TERMS & CONDITIONS
All Vendors must clean their booth area, including decorations, and dispose of all trash to LARGE TRASH DUMPSTER located behind Rose Lehrman auditorium. A refundable deposit of $200 must be paid by all food Vendors. The deposit minus any cleaning-repair expenses for that vendor will be returned to the applicant.
All vendors selling food or any goods (apparel, jewelry, etc.) or services must have a Harrisburg City Business License. The Business license cost is $50/vendor. AIACPA can help obtain it with city, provided requisite information is given to AIACPA in the timely manner. Vendors already operating in the city of Harrisburg may not need it. Vendors having a current City license MUST attach a copy with the completed registration form.
All food vendors must have a Harrisburg City Health License. The health license cost is $15/vendor. AIACPA can help obtain it with the city, provided requisite information is given to AIACPA in a timely manner. Vendors having a current City license MUST attach a copy with the form.
Vendors must enclose liability insurance along with the application, listing AIACPA and HACC as additional insurers.
Any electric outlet is for non-cooking purposes only such as warming, POS, charger points etc. The total number needed MUST be requested on the registration form. Electric outlets must NOT be used for cooking.
All vendor booths/tents will be in the open (uncovered) grassy area. Vendors MUST be prepared for any weather conditions. AIACPA is not responsible for any loss or damage of vendor merchandise.
Vendors are not allowed to use stake/nails to fix the tent. They are permitted to use weights.
Vendors are responsible for bringing any rugs etc. to let customers try any clothing, etc.

Cancellation Policy: Cancellation requests must be received by AIACPA in writing prior to July 5, 2026. AIACPA will only refund application fees, except any license fees paid by AIACPA on behalf of the vendor. No refunds will be issued for cancellation requests received after July 5th, 2026. No refunds will be issued for inclement weather.
Vendors must meet all applicable fire, safety, health and public safety codes / requirements by the HACC, and local, state, and federal governments.
Vendors MUST obtain required Tax ID’s and remit all necessary taxes to the authorities. To obtain Sales Tax number, visit

Vendors are NOT allowed:
To use any kind of audio/public address system.
To display banners outside their booths.
To distribute/ display any offensive material.
To distribute any material from outside their booth.
To pursue any type of fund raising by any means.
Vendor is responsible to bring extension cord (recommended 100’).
All permitted electrical appliances, plugs, extensions etc. must be properly secured and taped so that it is not a safety hazard to anyone.
Vendors MUST display items and cost of each item outside their booth.
Food vendors must provide adequate napkins, plates, plastic ware, etc. to their clients.
Vendors must bring their own table covers & table skirts.
Registration check-in starts at 6:30 AM. All vehicular access to booth areas will be closed at 9:00 AM.
Vendors should be ready to open for business/service at 10:00 AM
Please remember “A Community Fair-India Day” is a community & family event. Vendors are expected to sell and exhibit items which are generally accepted at family events.
Vendors will not be permitted to share or sublet any booth. ONLY approved activity will be allowed from any booth.
AIACPA reserves the right to remove any unwanted material or to deny a booth to a vendor for not meeting guidelines.
