    Drapers' Academy is committed to protecting the personal data of everyone in our learning community. In line with the General Data Protection Regulations and the Data Protection Act 2018, we have strong processes in place to obtain data lawfully, store it securely, and only use it for lawful purposes.

    As part of this Induction Form, we may have to ask you for additionalpersonal data. Where this is the case we have made it clear why we are asking for the data, what it might be used for, and who might see it.

    This booklet and any data collection forms should be read alongside our Data Protection Policy and our Privacy Notice, which can be found on our website at www.drapers-schools.com. These documents set out our approach to data collection, storage and use, our Retention policies, and how you can ask to see any personal data we may hold.

    If you have any questions about how we collect and process data that are not covered within these policies, please contact the Academy to discuss them further.

    The personal details below are processed only to allow us to contact someone if there is an emergency. The information will not be accessed in other circumstances. When your child leaves the Academy, this data will be securely deleted.

  • Medical Form

    As a school we need to know if your child has any medical conditions or allergies, that may require us to take additional steps to help them at school, or that we would need to be aware of in the event of an emergency. This is a special category of data, and it will be stored securely and only used to help plan for your child’s specific needs. Information may be shared with school staff where appropriate, and with external agencies such as medical staff in the event of an accident or emergency.   

    You do not have to tell us this information, but we will be unable to plan or make any reasonable adjustments if we are not aware of medical conditions or allergies. You can request a copy of any medical information we hold, and we encourage you to keep this information up-to-date with any changes. This will help ensure that we are able to protect your child and take appropriate action where required.

  • Home School Agreement

    At Drapers’ Academy, we believe that partnership with parents is an essential element in achieving our aims for our pupils. This home-school agreement sets out some of the important features of this partnership.

    The school will:

    • Promote high quality teaching and learning.
    • Provide regular information for parents about their child’s progress.
    • Draw parents’ attention to any concerns about their child without undue delay.
    • Ensure that rewards and sanctions are applied fairly and consistently.
    • Endeavour to provide a safe environment and deal firmly with any discrimination or bullying.

    Parents / Carers are expected to:

    • Support the school’s rules.
    • Ensure that their child attends school regularly and punctually.
    • Ensure that no holidays are arranged to occur during term time.
    • Ensure that their child attends in full school uniform and is properly equipped for lessons.
    • Provide a quiet place for their child to study and ensure that homework is completed on time.
    • Look at their child’s marked homework and sign their child’s study diary weekly, taking note of any messages from teachers.
    • Attend parents’ evenings.
    • Keep the school informed of any circumstances that may affect their child’s education.

    Pupils are expected to:

    • Behave in accordance with the school’s rules.
    • Attend school regularly and punctually.
    • Work hard and complete homework on time.
    • Wear full school uniform and arrive at lessons properly equipped.
    • Contribute to the life of the school in a positive manner.

  • Photographs and Media Image

    From time to time we may wish to take photographs or videos of your child engaging with teaching and learning activities at the school. This may be to provide a record of learning, to document activities that have taken place, or to enable participation in grading or examinations in certain subjects such as Drama or Dance.

    Any such photography or videoing will always be carried out using school-issued equipment, and will be securely stored on school network drives. Photographs will only be taken in relation to teaching and learning activities, which may include extra-curricular activities, sports matches, participation in community events or other school-related events. 

    You have the right to decide whether or not you are happy with your child being photographed and / or videoed undertaking school activities. You also have the right to decide where, if anywhere,  any such photographs or videos will be used. You have the right to change your mind in the future about this; if you do, you just need to let the school know, and we will update your preferences.

  • Collection and use of biometric information

    The Academy operates a cashless catering system, where there will be no differentiation between a child who pays for their school meals, and one who receives a free school meal.  To enable the Academy to do this, we use a thumb print reader to create a digital signature for each pupil, which will be unique to them. 

    This digital signature will then be able to be used in the library in addition to its use in the cashless catering system. This will mean that there will be no more lost or forgotten dinner money and library cards. Parents / carers will be able to credit each pupils’ account through internet payments or cash.

    Under the Data Protection Act 2018 we need explicit consent in order to be able to process personal data in this way. This is because biometric data is a ‘special’ category of data, and we need to take additional care with obtaining it, using it and deleting it. For young people under the age of 13, parents can give or withhold their consent; young people aged over 13 can make this decision themselves. This consent can be removed at a later date, if you decide that you do not wish us to process your biometric data.

    Once you have given consent for biometric data to be taken and used, it will be stored securely within the school system. The data will only be used for the cashless catering and the library system. Data will be securely erased when you leave Academy.

    If you do not wish to have your biometric information taken and used, we will provide alternative ways for you to access the cashless catering system.

  • Collection and Recording of Pupils’ Ethnic Background

    On the next page of this booklet there is a short form for you to fill in about your ethnic background. All schools are required to request this information, in order to compile accurate census details for the Department for Education (DfE).  Please tick the appropriate box on the form to indicate the ethnic background you identify with.

    You do not have to tell us this information, and there is a box provided on the form if you would prefer not to record an ethnic background.

    The Information Commissioner has advised that pupils aged 11-15 are considered capable of deciding their own ethnic identity. The DfE recommends that this decision be made with the support and knowledge of the parent or guardian. As you are aged over 16, you are capable of making your own decision on this issue.

    The information you provide will be used to compile statistics on the school careers and experiences of children from different backgrounds, to help ensure that all children have the opportunity to fulfil their potential. These statistics will not allow individual children to be identified publicly and the information will not be used for any other purpose.  From time to time this information will be passed to the Local Education Authority and the DfE to contribute to local and national statistics. 

    Information about your ethnic background will be passed on to any other educational setting to which you transfer, to save you having to be asked for it again.  You can ask to check your information at any time, and, if you wish, have the ethnic background changed or removed.

  • Responsible Internet Use

    As part of your child’s curriculum and the development of ICT skills, Drapers’ Academy is providing supervised access to the Internet.  We believe that the use of the World Wide Web and e-mail is worthwhile and is an essential skill for children as they grow up in the modern world.  Please would you read the attached ‘Rules for Responsible Internet Use’, and sign and return the agreement form so that your child may use the Internet at school.

    Whilst every endeavour is made to ensure that suitable restrictions are placed on the ability of children to access inappropriate materials, the Academy cannot be held responsible for the nature or content of material accessed through the Internet. However, the Academy’s Internet provider operates a filtering system that restricts access to inappropriate materials

    Should you wish to discuss any aspect of Internet use (or to see a lesson in operation) please contact your child’s Pastoral Manager, who will help to make appropriate arrangements.

    School Trips

    The legislation regarding school trips has changed and in order to comply with the new rules, it is essential that every child has a consent slip signed by Parent / Carer. This will remain in force throughout their time here at Drapers’ Academy.  Only if pupils go on a residential trip will there be any need to fill in further forms.

    The type of trips the covered are sports matches, trips to colleges and other educational centres, geography field trips etc.

    Money, Mobiles and Personal Belongings

    Pupils need to take responsibility for their own money. The Academy cannot be held responsible for money or other personal property brought to school.

    If mobile phones, iPods, mp3 players are carried they must be SWITCHED OFF AND OUT OF SIGHT AT ALL TIMES whilst on school premises. Pupils found to be in breach of this rule will be subject to immediate confiscation of the device.

    In accordance with our policy, there is a sliding scale of confiscation. On a first offence, the device will be confiscated until the end of the school day. A second offence will incur a five school day confiscation and a third offence will incur a twenty school day confiscation. The same sliding scale confiscation policy applies to pupils who are found to be wearing items of jewellery at school.

    Confiscated items are logged and stored securely at the school office until the appropriate time period has elapsed, at which time the item is returned to the pupil and must be signed out by them.

    Pupils are responsible for the costs of any loss or damage to Academy property or equipment.

    Free School Meals

    Your child may be eligible for free school meals if you get any of the following:

    • Income Support
    • Income-based Jobseeker’s Allowance
    • Income-related Employment and Support Allowance
    • Support under Part VI of the Immigration and Asylum Act 1999
    • The guaranteed element of Pension Credit
    • Child Tax Credit (provided you’re not also entitled to Working Tax Credit and have an annual gross income of no more than £16,190)
    • Working Tax Credit run-on - paid for 4 weeks after you stop qualifying for Working Tax Credit
    • Universal Credit - if you apply on or after 1 April 2018 your household income must be less than £7,400 a year (after tax and not including any benefits you get)
