Vendor Guidelines
1.Booth Setup and Display:
- Current table sizes are 5ft rounds and 6ft Rectangle tables. There are a few 10ft tables, if you would like a 10ft table please let us know. This will be an additional fee.
- Booth set-up, marketing and products cannot block other tables or walkways. If you need additional space, let us know. Additional fees may apply.
- Are expected to display professionalism, courtesy, and respect, when speaking or dealing with all guests.
- Must maintain their spaces in a clean condition and remove all waste before leaving the event.
- Are required to provide all necessary items to set up their table.
- Shall not remove their booth/sales table prior to the end of the event.
2. Product and Service Regulations:
- The sale of counterfeit, illegal, or unauthorized merchandise is prohibited
- Food vendors must have all updated and required safety and certificates
3. Insurance and Liability:
Vendors shall comply with all laws, ordinances, rules and regulations of any lawful authority, agency or government unity which apply to the use of its vending space, including without limitation, any state or local applicable fire and building code and/or health regulations applicable to the locality in which the event is taking place.
The Vendor shall be solely responsible for any and all injuries to persons or damages to property or any other injury, claim, damage or loss of whatever nature, arising from or related to the Event. Vendor shall indemnify, save and hold harmless CBWR Group and Crystal Miller, its agents and volunteers from and against all liability, loss, damages, claims, costs and expenses (including reasonable attorney’s fees) arising out of injury to person (including death) or damage to property or any other injury, claim, damage, loss, cost or expense arising from the Event performed by vendor including, but not limited to, any negligence, act or omission of vendor.
The Vendor agrees to accept responsibility for all materials and goods furnished by him/her, and used or displayed in the booth area and accepts full responsibility for his/her personal property. Vendor agrees that CBWR Group and Crystal Miller, its volunteers and agents shall have no responsibility whatsoever for any loss or damage to vendor’s equipment, supplies, goods or other property.
CBWR Group nor Crystal Miller shall not be liable for any loss or damage to the property of vendor or any of its representatives, employees, agents, patrons and guests, because of fire, robbery, accidents, or any other cause whatsoever that may arise from vendor’s use or occupancy of its allocated space during the Event.
The Vendor agrees to indemnify and hold harmless CBWR Group representatives, and agents against any and all claims of any person whomsoever, from acts or omissions of the vendor, its representatives, employees, agents, patrons, or guests.
4. Payment and Financial Obligations:
- There are no refunds. In the event that the gift market is cancelled, you will receive a refund.
- Payment is due within 7 days of application approval. Failure to pay may result in the Vendor losing their table.
5. Vendor Conduct and Professionalism:
- Vendors are solely responsible for their booth setup, displays, products, and equipment.
-Vendors must take all necessary precautions to ensure the safety of their staff, customers, and the general public.
-In case of any accidents, damages, losses, or injuries that occur within their booth or as a result of their products/services, vendors are responsible for promptly addressing the situation.
-Vendors must promptly report any accidents, damages, or incidents to the event organizer and cooperate fully in any investigations or claims procedures
- Prohibited: harassment, discrimination, or any other inappropriate conduct.
- Prohibited: Alcohol, smoking, vaping.
6. Load-In and Load-Out Procedures:

7. Marketing and Promotion Guidelines:

8. Compliance with Local Laws and Regulations:
- Responsible for complying with all applicable laws, permits, certificationd etc within your industry.
- Responsible for holding on to your own business license, sellers permit etc
9. Enforcement and Consequences:
-Failure to comply will make you ineligible for future events as well as removal from the event.
