You may designate two different people to receive Service Unit Delivery for product and rewards. Your delivery location for product must meet the following requirements:
Product Delivery—Location Requirements:
- Service unit product deliveries will be October 30- November 3.
- Secure a delivery station with easy access for volunteers and a large delivery truck.
- A secured location in the event products must be left overnight. Must be clean, climate-controlled, out of direct sunlight, pest free, and water-tight.
Product Delivery:
- You will be notified to confirm the exact date and time of your delivery. The approximate time of your delivery may not be available until 24-36 hours prior to your delivery.
- Greet the truck when it arrives. Show the delivery agent where you want each variety of product placed. Stack product by variety.
- Be sure the number of items you receive matches the number of items on the delivery ticket you sign.
- If there are shortages, overages, or damaged product that cannot be corrected during delivery, please note it on the delivery ticket prior to signing the receipt.
- Email product@girlscoutcsa.org immediately following your delivery with any discrepancies you noted on the delivery ticket. In your message, please include your name, phone number with area code, service unit name and number
- Do not begin sorting product for Troops until confirming product count is accurate.
Distributing Product to Troops:
- Print a copy of all Troop Delivery Tickets for your reference. This will shows your troops’ item counts by variety. Troops can also print their own Delivery Tickets.
- When setting up the delivery schedule for troops, plan for time for product to be delivered, unloaded, counted, and signed by the Service Unit Product Manager. Consider leaving enough time for volunteers to arrive and sort product by troops. It is the responsibility of the Service Unit Product Manager to arrange volunteers in your Service Unit to assist with distributing product to troops (must be Cadettes or older).
- Each troop must sign a receipt confirming that they picked up all product. We recommend using Delivery Tickets as proof of pick up. If a troop claims they were shorted product at delivery, council will ask for the delivery pickup receipt.
Typical scenarios which may prevent a delivery truck from safely accessing your delivery location:
- Gated communities and neighborhoods may impose access restrictions for large delivery trucks
- Insufficient height clearance such as low tree branches, power lines, or bridge overpasses
- Narrow roads, switchbacks, small roundabouts, car or tree-lined streets and driveways with tight turns
- Limited maneuvering space to back up, exit, or turn the vehicle around (such as a high density, residential complex parking lot)
- Very old, weak, or narrow bridge
- Dirt or gravel roads may turn to mud when wet and act like quicksand under the weight of a delivery truck.
Rewards Delivery:
- Rewards will be shipped to the designated Service Unit Product Manager address.
- Reward Delivery date cannot be determined at this time. Information will be provided closer to your reward submission date.
- Upon receipt, immediately count the items you receive; print your online report to verify that you have received the correct number of each reward item. Personalized patches and Crossover Patches will be mailed out directly to girls.
- Report any shortages or damaged reward items to your Relationship Manager within two weeks of receiving the reward items. Council has a limited window of time to order replacements. Replacement rewards for the entire Council must be placed in one order. The council order for replacement items will be placed in mid-December. It is imperative that you report needs immediately. If you miss the window to order replacement items, the council may not be able to honor your request.
- Distribute rewards to your troops as soon as possible. We recommend counting and verifying the rewards with each troop and asking them to sign a receipt verifying that they received all reward items.
- Troops also have until mid-December to request replacement rewards. It is in everyone's best interest to distribute rewards as soon as possible after receiving.
