Note that the assignment of roles is dependent on the applicant pool of the specific application cycle. For example, the finance and legal positions may be filled by one director, dependent on their previous skills and experience. Within departments, Directors will be separated into two levels: Managing Director and Director. These designations will be assigned based on prior experience and qualifications in our applicant pool. During this stage of the application process, candidates will only have a choice of their preferred departments.
Managing Director
Responsible for overseeing a specific department, setting goals, and ensuring the long-term success of the department. They work with other managing directors and executives and primarily delegate tasks to their department directors. Managing Directors must be adept in their specific field and possess strong prior experiences and competencies.
Director
Works alongside the managing director and other directors in a specific department. Working under the Managing Director, they execute departmental tasks, set goals, and ensure the overall success of their team. They also help make important decisions for the department.
Departments:
Grant Management
- Grant Directors work under the Legal Affairs Executive.
- Assists in researching potential grant applications Project Hastings is suitable for.
- Assists in filling out grant applications: including writing cover letters, emails to grant organizations, and working with the Finance Executive to provide budgeting plans.
- Strong competencies in problem solving, outreach, research, and negotiation.
Project Management
- Work under the Project Management Executive and the secondary on-site representative at PH distributions and fundraisers (after the PME)
- Design and implement comprehensive event plans, including routes, locations, times, and dates, to ensure seamless execution
- Liaise with counterparts at other organizations to host collaborative events
- Work with HR to develop and manage volunteer application forms and processes to optimize recruitment efforts
- Foster a sense of community and purpose among volunteers through effective communication and engagement strategies through our communication mediums
- Drive promotional campaigns to increase event visibility and participation.
- Oversee the creation of engaging and informative materials for event announcements and volunteer outreach through e-mail and digital communication platforms (Discord and Instagram)
- Conduct post-event evaluations to assess success and identify areas for improvement
- Strong competencies in problem-solving and organization
Fundraising Management
- Initiate, establish, and nurture long-term relationships with local businesses to secure consistent monetary and in-kind donations
- Liaise with social media, project management and finance departments to execute events
- Identify and research potential fundraising opportunities that resonate with targeted market demographics and promise substantial profit margins
- Engage with corresponding fundraiser companies (Krispy Kreme, Purdy’s) to place orders, ensuring timely and accurate delivery for our events
- Lead community engagement initiatives to increase local support and participation in fundraising events
- Conduct regular assessments of fundraising strategies to determine effectiveness and identify areas for improvement
- Possess competencies in problem-solving, resource allocation, and negotiation
Information Technology
- Communicate and collaborate with various directors for IT services and projects
- Rapidly address issues at a moment's notice when technical problems arise
- Construct various different styles of emails for different audiences
- Prior experience with GoDaddy or other website builders, Google Suite and Google Admin
Human Resources
- Ability to communicate empathically with volunteers and Project Hastings staff in different situations remotely and in-person
- Solve and mediate disputes internally between members and staff
- Follow up on reports and allegations of misconduct and other related issues
- Oversee recruitment and selection of potential directors, and volunteers
- Enforce all Code of Conduct policies created for Project Hastings personnel
- Provide/arrange training and development for Project Hastings personnel (Foodsafe and Narcan administration certification)
- Possess rapid, unbiased problem-solving and decision-making for mediation
- Ability to maintain confidentiality and handle sensitive employee information with discretion and professionalism.
- Familiarity with word processing software such as Google Docs, and Google Suite
Social Media Coordination
- Utilize various social media platforms to express and promote the mission of Project Hastings through updates on events and information.
- Basic understanding of Linkedin, Instagram, and Facebook
- Ability to understand trends and situations as it evolves to adapt posts to meet requirements
- Outreach to other organizations to forge partnerships and collaborations
- Effectively communicate with various directors, executives and external entities to obtain material for posts
- Cooperate with the graphic design director to create and produce media content
- Innovate to publish media in different mediums to attain a wider audience engagement
Red (Foreign Relations)
- Ability to communicate in English, Chinese (RED), and/or 2nd language
- Manage Project Hastings' presence on the RED social media application
- Utilize various contacts to create connections for Project Hastings
- Represent Project Hastings during social events as foreign relations
- Facilitate the role of a translator during social events
- Possess strong communication skills and interpersonal relations
Graphic Design
- Utilize various forms of editing software to create designs to be used for Project Hastings
- Communicate with various directors and executives for material
- Cooperate with the Social media coordinator to create and produce media content
- Prepare samples for flyers, social media posts, artworks, etc. for Project Hastings' use
- Possess proficiency or experience with graphic design platforms such as Canva and Photoshop
Accounting
- Proficient in use of software (Quickbooks, Excel) to calculate and map out estimates for Project Hastings' budget needs
- Assist other departments with grant application
- Ability to keep track of various forms of donations and cash flow at all times
- Present reports of inventory and prepare solutions for cost reduction and efficiency
Photography and Videography
- Plan and execute photo and video shoots, coordinating with subjects, locations, and timelines
- Ensure all visual content is high quality, consistent, and accurately represents the organization's activities and values
