  • PACS exhibition 2024 : duty offer form

  • Completion and submission of form [Please read] 

    This form is for members who wish to exhibit, and members who would be willing to help, but not exhibit.

    Please offer as much help as you can.  PACS relies on members giving up their time to help events to be held.  The more offers we receive then the fewer duties individual members will be asked to carry out.

    Please provide as much relevant information as possible, as this is really helpful. Where a form field is marked with a red asterisk (*), a response must be provided. 

    You need to allow enough time to complete your form in one sitting (you cannot save it and come back later), so please have your diary to hand before starting.  You can close the form at any time but none of the data entered will be saved.

    Once completed, please submit the using the "Submit" button at the end. Upon submission, you will receive a message on your screen saying "Thank You. Your submission has been received".  You will not be able to amend your form after submission, so please contact a member of the exhibition team urgently if your circumstances change.  email exhibition@petersfieldartsandcrafts.org.uk

    You may wish to make a note or screenshot of your entry before submission. However, if you wish to receive a reply e-mail with a copy of your completed form, please provide your email address below (for the sole purpose of receiving this reply). The reply will be sent from a "no-reply" email address, so if not received please check your junk/spam folder. By entering your email address you consent to your data being used for the stated purpose.

  • Eligibility to exhibit

    To be eligible to exhibit in the exhibition, you must

    1. be a paid up member of PACS for 2024 (or have become one by no later than 31st May 2024), and
    2. have submitted a duty offer form by no later than 5 pm on Friday, 12th July (whether or not you have already committed to work as part of a Dedicated team, see below for a list of Dedicated teams).

    Duties offered and allocated may be as part of one or more Dedicated teams and/or may be General duties such as stewarding.  New for 2024, offering to run a demonstration session during the exhibition will also count as a duty if accepted.

    We will minimise the number of duties per person, but this will depend on the number of offers received. Some Dedicated team duties involve more work than others, and the Exhibition Steering Group may decide that a member doing such duties shall be exempted from further duties.

    If you are away at the time of the exhibition or physically unable to help but would like to exhibit, it is your responsibility to find an appropriate substitute.  Fill in the form in your name and include the name of your substitute in the Notes box.  If you have any queries, please contact:-

  • Non-exhibitors 

    If you do not intend to exhibit, but are willing to help with the exhibition, please tick the box below and complete this form. Any help will be greatly appreciated.

  • Dedicated teams

    Please provide details below if you would be willing to be a member of a dedicated team. Most are full days (10:00am to 4:00pm)  For reference, the relevant dates are :

    Sat 17th August : 

    • Storage and transport initial,
      • meet courier at the storage location, unlock the store and oversee collection of the required items.
    • setting up of screens
      • screens need to be assembled on site.  Pieces are interlocking (no tools required). Lighting is added, all units simply clip on and plug in.  Please be prepared to attend the following day if setup is not completed on the first day.  

    Sun 18th August :

    • handing in (10:00am - 1:00pm) 
      • ensure that all items expected are received and complete paperwork.  Convey items to temporary store pending display.
    • (if needed) settting up of screens - see above

    Mon. 19th & Tue. 20th August (if needed):

    Please be prepared to attend on the Tuesday if tasks are not completed on the Monday.

    • display of craft
    • labelling
      • replace luggage tags with official labels
    • cleaning

    Wed. 21st August :

    • wine bar at the preview evening 7-9pm

    Thu. 22nd- Mon. 26th August :

    • see General duties below

    Tue. 27th August :

    • handing out
    • dismantling of screens
    • storage and transport (final)
      • meet courier at the storage location, unlock the store and oversee storage of the items.

    In the "Notes" box at the end of the form please add a comment if you have already spoken to one of the Exhibition Steering Group about this exhibition, and have volunteered to be in a particular team.
