Catering Policy and Terms
1. Booking & Deposits
A non-refundable deposit of 25–50% is required to secure your event date. Your event is not considered booked until the deposit is received. All remaining balances are due 5 business days prior to the event unless otherwise approved in writing.
2. Cancellations
Cancellations made 15 days or more before the event may receive a partial refund, excluding the non-refundable deposit.
Cancellations made within 15 days of the event are non-refundable.
If Cookin’ Up Catering/Pathways must cancel due to an emergency, a full refund will be issued.
3. Menu Selections & Final Guest Count
Final menu selections are due 10 days before the event.
Final guest count is due 7 days before the event and cannot be decreased afterward.
Any guest increases may be accommodated depending on availability and may increase your total cost.
4. Dietary Restrictions & Allergies
Clients must notify us of all allergies and dietary needs in advance.
Pathways/Cookin’ Up Catering is not responsible for allergen-related incidents if not notified in writing.
5. Staffing & Service Fees
Additional fees apply for on-site staff, extended service hours, breakdown, setup, and last-minute changes.
Staffing requirements vary based on event type and size.
6. Equipment & Rental Policies
Clients are responsible for all rented equipment. Damaged or unreturned items will incur replacement fees.
Disposable setups may be included depending on the service requested.
7. Delivery, Setup & Breakdown
Delivery fees vary based on distance and setup requirements.
Clients must ensure clear access for setup and breakdown. Additional fees may apply.
8. Payment Methods
Accepted payments include:

Cash (receipt provided)
Organizational invoice
Late payments may incur a 10% late fee.
9. Leftover Food Policy
We follow food-safety guidelines. Once the event concludes and leftover food is released to the client, Cookin' Up Catering/Pathways is no longer responsible for safety, storage, or consumption.
10. Liability
Cookin’ Up Catering/Pathways is not liable for injuries, food handling after pickup/delivery, or issues caused by the venue, weather conditions, or circumstances outside our control.
11. Event Changes & Add-Ons
Any changes must be requested in writing.
Rush fees may apply to last-minute add-ons or adjustments made within 72 hours of the event.
12. Media & Marketing
We may capture photos or videos of catering setups for marketing unless the client opts out in writing prior to the event.
13. Nonprofit Partnership Clause
Cookin’ Up Catering proudly supports Pathways Life & Health.
A portion of proceeds helps fund youth programs and employment opportunities through our workforce development initiative.
