Please read over the Parent and Student information prior to giving it to them. Since last year, your students will no longer receive a contestant card. It will be your responsibility to relay all of the contest information to each of your students.
A good idea is to write a student's day, time, class, contestant number, and room number on the inside cover of their music.
The campus map as well as general student and parent information are included in this email.
Teachers can forward their students the information or print out the materials to distribute to them. Your Student Schedule only must be printed out in Landscape format.
Some materials will also be available on our website and on our Facebook page. We are asking teachers to be conscientious about getting their students the needed information.
If a student has changed their song, we do NOT need to be notified. The student can simply tell the Room Captain at the start of their class that their song has changed. The new selection must be in the same level and on the Required Lists in Piano, Violin, Cello, and Viola classes.
The students should be told to report directly to their room. They will check in there at the start of their class. There is not a central place for everyone to check in. This is one of the most common questions parents ask us at the contest.
Vocal students may warm-up in Room 255. String students may tune in the Lounge area of the 2nd floor
Every student will receive an award, either a trophy or a ribbon. Students will need to take their score sheet to the trophy table on the 1st floor to pick up their award.
For the first time, we have included the scheduled finish time of each class on your class schedule. This should assist everyone in planning their day.
If a student’s time overlaps with another class they are entered in, or with a sibling, you can request that a student play first or last in the group to make sure they’ll be able to perform in each event. The same goes for siblings whose times overlap so parents can watch each child perform. Let us know and we can rearrange the performing order in each class to accommodate the time conflict. We have tried to already do this in advance, as well as separate siblings and duet partners. If siblings have mistakenly been placed in the same class, please notify us so we can remedy the situation.
At this point, only emergency time change requests will be considered. Due to the amount of work involved and the disruption of the competition room’s schedule, there will be a $30 charge for any agreed upon time change. Should an emergency time change request be made at the contest, the fee will be $35. Changes can make classes run late, which is an inconvenience to others.
Changes because sibling times are far apart will not be accepted. If a student has developed a conflict with another event. They must decide which event to attend.
Requests to correct misspelled names will no longer be accepted.
Emergency accompanists for Vocal and String students may be available. Accompaniment is optional. Students are not judged on accompaniment. Rooms will not be delayed due to the lack of an accompanist. Contact the office on the contest day for availability. The fees are set by each accompanist and not the IMA.
If your students have any questions or problems, direct them to the contest office, Room 130, where we'll be happy to assist them.
Volunteers are desperately needed at the Contest. Remember, all of the Board Members work all year, without any compensation for the benefit of each student and teacher. All we ask in return is assistance at the contest. Assistance on Friday for set-up is also needed as well as help in each contest room, at the Awards Table, at the merchandise tables, and in the Office. Please contact Pat Bartell or Phyllis Licata. There is also a Volunteer Sign up on our website. Your assistance is greatly needed.
If you have any questions, don't hesitate to call or text. However, our phone numbers ARE NOT to be given to parents except in the case of volunteers. Pat and Phyllis will not respond to questions coming from parents. All questions should come through you. Due to the large volume of calls and emails, please allow up to 48 hours for a response. We promise to get back to you. You may also email us at: imacontestinfo@gmail.com
The IMA Board invites each teacher to come to the contest office for refreshments. We would love to meet you and hear about your experience and advice for this competition.
Thank You
