I. Terms and Conditions
1. Hours of Operation:
a. It is mandatory that vendors are fully operational during the event hours listed. Late arrivals and early departures will not be permitted.
b. Vendors are expected to arrive at the event no later than one hour prior to opening and to be completely set up and ready for customers no later than 15 minutes prior to opening.
2. Fees:
a. All fees must be paid online or mailed to Great Parks c/o Special Events, 10245 Winton Road, Cincinnati, OH 45231 no later than one week after your application has been accepted. A link for online payment will be emailed after you are accepted.
b. Checks must be made payable to Great Parks of Hamilton County.
c. All fees are non-refundable.
3. Assigned Space:
a. Vendor’s use of the assigned space at this event is non-transferable. Vendor may not share the space with another vendor without the consent of Great Parks.
b. Vendor’s booth must have an attractive, professional, and maintained appearance.
c. All tents and displays must fit within vendor’s designated space. Displays may not encroach onto public walkways or into another vendor’s space.
d. All tents must be weighted with a minimum of 100 lbs. to secure against wind gusts. All standing displays must be secured against the wind.
4. Cancellation Policy:
a. Vendor must notify Great Parks of cancellation no later than 48 hours prior to the start of the event.
b. Vendors who fail to notify Great Parks of a cancellation prior to the event (“No-Show”) may be excluded from participation in future Great Parks events.
5. Taxes
a. Vendors are responsible for collecting and paying their own local and state sales taxes on all items sold at the event.
6. Electricity:
a. There will be no electricity available at this event, unless stated otherwise by the Events Manager.
7. Weather Policy:
a. The scheduled event will operate rain or shine. Great Parks will make the determination to cancel the event if the weather is deemed unsafe. There will be no refunds issued.
8. Merchandise
a. Only the sale of merchandise listed on the vendor application is permitted at this event. Great Parks reserves the right to ask the vendor to remove any merchandise that is not listed on the application or is deemed inappropriate for sale.
9. Sale of Beverages
a. The sale of beverages (soda, water, juice, coffee, tea, cider, cocoa, alcohol) is not permitted during this event. Great Parks may be selling these items onsite.
10. Operations and Damages
a. Vendor is fully responsible for ensuring that assigned space at the event is left in the same condition as it was upon arrival. Any damage to Great Parks property will be fully remedied at vendor’s expense.
b. Vendor assumes all risk of loss or damage to merchandise or other property. Great Parks and its staff are not responsible for property that is lost, stolen, or damaged.
11. Health Inspections
a. Vendors are only permitted to sell foods that are covered by Ohio’s Cottage Food Laws. Vendors are expected to follow all preparation and labeling guidelines issued under Ohio’s Cottage Food Laws. All vendors must comply with all State and County Health Inspectors and their agents.
12. Trash
a. All trash must be removed from booth space prior to departure from the event. Trash receptacles are placed throughout the event area for use. Vendor is responsible for removing excessive trash that does not fit in these receptacles. Failure to comply will result in a trash removal fee billed to the vendor at a cost of $100.00.
13. Media Release
a. By signing this release, I hereby give consent to all photographs, audio recordings, and video recordings taken of me and my staff. I understand that any such photographs, audio, and video recordings become the property of Great Parks and may be used by the organization for promotional purposes in broadcast and media formats now existing or created in the future.
14. Advertising
a. Great Parks will advertise the event through print and social media platforms.
b. Vendor agrees to help promote this event through his/her own social media platforms.
15. Music
a. No amplified music is permitted within the vendor space. Amplified music is defined as any music that can be heard more than 10 ft. from its source.
16. Courtesy
a. Vendor must be courteous to customers and other vendors at the event. Derogatory language and inappropriate behavior will not be tolerated.
17. Smoking
a. Smoking, including the use of e-cigarettes or vape pens, is not permitted within the event space.
