Parish Coordinator General.
The Parish Coordinator will be available, if not present, at all times during Totus Tuus programming at the location listed above (on-site at the Parish if left blank). If the Parish Coordinator is not present, he or she will inform Totus Tuus Missionaries of emergency procedures, be available via cell phone, provide keys, etc. The Parish Coordinator will perform the additional duties set forth in the 2024 Parish Coordinator Guide.
Volunteers
The Parish agrees to have at least 1 volunteer per 12 participants in the 1-6 grade program each day. Volunteers are defined as any individual who is neither part of the Parish leadership team (Pastor, Parish Coordinator, etc.) nor part of the Missionary team, who agrees to be present for any or all of the 1-6 grade program of Totus Tuus in the capacity of assisting the Pastor, Parish Coordinator(s), and Missionaries with the facilitation of Totus Tuus. Volunteers must be at least a freshman in high school. Those entering 7th or 8th grade may volunteer, but they must not be counted toward the ratio mentioned above. If a volunteer is 18 years of age or older, they also must be Safe Environment Certified. All volunteers (regardless of age/grade) must be vetted by the Parish Coordinator. Additionally, the Parish Coordinator reserves the right at any time to dismiss volunteers from assisting with the program at any time and for any reason.
Maximum Number of Participants per team of Missionaries.
The Parish agrees to the maximum ratio of participants each day in the 1-6 grade program per team of Missionaries as listed in the 2024 Parish Coordinator Guide.
- 1-100 participants each day in the 1-6 grade program = 1 team of Missionaries
- 101-200 participants each day in the 1-6 grade program = 2 teams of Missionaries
- 201-300 participants each day in the 1-6 grade program = 3 teams of Missionaries
Parish Registration Fee.
The Parish agrees to pay the Diocese of Springfield in Illinois the appropriate amount based on the number of Missionary teams coming to their Parish as listed above.
- 1 team of Missionaries = $2,500
- 2 teams of Missionaries = $3,500
- 3 teams of Missionaries = $4,200
Fee Deadline(s).
The Parish has the option of paying the appropriate amount (determined by the criteria listed above) to the Diocese of Springfield in Illinois in either a single payment of the entire balance, or in an initial deposit of at least $500 with the remaining balance due at a later date.
- Full payment due no later than May 1st, 2024
- Initial deposit of at least $500 due no later than March 1st, 2024. Remaining balance is due no later than May 1st, 2024
Totus Tuus Dates.
The Diocesan Director of Totus Tuus will send the Parish a form where the Parish can submit a 1st, 2nd, and 3rd week preference for when the Parish will host a team of Totus Tuus Missionaries. Weeks will be assigned after that form has been sent to all registered Parishes. Failure to fill out and submit that form to the Diocesan Director of Totus Tuus will result in that Parish being assigned a week after the other Parishes have been assigned a week.
Participant Registration.
The Parish Coordinator and the Parish will be responsible for registration. All Totus Tuus programs will allow only registered participants. Registration must include a completed medical release form for each participant, completed with emergency contact information. Upon request, The Diocese of Springfield in Illinois will provide a registration form option to the Parish which can be used to facilitate the registration of participants. The Parish Coordinator will handle any participant who wishes to leave the Totus Tuus program early by contacting the parents/guardians of that participant.
Location of the Totus Tuus Program.
The Totus Tuus programming will occur at the location listed above (on-site at the Parish if left blank).
Off Site Events.
Any off-site event (usually only one evening allowed for middle/high school programming) requires prior planning with, and notification to, the Diocesan Director of Totus Tuus and Missionaries of Totus Tuus prior to the dates of the program. All off-site events require parental consent permission slips to be signed by the parents/guardians of each child participating in the off-site event, the appropriate number of Safe Environment certified adult chaperones (1 adult per 8 student ratio), and transportation which must be arranged by the Parish Coordinator. Totus Tuus representatives and Missionaries will not drive participants. The Parish Coordinator will ensure that all chaperones for the off-site event are Safe Environment certified and are at least 21 years of age. Appropriate transportation will be arranged by the Parish Coordinator and includes cars, mini-vans or buses; 11-15 passenger vans are not allowed. The Parish Coordinator will see to it that Drivers are at least 25 years of age and have good driving records and current insurance coverage.
Participant Code of Conduct.
Pastor and Parish Coordinator will assist Totus Tuus Missionaries in ensuring that, during Totus Tuus programs, participants will not a) possess weapons of any kind, including pocket knives; b) purchase, possess, consume, or distribute alcohol, illegal substances, or tobacco; c) engage in any form of promiscuous activity or peer harassment; d) use profanity in any form; e) humiliate, ridicule, threaten, demean, or degrade anyone in any way; f) destroy or damage property; g) access or otherwise view pornography and other inappropriate social media content, including on personal electronic devices; or h) engage in any other behavior inconsistent with Catholic teaching. Failure to adhere to this code of conduct will be addressed immediately and cooperatively between the Totus Tuus Missionaries, Parish Coordinator, and, where appropriate, the Pastor. The Parish Coordinator will notify parents/guardians and request that the child leave the Totus Tuus program. Depending on the severity of the infraction, the participant may not be able to return to the Totus Tuus program.
Cancellation Due to a Lack of Missionaries.
In some cases, the Diocese of Springfield in Illinois may need to cancel sending a team of Totus Tuus Missionaries to a registered Parish due to a lack of Missionaries. The Diocese of Springfield in Illinois reserves the right to cancel Totus Tuus at any given Parish if there are not enough Missionaries to be sent to that Parish. If The Diocese of Springfield in Illinois needs to cancel a week of Totus Tuus at a Parish, the Parish will recieve a full refund of the Parish Registration Fee, provided that the Parish's scheduled week of Totus Tuus has not already begun. The order in which cancellations occur will be largely influenced by the order in which Parishes registered.
