  • DECLARATION OF RIGHTS AND ROYALTIES

DECLARE YOUR LEGAL OBLIGATION TO YOUR PRODUCTION
  • In order to comply with copyright laws, participating organizations must pay the necessary performance rights to the copyright holder prior to performing a work. Review the rights information in the script, determine the licensing entity, and secure permission to perform.

In addition to performance rights, companies planning to make cuts or alterations to the script must receive written confirmation that the rights-holder and the playwright permit your proposed changes.

There are certain circumstances under which companies do not have to secure licensing rights. Typically, these occur if the playwright is a member of the producing company or if work is in the Public Domain.

Companies are also responsible for obtaining appropriate permission to use published music, sound, and other forms of art (including but not limited to visual and photographic art [including still photos, movies, and videos]).

  • DECLARATION OF WORK & STATEMENT OF CIRCUMSTANCE

    DESCRIBE YOUR PRODUCTION'S SUPPORT
  • PURPOSE

The Declaration of Work & Statement of Circumstance document serves as a formal and transparent instrument for directors to declare the origin of creative works produced under their guidance. It is designed to promote integrity and accountability within the realm of artistic production, ensuring that the origins and sources of creative content are accurately documented and attributed. PRODUCTION TEAM

The production team is any and everyone that is responsible for the preparation and creation of a production. This will include the directors (lead, assistant, music, etc.), designers (scenic, costume, props, puppetry, lighting, sound, projection, video, etc.), choreographers (dance, movement, stage combat, etc.), composers, etc. Use the description box to explain any circumstances specific to your program.

Notes: 1.) If using groups, you do not have to name everyone in the group (e.g. Army of Parent Volunteers; Theatre 3 Class Students). 2.) When choosing which group to attribute work to, choose the most relevant group and add notes in the description box to add any clarification you feel is necessary.

    BUILD CREW

The build crew is any and everyone that is responsible for building the needed elements of the production. This can include many (if not all) of the same people who were on the direction team. It may also include parent volunteers, other teachers in your school, or paid professionals who were hired to complete a job (build set pieces, construct costumes, create puppets, etc.).

This should also include rental companies or other organizations that rent or loan their stock. Use the description box to explain any circumstances specific to your program.

Note: You do not need to declare pieces that were purchased from retail outlets.

  • PRODUCTION INFORMATION FOR SECONDARY FESTIVAL ADJUDICATORS

    PROVIDE ALL RELEVANT DESCRIPTIVE INFORMATION
  • One-Sheet Program

Each participating school should provide a one-sheet informational program to the festival coordinator.

This program should indicate the title of the production, the author(s), publisher (if applicable), school, director, cast and production crew lists, time/place of play, and any special advisory notes (i.e. the use of strobe lights or loud noises).

Characters may be listed with a sufficient description of their appearance to help adjudicators accurately identify actors.

    • Example 1: “BJORIA: dark red pants, combat boots, green army-style jacket, dreadlocks - Zoë Panlener”
    • Example 2: “ENSEMBLE: blonde wig, purple pants - Chance DeLacey”

This will be the program that regional festival adjudicators receive for each production.

Any pre-production services by paid professionals or professional volunteers (people who would usually get paid for their work) must be listed in the one-sheet program.

Any contractual requirements for licensing must be listed in the one-sheet program.

    Labeled Cast Photo

Schools should also provide one clearly printed, staged production photo with all actors in costume and labeled with the name of each character and each actor. The purpose of this photograph is to assist the adjudicators in accurately identifying actors. The size of this photo should not exceed 8”x10”.
