Independent Contractor Requirements* This field is required.All coaches are required to complete the Booster Club’s Independent Contractor Agreement for the 2023-2024 Season, Waiver of Liability, and W9 form. These documents need to be completed online before you coach the team at any meet, and before any reimbursements will be paid (including reimbursement of USAG fee). We ask that you review the documents carefully and get in touch with the Board if you have any questions. All documents are due no later than September 30, 2023. At the Board’s request, Stumpfs provided parameters for how many coaches will attend each meet this season. The Board used these parameters to set this season’s team budgets. The Booster Club will pay $75 per meet session per coach. If it looks as though additional coaches will be required at a specific meet please alert the board as soon as possible so the Board can review the budget and determine if adjustments can be made. We really appreciate your help in this matter. Based on these parameters, the Board will reimburse all annual USAG coach fees for the 2023-2024 season.

Coach Pay & Reimbursement In consideration for the services to be performed by Coach, the Club agrees to pay and reimburse Coach as set forth in the next 8 items. These payment and reimbursement terms do not apply to any elite development or special team events or expenses. Such expenses will be reimbursed in accordance with the terms outlined on the “Special Team/Elite Development Reimbursement Form.” Please read and agree to each of the items to indicate your understanding of and agreement with each item. The procedures in each item below must be followed exactly in order to be eligible for reimbursement. COMPENSATION FOR MEETS* This field is required. Coach will be paid $75/meet session, from stretch to end of awards (up to 4 hours). If a single session exceeds 4 hours, additional hours will be reimbursed at the rate of $14/hour. Coach may only request compensation for sessions and additional hours when Coach was necessary for and actively engaged in coaching Club Teams.

Travel Mileage* This field is required.Coach will be reimbursed $0.535 per mile when using his or her personal vehicle for travel when drive distance exceeds 30 miles (one-way). A Google Map printout MUST accompany all mileage reimbursement requests. Drive distance and mileage must be calculated from the address of the gym (2187 Wehrle Dr.) to the exact address of the meet venue. Coach may request reimbursement for any tolls and parking fees incurred. Receipts for parking expenses must be attached to the reimbursement request. Tolls will be reimbursed based on each states toll calculator located online. For NYS tolls, coaches will be reimbursed based on the NY E-Zpass rate.

HOTEL* This field is required. Coach will be reimbursed for overnight stays when required for travel meets (more than 75 miles from the gym one-way). Receipts must accompany all lodging requests. Hotel requests will not be honored for local meets (less than 75 miles from the gym one-way). Hotel must be of a reasonable cost.

AIRFARE * This field is required.Coach will be reimbursed for the lowest price, logical and reasonable airfare. One piece of checked baggage will be reimbursed if not included in the airfare. Detailed receipts for airfare and checked baggage fees must accompany reimbursement requests. Airfare will be reimbursed from Buffalo to the meet location, and from the meet location back to Buffalo. If a coach chooses to fly from/to a city other than Buffalo to the meet location, their reimbursement will not exceed the reimbursements of those flying to/from Buffalo. Coaches must obtain their flight itinerary 60 days prior to the meet date to eliminate any unreasonable costs.

CAR RENTAL* This field is required.Coaches will be reimbursed for a logical and reasonable car rental when airfare is required for meets or drive distance exceeds 75 miles one-way. Standard size car preferred unless there are more than 3 coaches attending a meet and sharing the vehicle. Receipts for car rental must be attached to reimbursement request. -No mileage reimbursement will be paid for travel in rental cars. -Gas will be reimbursed with receipt. -Rental company refuel option will not be reimbursed.

MEALS* This field is required.Coach will receive meal reimbursement of up to $50 per day for travel meets where lodging is required (more than 75 miles one-way)and up to $20 per day for local meets (less than 75 miles one-way). Itemized receipts for meal reimbursement requests ARE REQUIRED. No reimbursement will be provided for non-itemized receipts, credit card bills, etc. No reimbursement will be provided for alcohol. COACHING FEES REIMBERSEMENTS* This field is required.Coach will be reimbursed for his or her annual USAG fee (at the lowest registration option as listed online), background checks (every two years), and the initial USAG safety certification. Recertification will only be reimbursed if there is no local course available, as it is usually offered at no additional charge. Copy of receipts for all expenses must be attached to reimbursement request. USAG expenses will not be reimbursed prior to October 1st, 2023. There must be a fully executed coaches agreement with W9 completion prior to USAG reimbursement.
