Event Setup Guidelines & Code of Conduct
Please review the following guidelines before proceeding with your application.
📦 Setup & Event Details:
Setup Time: 9:00 AM – 11:30 AM (Saturday, August 23, 2025)
Event Hours: 12:00 PM – 6:00 PM
Cleanup: 6:00 PM – 7:30 PM
- Booths must be fully set up by 11:30 AM.
- Vendors may not break down booths before 6:00 PM.
🚗 Booth Info & Responsibilities:
- Vendors are responsible for bringing everything they need: tables, chairs, tents, signage, displays, etc.
- Booth spaces are outdoors at Swiss Park.
- Parking and unloading instructions will be emailed before the event.
🎨 Vendor Expectations:
- This is a family-friendly event — all products must be appropriate for all ages.
- We do not prioritize vendors; all applications are reviewed equally.
- Vibes & Smiles is not responsible for lost, stolen, or damaged items.
- Vendors must clean their area at the end of the event or risk being ineligible for future opportunities.
📄 Required Documents (if applicable):
Seller’s Permit: A valid California Seller’s Permit is required if you will be selling tangible goods. If you're unsure whether this applies to you, please review https://www.cdtfa.ca.gov
Certificate of Insurance (COI): May be required for food vendors or vendors operating higher-risk setups.
💸 Fees & Final Notes:
- Vendor spots are limited. Submission does not guarantee acceptance.
- If accepted, vendor fees are due immediately to confirm your participation. (Food $150, Retail $100)
- Booth sharing is not allowed without prior written approval.
- No refunds will be issued for cancellations due to weather or natural causes. Refunds will only be given if the event is canceled by the organizers.
