Applicants will hear from the Comic Event Committee no later than January 10th, 2025.

All vendors are asked to provide a prize to our Costume Contest Prize Table. Your business will be acknolwedged at that time.  This is not mandatory but greatly appreciated.

Vendor's Understanding and Consent

• By submitting an application I (or the company I am representing), and should my application be accepted, agree to all the terms, conditions, rules, and regulations set by the Clearwater Public Library. 

• I (or the company I am representing) understand that the Clearwater Public Library, at its sole discretion, may alter the terms, conditions, rules, and regulations of any agreements made with or without notice.

• If I (or the company I am representing) run into any problems leading up to the Clearwater Comic Event, I will contact the Comic Event Committee as soon as possible so that a solution can be found in order to prevent issues happening the day of the Comic Event.

• Vendor shall save and hold harmless the City, its officers, employees, and representatives, from any and all liability arising from claims, suits, or judgments for death, personal injury, bodily injury, or property damage on account of the negligent or willful acts of Vendor, its employees, agents, and representatives, having in any way caused such liability in connection with this event.  Nothing contained herein shall be construed as a waiver of any immunity or limitation of liability that the City may be entitled under the doctrine of sovereign immunity or Section 768.28, Florida Statutes.

• Vendor shall be fully responsible for any damage that its causes to City property and agrees to reimburse the City for such damage.

   

Table/Booth Information 

• The Clearwater Public Library has a limited amount of tables available.Not everyone will be selected to participate. A committee will select candidates based upon critera deemed appropriate by the Clearwater Comic Con Committee.

• All vendors must be family friendly in nature. 

• If you need access to power, please specify in your request.

• Free, wireless internet access is provided throughout the Ross Norton Recreation Center; however, vendors are encouraged to provide alternate means to use their devices in the event of network problems.

• The Clearwater Public Library reserves the right to change or alter the table/booth space provided as needed, at their sole discretion, and with or without prior notice.

Rules/Regulations

• Vendors (and patrons) must abide by the Clearwater Public Library System's Code of Conduct found on our website: http://www.myclearwaterlibrary.com/about/policies/code-of-conduct  

• I (or the company that I am representing) agree to not display any material that is offensive or inappropriate for children to view since a majority of the patrons attending this event are children and families.

• I (or the company that I am representing) agree to keep any audio that is playing at a reasonable noise level and acknowledge that the Clearwater Comic Event staff reserve the right to ask any vendor to either turn down the volume or turn off the audio if necessary.

• I (or the company that I am representing) understand that my table/booth cannot block or interfere with any other booth/table or block any exits or aisles. The table(s) and chair(s) that are provided by the library must stay in the designated space you are provided.

Sales

• I will NOT sell any adult material to minors. Any adult material (not PG-rated or below) that is for sale at your booth must be shown to the Comic Event Committee for approval and must be held behind the table/booth so that children cannot view it. If you would like to sell adult items (not pornographic), they can be made available upon request. This is a family-friendly event that encourages children to attend.

• Pornographic material of any kind is strictly forbidden and can result in expulsion from the event. 

• If a publisher, artist, or copyright holder finds that their property is being sold unlicensed by any vendor at the Ross Norton Recreation Center then that vendor will be immediately removed from the premises and will not be allowed to return the following years as a vendor.

• I (or the company that I am representing) understand that the approval of the items sold at the Ross Norton Recreation Center is at the discretion of the Clearwater Comic Event staff.

Media

• "Say Cheese" Photo Policy: Video and photographs taken by any city of Clearwater department at city programs and events are often used in presentations, social media, display boards, flyers, brochures, and city publications. If you do not wish to have your picture or a family member’s picture taken, please let the photographer know in advance.

• Photos, videos, and audio that are captured at the event and then tagged or shared with the Clearwater Public Library, may be shared and used for marketing and promotional services by the city on social media. Credit will be given to the original poster.

I (or the company that I am representing) understand and agree to abide by all of the rules and regulations required to participate in the Clearwater Library Comic Con and have read this application in its entirety.
