  • All international travel must receive pre-approval by the Office of International Affairs (OIA) and the Office of the Provost. To avoid delays, other international travel requests should be made at least sixty (60) business days in advance of the planned departure date. The international travel checklist for other individual/business related international travel is a guide to properly submit required documents for other international travel approval. 
     

    Travelers must submit a Single PDF Document to the OIA but submitting the checklist here that includeseach component listed below. Upon approval from OIA, the single PDF must be uploaded as a Pre-Approval Travel packet in ChromeRiver for appropriate routing and final approval by the Office of the Provost. Decisions regarding final approval of international travel will be determined and communicated by the Office of the Provost. 

    **Student travelers must follow a different set of protocols that can be found in section Education Abroad. **

    Once you have completed and collected the necessary documents as noted in the checklist below, combine them into a single pdf document. Upload the single pdf to this JotForm as designated by OIA to begin the Approval from process of your travel. OIA will review the completed packet that includes all required information listed below.  Upon review, OIA informs the traveler of approvals or denials (if necessary, correction requests are sent to the traveler).Upon approval from OIA, the same single PDF must be uploaded as a Pre-Approval Travel packet in ChromeRiver for appropriate routing and final approval by the Office of the Provost.

    International Travel Checklist Cycle


    1. Upon receipt of a Presentation Acceptance/Invitation Letter - Traveler should discuss and share the travel proposal with their immediate supervisor (e.g. Chair) and second-level supervisor (e.g. Dean).
    2. Traveler should complete the packet to the Office of International Affairs' Travel Registry.
    3. OIA reviews the completed packet that includes all required information listed on the Other International Travel Checklist as a single PDF.
    4. OIA informs the traveler of approvals or denials (if necessary, correction requests are sent to the traveler).
    5. Upon approval from OIA, the single PDF must be uploaded as a Pre-Approval Travel packet in ChromeRiver for appropriate routing and final approval by the Office of the Provost.
    6. The traveler may book travel arrangements.
    7. Upon travel completion, the traveler uploads their actual expense report into Chrome River.
    8. The traveler is reimbursed.
    • Book Travel Arrangements and other expenditures only upon final approval from the Office of the Provost.
    • Consider submitting travel packets earlier than 60 days (about 2 months), if registration, preferred airfare, and lodging rates may increase or are required.
