  • Monroe Walton Center for the Arts Class or Event Proposal Worksheet and MWCA-Instructor Agreement

  • Here's what you need to know: READ CAREFULLY!!!!!

    1.  Fill out the worksheet (many of your questions are answered on the worksheet), including a proposed date.  Exception: Rust and Dust Drop in workshops.  For Rust and Dust, secure your date FIRST by filling out the sign up genius form.  SECURE YOUR RUST AND DUST DATE HERE

    2. Donna will be in touch.

    3.  If you are a new teacher to us, we *require* that you meet with Donna to discuss your teaching method and do a mini-demo of your class.

    4.  Once Donna approves your class, we will make sure our calendar is open on your proposed date. If not, we will work with you on a new date. We usually need 2-3 weeks minimum to promote your class, so keep that in mind.

    5.  To teach here, we require that you join MWCA as a member.  If your class is approved and you are not yet a member, please join (online at monroewaltonarts.org or in person ar the art center).

    6.  If this is a new class and especially if you are a new teacher to MWCA, it can take 3-6 weeks to go through this process, depending mostly on how quickly you and Donna can meet.  Your patience is appreciated.  Therefore set your *proposed* date at least 4-6 weeks away, knowing we may have to adjust that date.

    7.  Submit a clear, accurate photo of the actual project students will create—made by you, not copied from Pinterest or Instagram.

    8.  Write an engaging, thoughtful class description that excites potential students.

    9. If we receive multiple verified complaints about a class, we may need to issue full or partial refunds to those students. These refunds will be deducted from your payment from MWCA. Of course, we hope this never happens — so please do your best to offer a great class experience!

    Always use Jotform to submit class details – keeps everything in one place.


    Final details only. Please send information that is correct and ready to post — including exact dates, times, title, description, and pricing. Fill out the form thoughtfully and provide an exact sample of what people will be making in a good photo. Changes after posting require updates in multiple places (Square, website, graphics, flyers, newsletter, social media) and are very time-consuming. Make sure you're clear and correct the first time.

    If changes are absolutely (!) unavoidable, turn in a NEW Jotform. We will make adjustments *when possible*, but please know it will delay promotion. There is a good chance that your class may have to be canceled or moved to a new month.


    This helps us keep your classes accurate, on time, and well-promoted!

  • DROP-IN WORKSHOPS AT RUST AND DUST ANTIQUES

    If you are proposing a workshop at Rust and Dust, here are the guidelines:

    • Drop-in only
    • From 11 - 3
    • Projects: Fun, seasonal, easy, under 1 hour, $20 or less. 
    • Invite people to visit MWCA to shop and for our classes and events - be aware of what we have coming up
    • You represent MWCA in our community - do us proud! 
    • Scheduling: Sign up via Signup Genius FIRST + then fill out this Jotform.
    • Setup: Tell Lourdes how many tables/chairs (recommend 2 tables/10 chairs).
    • Bring all needed supplies.
    • Payments: Teachers collect fees; tip Lourdes if you can. Contribute 10% back to MWCA.
    • Promotion: MWCA will handle graphics, posts, website, and FB events.
    • Teachers should also share + hand out MWCA promo materials.
    • Deadlines: Submit the next month's classes by the 15th of the current month.  EXAMPLE:  All January workshops should be submitted by December 15.

  • MWCA will use the information you provide below to promote your class through our website, newsletters, printed class lists, and social media. Please keep your description **brief, engaging, and fun**—this is your chance to spark interest!

    As partners in this endeavor, we rely on you to help spread the word through your own networks. Promoting your class boosts your enrollment and increases your earning potential.

    To complete your class listing, you must also provide a **high-quality photo** and/or bring in a **sample project** for display in the Art Center. A physical sample is preferred whenever possible.

    **Note: We cannot publish your class until we receive all required materials.**

  •  **MWCA Instructor Agreement**. READ CAREFULLY.  Your signature below indicates that you have read, understand and agree to these policies.

    Teaching at Monroe-Walton Center for the Arts is both an honor and a responsibility. By signing this agreement, you acknowledge and accept the following terms to ensure a high-quality experience for our students and the continued success of our organization:

     

    Compensation & Membership

    • In most cases, it's a simple 75%/25% split between you and the art center.  We want to make sure our payment structure is fair for both you and MWCA.

      This structure helps us keep the center running while honoring your time, effort, and materials. Thanks so much for teaching with us!

      Active MWCA membership is required for all instructors.  Once your class is approved, if you are not already a Member, you must become one.

    • Professional Expectations

    • All instructors must adhere to our Instructor Policies and Code of Conduct, which will be provided to you via email.
    • Arrive at least 30 minutes early (or more, if you have lots of supplies) to set up and personally welcome your students.
    • Professionalism, respect, and kindness toward students, staff, fellow teachers, members, and volunteers is expected at all times.
    • Unprofessional, unethical, or disruptive behavior may result in immediate dismissal.
    • Double-booking classes (scheduling the same class through MWCA and another location simultaneously) is not permitted and is considered unethical.
    • MWCA has built a strong reputation for integrity, quality, and community trust. Any action that undermines this may result in termination of your teaching privileges.

    Use of Student Information

    • As an instructor at MWCA, it is essential to treat all class registrations and student information with the highest level of professionalism and respect.
    • Do not add students to any personal or external mailing lists without their explicit permission.
    • The contacts you make through MWCA must be used exclusively for promoting MWCA classes, programs, and events.
    • Promoting outside or unrelated events using MWCA contacts is strictly prohibited.
    • Maintaining trust and confidentiality is a core value of our organization, and we expect all instructors to uphold this standard.

    Communication & Class Management

    Instructors are responsible for all communication with their students:

    • Welcome emails should be sent promptly after registration and again a few days before class. You will receive a sample email for guidance.
    • Send a reminder email or text two days before your class.
    • Follow-up emails after your class are encouraged to keep engagement high.
    • Maintain a current roster with student contact info in case of emergencies.
    • Class conduct should always be encouraging, professional, and inclusive.
    • Instructors must provide all necessary class supplies unless otherwise arranged. MWCA provides classroom space, table coverings, paper towels, and trash bags.
    • Classrooms must be left clean and organized after use.

     

    Marketing & Promotion

    • Promote your classes regularly through your social media and personal networks.
    • Help boost MWCA’s reach by liking and sharing our posts and events.

     

    Class Cancellations & Rescheduling

    • MWCA does not cancel classes due to low registration. Even with one student, we encourage you to hold your class, and consider accepting walk-ins.
    • Building a following takes time—consistency and quality are key to success.
    • If you must reschedule due to weather, illness, or emergency you are responsible for notifying your students directly and coordinating a make-up date.
    • (Note: MWCA follows Walton County Schools for weather closures.)

     

    Student Feedback

    • MWCA sends a **post-class survey** to students. Consistently poor feedback may result in future class proposals being declined.
