    3. Start and finish times If your child cannot attend one of their sessions please tell us by 8.30am, via our contact telephone number (see contact page of the website). If parents/carers are running late they must inform the nursery as soon as possible and staff will make arrangements, where possible, to delay the group and/or in exceptional circumstances will agree an alternative drop-off point. Children cannot be cared for outside the normal nursery hours, therefore Into The Woods reserves the right to charge £15 per child for every 15 minutes late in collection.

    4. Communication
Parents/carers participation in a constructive and effective two-way communication practice is vital to ensure their child’s ongoing positive development. Parents/carers are required to share any concerns they may have with the manager of Into The Woods via telephone, email (contact details on the website) or in person.

  • 5. Safeguarding and child protectionInto The Woods has a responsibility for the welfare and well being of all the children in their care. As such we have a duty to the children, parents/carers and staff to act quickly and responsibly to any incident that may come to our attention. The nursery has a legal obligation to report any suspicions around abuse to the Local Authority. The Children Act 1989 (Section 47 (1)) places the duty on the Local Authority to investigate such matters. Please be aware that the nursery works within the London Boroughs of Haringey and Camden child protection procedures and will seek advice should this become necessary. Should an investigation take place, parents will be informed and supported. We will seek to clarify with you as parents/carers in the first instance unless the nature or timing of the discovery warrants discussion for advice or clarification with Social Services as to how to proceed. The nursery will also inform parents/carers as soon as possible if any abuse or neglect is detected at the setting.  If your child has an accident at home parents/carers must inform Into The Woods, where the incident will be will noted and recorded.  6. Accidents, emergencies and first aidIn the event of an accident or emergency, Into The Woods are authorised to act on behalf of the child's parent/carer in determining the need for medical attention or hospital referral, on the understanding that any decisions made will be communicated to the parents/carer in detail. In the event of illness, accident or emergency, Into The Woods will take appropriate action. This includes treating minor injuries with first aid practices, and referral to hospital if deemed necessary. In the case of first aid, parents carers will be informed at pick up time, unless the decision is taken that, in the interests of the child's wellbeing, they should not continue their session; in which case parents/carers will be contacted straight away. In the unlikely case of a hospital referral, parents/carers will be contacted immediately. 7. Illness and medicationFor the health and welfare of all children who come to the nursery we request that you do not bring your child into nursery if they are ill or have an infectious disease. We reserve the right to send your child home if the nursery manager feels that your child is not well enough to attend. Following an infectious illness it is essential that your child does not attend the nursery until they are no longer at risk of infecting others. If your child is on any medication which has to be administered whilst attending the nursery, it must be prescribed by a doctor, dentist, nurse or phamarcist. In the case of medication containing aspirin, this must be prescribed by a doctor. You must complete a medicine consent form giving instructions on times and dosage.
    8. Administering of sun cream and insect repellant
Staff at Into The Woods will apply sun cream (Soltan Kids Sensitive & Sun Allergy Protect Lotion SPF50+ or Nivea Sun kids SPF 30) and insect repellant (Citronella essential oil with water spray or Incognito Child friendly Insect Repellent Roll-on.) to children whenever they feel it is necessary. If your child has an allergy to the above types of sun cream or insect repellant parents/carers must provide an alternative. On sunny days, please apply sunscreen at home before arriving at nursery.  9. Closure of the nursery due to weather conditionsIn the rare event of unusually dangerous weather conditions, such as severe storm warnings from the Met Office, Into The Woods reserves the right to close the nursery for the affected session or day. If this happens, affected parents/carers will be contacted individually with as much notice as possible. Please read Closures policy for more details.

  • 10. Photographs and videos
During the course of our activities we will record events by taking photographs/video clips. These will be used primarily for recording the children’s progress and informing parents about what the children have been doing. Photos will be shared with nursery parents (only nursery parents will have access) on our online assesment tool, Tapestry.

    11. Use of mobile phonesInto The Woods operates a no mobile phones policy. Parents/carers may not use their mobile phones while spending time with the children at the nursery. Parents visiting the nursery, must move away from the children if they wish to use their mobile phone.

Into The Woods will make available to you, via the website, risk assessments for the following activities:
    • tree climbing
    • fire making
    • use of tools

By accepting these terms and conditions, you are consenting to your children taking part in these activities, and other forest school type activities. • Use of fire risk assessment
    • Use of tools risk assessment
    • Tree climbing risk assessment

When accepting the terms and conditions, you need to confirm that you have read these. See enrolment page for links to these policies.
  • 3. Termination Notice – Leaving the Nursery

**The latest date to give notice to leave before the end of the academic year is 1 March. **

“Term” refers to school terms. Term dates are available on the nursery website.

Please read all termination terms and conditions carefully. The requirements vary depending on when notice is given.

Where sections overlap, Section A (September starters) takes precedence over all other sections.

    A. SEPTEMBER STARTERS (AUTUMN 1 PAYMENT)
This section applies only to children due to start in September.

Payment for Autumn 1 is required in advance to secure your child’s place. An invoice will be issued once you have enrolled by submitting this form.

If you withdraw your child’s place:

Within 14 days of payment (cooling-off period):
A full refund will be issued (less the enrolment fee of £120)

After the 14-day cooling-off period and before 1 June:
A 50% refund of the Autumn 1 payment will be made

After the 14-day cooling-off period and on or after 1 June (including non-attendance):
The full Autumn 1 fees remain payable and are non-refundable, as the place has been reserved and is unlikely to be reallocated

    B. ALL OTHER STARTERS (NON-SEPTEMBER START DATES)

This section applies to all children not covered in Section A.

Cancelling your place before your child starts OR during their first half term

By submitting the enrolment form, you are committing to taking up the place.

If you choose to terminate your place:

during the enrolment period (after submitting your enrolment form but before your child attends), OR
during your child’s first half term of attendance

you must pay whichever is greater of:

the first half term’s fees in full (at the non-funded rate), OR
the fees (at the non-funded rate) payable for 6 weeks from the date notice is given.

    C. THE END OF THE ACADEMIC YEAR (END OF SUMMER TERM)

Notice can be given to leave at the end of an academic year up to and including 31 May.

If notice is not received by this date:

    – the place will automatically continue into the following academic year, and

    – fees for Autumn 1 will be payable in full

Notice given on or after 1 June will not take effect at the end of the Summer term, and the place will continue until at least the end of Autumn 1 in the following academic year.

This is because it is very difficult to fill Autumn 1 places during the period June to August.

    D. STANDARD NOTICE

A minimum of SIX WEEKS’ NOTICE IN WRITING, or payment in lieu of notice, must be given to withdraw your child.

Notice can be given at any time during the academic year from 15 September up to and including 1 March.

The six weeks notice period will start the day after notice is given, with the place terminating 6 weeks from that start date.

1 March is the final date in the academic year on which it is possible to give notice to leave before the end of the academic year. Notice given on or before 1 March will allow your child to leave at the end of the Spring term

Notice given after this date will fall within the Summer term rules set out in Section D.

    E. LEAVING AT THE END OF THE ACADEMIC YEAR (SUMMER TERM RULES)

    Summer term commitment

Once a child is booked to attend for the Summer term:

    – the place is reserved for the entire Summer term
    – the place cannot be terminated part-way through
    – Notice given after 1 March means your child is committed to the full Summer term.

If a child leaves during the Summer term:

fees at the full non-funded rate will be payable for any part of the Summer term not attended, regardless of attendance.

This is because vacated places cannot be filled once September allocations have been finalised.

    Exception – Summer 1 starters

Children who take up a new place at the start of Summer 1 may give the standard six weeks’ notice, even if this falls within the Summer term.

    F. FUNDED PLACES

If you terminate a funded place (Government 15/30 hours funding) and your child does not attend during the notice period, you must pay the notice period fees at the full non-funded rate, as funding cannot be claimed.

    G. HOW TO TERMINATE YOUR PLACE

Notice must be given in writing by email to:
    admin@intothewoodsnursery.co.uk

Notice by any other means – for example given verbally to a member of staff, to a different email, by text or phone call – will not be accepted.

Notice emails must clearly and definitively state that the place is being terminated.

Emails discussing or querying termination will not be accepted as giving notice.

    H. GENERAL

These terms form part of your agreement with the nursery and apply to all nursery places and Forest School Club places offered and accepted.

  • Making changes to your place

In completing this enrolment form, you are committing to taking the place with the specific days stated in your offer. You cannot drop (withdraw from) days that make up that place.

If you wish to change your place, by increasing or reducing days, or changing the specified days of your place, you must make a change request.

You do this by emailing the office team stating the pattern (days per week) that you would like to change to. We will add your request to our internal waiting list. We will offer to switch your child to the new, requested place as soon as it is available. After the switch, all T&Cs you have agreed to – including those in this enrolment form and any others sent later – will apply to the new place.

We will always try to offer the place requested as soon as possible, as we want families to have the sessions that work for them. But it may take a long time before we can do so, and sometimes may not happen at all. Place availability depends on various factors – including the pattern of sessions that will remain after any new place is created – and is decided by the management.

These internal change requests are given priority over new enrolments.

  • Acceptance of Terms and Conditions
