive from Weir Hotel to Xcel Centre and flag junior participants on road to motorists. Marshals do not have the authority to stop traffic but we can ask for driver's goodwill

    BJ2

    • Location: Google Pin | Roundabout, Waterside Drvive at Xcel
    • 2nd Turning Point on junior bike course
    • Guide junior participants around roundabout
    • Next Lap: 180 degree turn, back to Weir Hotel
    • Final Lap: Turn left at roundabout and dismount on line to proceed to transition zone
    • Temporarily halt cars looking to drive towards Weir Hotel and flag junior participants on road to motorists. Marshals do not have the authority to stop traffic but we can ask for driver's goodwill

    • Help participants to cross the road safely out of transition and follow sidewalk right towards the river onto run course
    • Monitor timing system at run out:

    • Enforce no cycling rule into or in transition
    • Ensure participants put on helmets before moving their bikes
