    This year, The Spotted Whale vendor area is hosted by Central Coast Childbirth Network, INC (CCCN), a local 501(c)3 nonprofit. The purpose of this vendor area and expo are to connect community members and providers to share information, provide education, engage in advocacy for evidence-based birth & wellness options, and have fun shopping!

    • APPLICATION NOTE 
    • Applicants accepted through September 30, 2023 or until spaces are filled. CCCN Membership does NOT guarantee acceptance. Prior participation in The Spotted Whale events as a Vendor does NOT guarantee acceptance. A vendor waitlist will be formed after space is full. Waitlist notifications will begin on October 1, 2023, based on availability. We reserve the right to refuse any application. Vendor Space preferences will be accommodate as space allows for indoors and outdoors, as seen fit by CCCN and The Spotted Whale. We reserve the right to change any aspect of this event to comply with ordinances in an abundance of caution.

    • Vendor Booth Space Specifics 
    • "Booth Space" includes:

      • Table, chairs and marketing options as specified above, based on your selection
      • Most booth spaces will be best suited with you in front of your booth
      • Retail booths will be setup with space behind the table, as available

      Not guaranteed:

      • Corners, electrical outlets, wifi or specific locations in the expo

      Each vendor booth is responsible for:

      • Checking in and setting up on time 
      • Any personal accommodations needed and decor such as table cloths, backdrops, desired shelving to display items, vendor-specific promotional materials to display, etc.
      • Your setup cannot be outside the length of your 8' table.
      • Providing all giveaway items, fulfilling volunteer obligations, bringing items materials or goods as agreed upon, and any other arrangements made with the expo host.
    • Non-Boothed Supporting Business 
    • You are responsible to produce your own materials during Vendor Check-in Friday, October 20, 2023. All items that need to be picked up after The Spotted Whale must be picked up on Saturday October 21, 2023 between 4-9 pm.

      You must be a booth vendor to sell or sample items or products the day of, we will not be offering samplings of your products.

      Swag Bags - Any materials designated for swag bags must be delivered to Vendor Check In on Friday October 20, 2023 between 2-4pm.

    • Ideas for materials/items for swag bags- Coupons, Discounts, Promotional flyers, Save-the-dates for upcoming classes/workshops, your business branded pens or products (items with your sticker on them is fine).

      If you are putting unbranded items in such as packs of earplugs or stickers for kids--Let us know. If unbranded items are provided you can also include a second small descriptive item like a business card or small paper saying chapstick provided by Business ZYX. 

      We will do our best to highlight all businesses with items for the handout bags and/or on thank yous for those who contribute to them.

      Swag Bag Plans:
      It is our intent to have Swag Bags for the first 150 shoppers. 

    • Giveaway Donor 
    • To encourage public attendance and to give back to the community, while promoting this event we would like to give 2-4 FREE Giveaway gift baskets. We are asking for item(s) or certificate(s) for the baskets as outlined in the Application above. Items must be NEW, and received timely so we can assemble baskets, photograph and promote. If your item is perishable, or a digital item/certificate please send us an email with info. All gifts are considered "in-kind", as we are not selling or raffling the items. The item or certificate does not have to be business or brand specific. Additional giveaway items can be a box of diapers and wipes, a grocery gift card, or meal gift card. THANK YOU FOR YOUR SUPPORT!
    • Vendor Info, Material and Topic Responsibility 
    • Vendors are responsible for all content and representations in booths including information and offerings. The EXPO host reserves the ultimate right to dissalow specific information, topics or materials at the event. All information, materials and topics must be representative of the applicant. Please contact us for clarifications or recommendations.
    • Vendor Cancellation and Refund Policy 
    • In the event that a vendor cancels or splitting booth vendor, fees will be refunded in FULL if canceled BEFORE October 1, 2023. A cancellation request received between October 2nd - October 15th will receive a 50% refund. No refunds will be honored after October 16th, 2023. This is a rain or shine event and will only be canceled if the facility or city/governments disallows the event due to health or safety concerns. In the event of an unforeseen circumstance, such as this, CCCN and Spotted Whale will follow up directly with Vendors to determine any refunds that may be available. Refunds due to unforeseen circumstances are not guaranteed. All applicant items selected and paid for are nonrefundable due to late or missing items/materials after the cancellation cutoffs listed above. If a Vendor fails to comply with the event Hosts policies or expectations, they will immediately be asked to comply or leave the event without a refund.
