This new and exciting event is being held at Midland Railway Workshops.

A Trial event series with approval from the City of Swan.

Come relax and enjoy a free night under the stars at the stunning Midland Railway Square Gardens situated within the historic Midland railway Workshops.
Summer Sessions Midland is the place to unwind on a Saturday eve. Filled with providore traders, amazing food trucks offering menus from around the world and a local bar offering locally produced beer, wine and gin!

A high standard of presentation and decore will be on offer giving the proffessional business workers and residential communities in the precinct, a place to shop, meet and socialise.

Those selected will be asked to be proactive in growing this premium event. This is not your average food van pop up.

Stall fees are reduced for the first three dates in 2023 at just $35 per booking thats unlimited space as well, bays still remain 3m deep. Price reverts to $55 per booking in 204 unlimited bays, again 3m depth remains.

Times of trade

4.30pm to 9pm (weather permitting)

2023: Saturdays 28th October 2nd December, 30th December; and

2024: Saturday 27th January, 24th February.

Pending dates; 30th March, 27th April.

Venue

Main Gate Road Midland.

Vehicles of vendors must be moved to out side the event space and as directed.

Activities

Quality musicians and singers and special suprises will be engaged for this series of events. These are paid arrangements. One child activity per date will also be contracted.

Traders of quality.

The placements will be offered based on the following criteria. We are after a point of difference in presentation.

Invitation to apply only.

High quality presentation.
Clean themed display with great presence and eye catching products
Good strong social media presence. History of social media advertising of attendance at events.
High standards of cleanliness in and around their site.
Sound business knowledge and understands promotion.
No plastics - including a ban on plastic bags of any kind.

This is a licenced event series. Soft lighting, lawned seating as well as existing timber formed seating onsite.

Security officer will be assigned to all dates.

WC's and waste services will be hired for all dates

Plastics ban WA government
The City of Swan wishes to advise that the WA plastic bans are enforcable. They also have a strict NO PLASTIC DRINKING BOTTLES at City of Swan events.

Products

Providores are highly sort after, oils, chocolate, spices, produce, chillisauces, chuckneys, honey, coffee beans. High quality hand made or unique items for sale are preffered. We will limit the number of vendors at each date. Food TRUCKS please do not use this form.

Special Events

From time to time we will have a specials night and we ask all rostered businesses participate. We will inform you if successfully added to that event date closer to the time.

Power

Will not be offered at this time.

Stall sizes

3x3m to 6x3m however one fee applies regardless of the size booked.

Sites will vary between paving and lawned areas.

Access

You will trolley your items for bump in and bump out. Paved surface and a just a 2m to 10m away from you site.

Parking

Traders MUST move the vehicles away from the event site. A Parking exclusion zone will be enforced. Traders who breach this council requirement will not be able to attend future dates.

Lighting

This is a twilight/night time event. Traders are reminded to ensure they have adquate lighting in and around their site.

Issues between vendors

Management does not tolerate vendors issues being played out at our events. Do not act in a hostile manner. Do not approach management with your issues.

Traders are asked to maintain a good standard of cooperation and communication and work together to create a great harmonious event space the public will recommend to family and peers.

Payments

VCM Perth Events uses SQUARE, an online payment portal. We will invoice you once approved. Once you have been approved, our JOTFORM system will send you an approval email. In this email link will be further instructions of what happens next. Please read this and keep for further reference. We are registered for GST purposes.

Payment is due within 14days of the first instalment invoice date. Be aware if you are late in paying we will not hold your booking and will replace you immediately. Unfortunately based on last season we can not hold placements. Other vendors and the public get let down by non attendances and VCM cannot fill vacancies at short notice. So please remember to pay on time.

This season you are asked to select ALL dates you would like to attend.

Once approved, an invoice will be sent. All dates will be invoiced on the one document. Installments will be included across the full season. You will not be expected to pay all at once. However late payments after 14 days of the reminder being sent (via SQUARE) will result in your placement being withdrawn.

Periodic installments for your approved chosen dates will be sent to your email address. They will have their own due dates. Please print and set you calendars. SQUARE will send you a reminder.

We use SQUARE payment PORTAL. Unfortunately we no longer take EFT or Direct Deposits as payment.

When you receive your invoice it will include attachements within the invoice. Please download your invoice.

NON attendance

If you have booked dates in advance, take responsability for the commitment you have made in booking them. VCM have reserved your placement before all others. Other vendors have been declined in favour of your attendance. We will have advertised the rosters and advertised your brand as well. So please honour your booking with us.

Advertising.

As a business you must be fully across social media engagement and promotion of your brand. VCM will give you tiles and Hyperlinks and hashtags to use. All aproved applicants are required to advertise. If you do not participate in the promotion of your attendance then you will not be invited to further participate on future dates.

Snacktracker and other socials

Advertising your business at our event? Remember to tag us @vcmperthevents - Insta @vcmperth_events. We will regrann or share posts and reels. We can not share posts where other events are tagged.

Cancellations

You can arrange for another vendor with a similar menue or product to take your place in the event you can not attend. However any renumeration is between yourself and the business replacing you. They must be fully documented and compliant with our requests for information as required to trade lawfuly; must fulfill any requirements by LGA/WA HEATH/our client/s and/or any menue restrictions (if any) within the time frame /deadline set by VCM. Businesses who are not suitable to VCM will not be permitted to trade. Decisions by VCM are final.

Refunds

We do not refund for change of mind, and double bookings.

If the EVENT date is cancelled or postponed by the organiser or VCMPerth Events contractors/client, or by governement order, or other unforseen issues, we will CREDIT you to the next event/service we can provide. This can NOT be rolled over to any other event/venue or dates; ONLY valid for Summer Sessions Midland Dates for the 23-24 season. Unused credits are forfeite at the end of the season. Weather events - unless 10mm or more rain, high winds, or severe weather warning is forcaste the the event will proceed. As an outdoor event your are responsible for your stock.
