SPACE ASSIGNMENT:
Single Space is designated as a 10x10 Booth. Space is assigned by event manager. An event map will be available to all vendors by set up time (4pm on the day prior to the beginning of the event). This is to allow the most optimal space allocation. We will consider loyal vendors’ preference; however you may be reassigned if competitor booths are deemed too close. Exhibitor agrees to hold harmless the Pines Resort (Home Away INC.) from any liability, which may result from booth assignment or any cause. Electricity, tables, canopy, umbrella, chair, or props will not be provided with your space assignment but might be available for purchased in addition. Please submit your request for these items at the time of sign up, no later than a week prior to the event.
PAYMENT & CANCELATION:
In applying for space, the Exhibitor/Vendor will pay $180 - $200 per booth as a space deposit (or $150 per booth if booked in February 2024 - limited time special). In the event of cancellation by the Exhibitor at any time, the Pines shall have the right to lease the space to anyone else without obligation to return the monies already paid and the right to retain such amount as liquidated damages. All monies to be paid in full via PayPal in order to confirm your booth space. PayPal is the only form of payment accepted. The Space is not reserved until full payment is received. For a full participation (min. 7 fairs) there is a one-time $200 discount (Book 7 events, Get $200 off - use code PNS24). It is only available on full payments at the time of sign up and expires on March 1st, 2024.
BOOTH & EQUIPMENT:
Each vendor is responsible for the safe set-up of their Booth. Booth location will be determined by the Pines Resort, based on the most optimal space usage of the property and in consideration of other events happening during those weekends. Vendors must strictly follow Event Manager’s directions on where to set up.
The Pines Resort will not assist in any set up or break down of Exhibitor booth. Storing of inventory outside of the Booth will not be allowed. If you do not keep your inventory within the boundaries of your Booth, you will be asked to adjust your set up. All empty crates and boxes may be stored under tables within your booth. Fire rules prohibit storage of boxes, crates, or product outside the defined Booth area. No exhibitor shall assign, sublet or share the whole or any part of the Booth space allotted without the express written permission of the Pines Resort. If a vendor utilizes a vacant space or encroaches upon any used space, they will be billed for the additional space used; confine your activities within the Exhibitor’s Booth. Distribution of printed matter shall be restricted to the Exhibitor’s Booth and must be distributed in a manner that will not interfere with other Exhibitors. If the Vendor shall use a generator, the generator must be quiet and non-disruptive to the Craft Fair ambiance.
OBJECTIONABLE MATERIALS & ACTIVITIES:
The Pines Resort reserves the right to refuse any Exhibit, or any Exhibitor, or any Employees, which or who in the opinion of Pines resort is not keeping with the character of the show, and may at any time without notice, cancel the agreement and remove the Lessee, his agents and property from the building. In the event of such cancellation, the Exhibitor hereby waives any claim for damages or for the recovery of any rental monies.
INSTALLATION AND DISMANTLING OF EXHIBIT:
Vendor must have booth set and ready for guest no later than 9:45am of the beginning date of the Craft Fair. Vendor CANNOT breakdown Booth until the end time of the show. If the Vendor is found to be breaking down booth before said time they will be fined $50.
EXHIBITOR EXPECTATIONS:
No alcohol or drugs on premise during Exhibition. Proper attire is required at all times; appropriate clothing, shoes, etc. Please display your Exhibitor Parking Pass in your Vehicle Windshield and park your vehicle in the designated Vendor Parking Area. Anyone with a handicap place card please see event manager for further directions on where to park.
LIABILITIES:
The Exhibitor is liable for any damage to hotel property or exhibits. The Exhibitor agrees to make no claims for any reason whatsoever, including negligence and omits The Pines Resort, and their representatives or agents for: loss, theft, damage, or destruction of goods; injury to himself by virtue of failure to provide space or removal of exhibit, any action of any nature of the above organization or its agents, failure to hold exhibition as scheduled, or for any cause that may render exhibit area unusable. Acceptance of an Exhibit/Exhibitor by The Pines Resort, Home Away INC. in no way endorses the Exhibit/Exhibitor’s techniques, materials or conclusions. In view of the foregoing, it is suggested that the Exhibitor obtain appropriate insurance for loss or damage to exhibit material.
CANCELATION OF CONVENTION OR EXHIBIT:
The Pines Resort, Home Away INC, and Employees will not be liable if the Craft Fair Event is not held as scheduled due to fire, act of God, weather, terrorism, public enemy, labor strike, epidemic, or any law or regulation of Public Authority, which makes it impossible or impractical to hold the Exhibition. If the exhibits are canceled on or before 3 days prior to the beginning date of the Craft Fair; then payments for booth space will not be returned, except for any actual expense incurred in the connection with the exhibits.
